The Job Seeker Services option lets individuals search for current job openings, find information about employers, write résumés and letters, and prepare for interviews. Individuals will learn how to use the system to search for current job openings and send their résumés and cover letters to apply online. A 10-step guide offers tips on the entire job-search process, including job offer negotiations and follow-up steps to take after a Select Job Seeker Services from the Navigation pane or from the Directory of Services screen. The Job Seeker Services screen will open.

From the Job Seeker Services screen, individuals can follow the links to go to the following sections of the system.

10 Steps Screen (Partial)

Job Market Trends – The Job Market Trends feature helps individuals analyze the current labor market trends based on the available job orders in the system.

Résumé Builder – This feature guides individuals through the résumé-writing process.

Letter Builder – The Letter Builder shows individuals how to create and save correspondence such as cover letters, follow-up letters, and more.

Employers Posting Jobs – This option displays listings of employers that have jobs available in the system.

Employers – This option allows individuals to find detailed information about employers that may be of interest to them, regardless of whether or not the employers currently have jobs posted.

Virtual Recruiter – With the Virtual Recruiter, individuals can save job searches and have the system run those searches at predetermined intervals. The system will notify individuals of the search results immediately.

10 Steps to Find a Job This feature explains the critical steps in finding a job and offers links to other parts of the system that offer job seekers the tools they need to take action. To access this feature, select 10 Steps from the Job Seekers Services menu.

The displayed screen shows 10 steps. Each step has a brief introduction, before listing one or more links to a function related to the step. Below is a quick list of the steps and the related functions.

3 - Preparing Your Résumé Résumé Builder

4 - Writing a Cover Letter Letter Builder

5 - Contacting Your References (This is a list of items to consider – not a link to other sections.)

8 - Following up with Employers (These are tips on “creating a lasting, positive impression,” which include a link to Letter Builder, where you can see sample follow-up letters and create your own.)

9 - Negotiating a Job Offer (This general info on wrapping up loose ends when you get a job offer. It include tips and guidelines to help you successfully negotiate an job offer.

10 - So Now You’ve Got the Job This provides some final, quick tips for adapting to your new company culture,” and fitting in well at your new workplace..

Users can follow the links on the 10 Steps screen in any order. To jump directly to a specific section/function, click one of the links at the top of the screen.

Find and Apply for Jobs Searching for job openings is the most powerful and commonly used feature in the system. The “Job Search” section of chapter 3 provides a full description of how to use multiple criteria to search for jobs and generate the best search results. A recap of how to perform a quick job search is provided below. To find job openings, select Find Job Openings from the Job Seekers Services menu in the Navigation pane. The Job Search screen will open with the Quick Job Search tab displayed.

Select a geographic area in which to search. See the “Select a Geographic Search Area” section in Appendix A for details on selecting an area.

Change Geographic Area of Job Search

Enter a keyword or phrase in the Keywords field. To expand the keyword search, click the Show Keyword Search Options link. To use additional Quick Search options, click the + Show Additional Search Options link. When finished entering search criteria, click the Search button. The Job Search Results screen will display the jobs that match the search criteria. Click the link

in the Job Title/Description Snippet column to view the job details and to apply for the job.

Apply for a Job There are two ways to apply for jobs from the Job Search Results screen:

1 – Click the How to Apply for this Job button at the bottom of the Job Details screen. 2 – From the Detailed view of search results, click the Apply for this Job link (in Action column).

Above the header row, you can click the Detailed link. This will display the list of jobs in “Detailed” view (rather than in “Summary” view as shown in the figure above).

When displayed in “Detailed” view, the Job Search Results screen has a link (Apply for this Job) in the Action column that individuals can use to apply for the job. After clicking the link, users will go through the process of applying for the job as explained in the following sections. The most common way to apply for a job from the Search Results screen (in “Summary” view), is to click the link in the Job Title/Description Snippet column, which opens the Job Details screen. This screen displays the job details and allows the individual to apply for the job. The Job Details screen displays all the details about the job and its specific requirements, the employer, and labor market information about the occupation. Click the links on the screen to find out more about the employer, the occupation, or local labor market conditions.

To apply for the job, click the How to apply for this job button at the bottom of the screen. If the job source is an external website, a window will open to give the individual direct access to the site. Follow the site’s instructions to apply for the job. If the job was posted in the system by a registered (also called a “preferred”) employer, follow the on-screen application instructions provided by the employer (which will vary, depending on the employer’s preferences). The following two sections describe how to apply for suppressed and non-suppressed jobs.

Job Details includes an Apply button on the bottom of the page.

You can expand the screen to see more job data including both LMI data and general matching data.

Apply for Non-Suppressed Jobs A non-suppressed job is one in which the employer allows job seekers to apply for the job themselves, without intervention from a workforce office staff member. The method to apply for non-suppressed jobs will vary, depending on the employer’s preferences. The application process may involve a pre-application questionnaire, various application methods and certain required information as determined by the employer. Note: For “Preferred Jobs” (which are jobs employers create with this same system), any of the

separate Apply Via button, and related text may be displayed (as shown below). If the job is spidered form another website, only one Apply button shows – it will take you to the external website where that job was posted.

