Administrative Assistant

Summary:

Under direction of the Executive Director of Operations and Business Affairs (“the Executive Director”), the Administrative Assistant is responsible for assisting with administrative functions and the day-to-day operations of the church.

Administrative Functions:

The Administrative Assistant shall support the Executive Director with providing assistance for the financial, budgetary, personnel, facilities use, and administrative management systems of the church. The Administrative Assistant shall work collaboratively with the church’s Office Manager, staff, membership, and community members in performing work responsibilities. The Administrative Assistant shall serve as back-up to the Office Manager during the Office Manager’s absence.

The Administrative Assistant’s work responsibilities shall include but not be limited to:

Finance and Budget:

With a high quality of proficiency process financial actions in accordance with church policies and procedures.

Receive invoices, process timely payments via check requests and/or electronic payments, compile, analyze, and assess data, information, and payments for recordkeeping and budget reports, and develop and maintain an effective filing system for accounts payable records and reports.

Assist with processing of accounts receivables in accordance with church policies and procedures, compile, analyze, and assess data, information,

and receivables/funds for recordkeeping and budget reports, and develop and maintain an effective filing system for accounts receivable records and reports.

Assist the Executive Director with processes relating to budget development and administration.

Personnel:

Assist with personnel management procedures and issues including the hiring, onboarding, and termination of staff and payroll processing. Such assistance shall include the processing of payroll and benefits for staff and independent contractor personnel, and developing and maintaining an effective filing system for personnel records and reports.

Facilities Use:

Provide administrative support for the processing of facility use agreements, including the development of agreements, coordination and calendaring of agreements, receipt and accounting of funds relating to agreements, and developing and maintaining an effective filing system for facility use agreements.

Administrative Management:

Assist the Executive Director with developing and maintaining effective administrative management systems, including filing and record-keeping systems.

Assist with front office duties, including assisting visitors, answering telephone calls, assisting with incoming and outgoing correspondence and mail, and ordering supplies.

Must be able to maintain utmost confidentiality in the workplace. Must demonstrate a passion for serving and willingness to perform other

duties as assigned. Must be willing to suggest and/or recommend to the Executive Director

potential improvements to processes and procedures that could enhance effectiveness of administrative functions and work environment.

Education, Experience, and Characteristics:

The successful candidate must have the following qualifications and characteristics:

A personal commitment to the ideals, values, and mission of Second Baptist Church and to the shared walk of our Christian church community.

Earned a Bachelor’s Degree. Minimum of 5 years directly related experience with successfully providing

administrative assistance with financial actions, including processing of invoices and payments, accounts receivables, analyzing budgetary reports and issues, developing and maintaining effective filing systems for related records and reports; personnel management and payroll processing, systems, and issues; and general administrative support.

Be computer literate and adept with current versions of software programs, such as MS Word, Excel, PowerPoint, etc. The church currently uses QuickBooks for accounting purposes.

Church based related work or church based related volunteer experience is desirable.

Demonstrated experience as a team-player in a collaborative environment with a servant-leadership approach is required.

Initiative and detail-oriented characteristics are required. Demonstrated ability to provide effective problem-solving approach and

solutions to work responsibilities. Must demonstrate an ability to manage priorities and multiple tasks. Must have strong interpersonal and communication skills, including high

quality verbal and writing skills. Ability to share a sense of humor around our Senior Pastor and other staff

members.
