Ongoing To Do List1. Wright down all To-Do items related to active items

and projects2. Focus on the major items (projects)3. Start with the titles4. Drill down with the sub items5. Avoid dealing with the small things (phones,

mails...)6. Now you have a projects oriented To-Do list7. Use an internet application for it, the list will be

Next action status use for items have to be done by you

It will allocated to you unless you decide to delegate it

Mostly, no need to make a due date or a reminder to them

In case of long future actions (month or more), reminder is

needed

Use the Waiting for status for items that have to carry out by othersAllocate them to a personMake due date and reminder for check outUsually, these items are preliminary to others

Short Term To Do ListThe Short term list will contain all the items that can be execute the same day or next day (short term)To this list, add all the small things you should make in these days, email, phones ect.The Short term list is, actually, your working listIt contain only the items, relevant to the time and place.The 2 minutes rule apply on this list

Because of the short life of this list, it can be hand written on a paper or on the PDA

The short term list is the only list you need on your PDA

Use for far future items, mostly projectsThese items or project have a good probability to execute next yearNo need for due date or remindersNo need to allocate them

Check the Ongoing list every 2-3 days

– Update– Mark completed– Add new– Delete– Move to the Someday list– Pull out to a Short term list all the items that can

be execute the same day or next day

MethodologyCheck the Someday list every month

– Add new– Delete– Move to the Ongoing list 

 This list updated with new items every time you move items from the Ongoing list and every time you have an idea.However, once a month is a good period to check the items, one by one.