After clicking the How to apply for this job button, the system will display any pre-application questions the employer may require. Questions may include, Yes/No Questions, multiple choice questions, or questions that require a numeric or text response. If the employer requires pre-application questions, answer all the questions on the screen and click the Next button. On the Job Application Methods screen, select the method by which to apply and click the corresponding Apply button. For example, click the Apply via Email button to send a résumé and cover letter via email.

When you click an Apply Via button, a Job Application screen displays which may include a Required Information section (as shown below) if the employer has indicated that certain information is mandatory in order to apply for the job. If the job has a required information section, ensure all required information is provided. (If all required information is provided, a green checkmark will appear as shown in the example below.) If there is a red checkmark, click the Edit link. This will take you to the appropriate screen to edit the back information. The system will save the changes to the individual’s background information, and return to the Application screen.

Following are the descriptions of each type of application method

Apply Using an Online Résumé Click the Apply via Résumé button. On the following screen, select the résumé from the drop-down list. If no résumés have been

created yet, click the Create a Résumé link. The system will open the résumé Builder. (See the “Résumé Builder” section of Chapter 3 to learn how to create a resume.) To edit an existing résumé, click the Edit a Résumé link.

To attach a cover letter, select the cover letter from the drop-down list. If no cover letter has been

created yet, click the Create Cover Letter link. The system will open the Letter Builder . (See the “Letter Builder” section later in this chapter to learn now to create a cover letter.)

Check the acknowledgment checkbox to continue the application process. Click the Submit Application button to apply.

Apply via Application Online The system creates an application

that is based on information stored in the individual’s background profile. Users can select the Click here to view your current online application form link to review the information before submitting the application. Click the Apply via Application Form button to proceed to the next step.

On the following screen, select one of two options to review the application before submitting it. To review and edit their

background information, users can click the Background Wizard link. The system will open the Background Wizard so they can edit and save their information.

To simply review the application before submitting it, click the Click here to view your current online application form link.

To attach a cover letter, select the cover letter from the drop-down list. If no cover letter has been

created yet, click the Create Cover Letter link to create a cover letter using the Letter Builder (see the “Letter Builder” section later in this chapter).

Check the acknowledgment checkbox to continue the application process. Click the Submit Application button to apply.

Apply via Email To attach a cover letter, select the cover letter from the drop-down list. If no cover letter has been created yet, click the Create Cover Letter link to create a cover letter using the Letter Builder (see the “Letter Builder” section later in this chapter). To attach a résumé, select the résumé from the drop-down list. If no résumé has been created yet, click the Create a Résumé link to create a résumé using the résumé Builder (see Chapter 3 for instructions). To edit an existing résumé, click the Edit a Résumé link. Using the Send as: radio buttons, indicate whether to attach the résumé as an email attachment or paste the contents into the body of the email. To send an online application as an attachment to an email, check the Send online application as attachment checkbox. Check the acknowledgment checkbox to continue the application process. Click the Continue button to proceed to the next step. If applying via email, the following screen will allow the user to enter the email message.

The system prefills the recipient’s address in the To field. The user may enter other email addresses in the To, CC, or BCC fields.

The system also prefills the Subject line. To edit the Subject, simply type over the text. The system attaches the documents selected on the previous screen automatically (i.e. Cover

Letter, Résumé and/or Online Application). Enter a message in the Message Body text field. Click the Send Email button to send the email.

employer of the user’s interest in the position. The screen also displays the mailing address to which applicants should send their résumés.

The system displays a confirmation message, letting the user know that the system notified the employer of the user’s interest in the position. The screen also displays the telephone number applicants should call to complete their application submission.

Apply in Person Click the Apply in Person button. On the following screen, check the acknowledgment checkbox to continue the application

process. Click the Continue button to proceed to the next screen. The system displays a confirmation message, letting the user know that the system notified the

employer of the user’s interest in the position. The screen also displays the employer’s address and links to view both a map of the location and driving directions.

Apply at One-Stop Click the Apply at One-Stop button. On the following screen, check the acknowledgment checkbox to continue the application

process. Click the Continue button to proceed to the next screen. The system displays a confirmation message, letting the user know that the system notified the

employer of the user’s interest in the position. The screen also displays the local one-stop address and links to view a map of the location. Click the View all Locations link to see other one-stop office locations nearby.

Apply at One-Stop Screen

Apply at Company Website Click the Apply at Company Website button. On the following screen, check the acknowledgment checkbox to continue the application

process. Click the Continue button to proceed to the next screen. The system displays a confirmation message, letting the user know that the system notified the

employer of the user’s interest in the position. The screen also displays a link to the company’s website. Click the link to apply for the position on the company’s website.

Apply for Suppressed Jobs Suppressed jobs are those job postings where the employer’s contact information is not displayed to the job seeker. In some cases, job seekers must express their interest in a suppressed job to a workforce staff member, so the staff member can screen the applicant for the required job qualifications before contacting the employer. The application methods available will depend on the employer’s preference After clicking the How to apply for this job button on the Job Details screen for a suppressed job, the system displays whatever application methods the employer allows. Often, the job seeker will be able to apply for suppressed jobs only by visiting a one-stop office.

Track Your Application Status After applying for a job, users can return to the Job Details Screen at any time and click a link to track the status of the application. To do so, open the Job Details screen and click the Track your application status link (near the How to apply for this job button).

After clicking the link, the system opens the Job Information screen, which displays the application date and method as well as information about the job and employer. On the screen, users can enter information to track the steps they have taken to apply for the job, as outlined below. Users can indicate whether they are still interested in the job on the screen and can indicate whether they have contacted the employer about the job. If the individual has contacted the employer, the screen will display additional fields to document the contact. The screen also includes a section for the individual’s notes. After updating the information, click the Save button to save the changes.

Indicate an interest level in the job by selecting an option (Interested, Not Interested, or On Hold) from the Your interest level for this job drop-down list.

Indicate whether the employer was contacted about this job by selecting the Yes or No radio button for Did you contact this employer?, in Application Information section.

Clicking Yes opens dynamic controls to maintain a record of your first contact with the employer, and additional contacts toward a hire (or a non-hire)

After applying, check the Applied for Job checkbox and enter the application date.

Note: When the employer has been initially contacted, also select the initial contact method, and enter contact data in the Contact Information section (above the Application Information).

As the application/interview process continues, return to this screen to update the remaining date fields. Remember to click the Save button at the bottom of the screen each time the information is updated.

Application Information Section of Job Information Screen

When the individual returns to the Job Information screen (after saving the screen), the system will display additional fields under the Application Information area as described below. Hired Information – If the individual checks the Hired checkbox, this section will display. Enter the salary amount and type in the fields provided. The system will calculate the hourly wage and enter it in the Hourly Wage field automatically. Not Hired or Refused Offer – If the individual checks the Not Hired or Refused Offer checkbox, this section will display. Select a reason for not being hired or for refusing the offer from the drop-down list.

Job Market Trends The Job Market Trends option lets individuals search for occupations so they can assess current job market trends based on Workforce Information Database (WID) data and labor market information compared to available job orders in the system.

Note: This option is not included in all systems.

To analyze Job Market Trend Data: Select Job Market Trends from the Job Seeker Services menu options. The Occupation Search screen will open. Use any of the Occupation Search tabs to search for and select an occupation. For instructions on searching for an occupation, see the “Select an Occupation” section of Appendix A. From the Search Results screen, select an occupation to analyze by clicking its title link in the Occupation column.

The system displays the Occupation Summary for the selected occupation. This screen provides occupation information and job market trends in the area, similar to the LMI Occupation Summary screen (described in chapter 7). It describes the occupation’s duties, average wages in the area, the outlook for growth or decline, and the job requirements and skills. It also displays the current advertised wages and work experience requirements for the occupation based on actual job orders.

Résumé Builder The Résumé Builder wizard helps the user build a résumé step-by-step. Individuals will use the Résumé Builder to gather, arrange, and store their skills, employment history, education, and other essential information. The system can share this information between résumés and use the information throughout the many career-exploration and job search functions in the system. See the “Résumé Builder” section of Chapter 3 in this User Guide for instructions on using the Résumé Builder tool.

Letter Builder Often, the cover letter is a job seeker’s first contact with an employer. The Virtual OneStop system lets individuals add letters at various points in the job search process. For example, they can attach cover letters to résumés as part of an online application. Users can access letters from the Correspondence tab of the Communications Profile or open the Letter Builder from the Job Seeker Services menu to create a new letter.

Note: If the individual has not created letters in the system yet, no table will display.

Create a New Letter On the Letter Builder screen, click the Create New Letter button to create a new letter. A new screen will open on which the individual can create a new letter, following the steps below.

Letter Builder Screen

Begin typing the name of the employer to which the letter will be sent in the Employer Name field (optional). The system’s predictive text feature will list several options. If one of the options is the correct employer, click on the employer’s name and the system will fill all the Letter Recipient fields automatically (i.e. Name, Address, City, State, and Zip).

If none of the employers in the list is the correct one, manually enter the contact information. Enter a title for the letter in the Letter Name field. Enter the body of the letter in the Letter Body text box. To use a template to create the letter (rather than creating it from scratch), click the Insert

Template link at the bottom of the page.

A new window will open with a list of templates from which to choose. To preview one of the templates, click the corresponding Preview link in the Action column. To use one of the templates, click the corresponding Select link in the Action column. The system will enter placeholders and text into the Letter Body text box automatically. The user then can add, delete or edit the text, as needed.

Use the options in the toolbar to format the letter, and insert or adjust fields as desired. Hover over the icons in the toolbar to view a description of the icon (as shown below).

Toolbar

Use the links under the Letter Body text box to edit and format the letter as explained below. Spell Check – Click the Spell Check link to check the spelling. (See the “Spell Check” section of

Appendix A for instructions on using the spell check function.) Insert Action Words – If users have trouble thinking of the correct terms they want to use, they

can click the Insert Action Words link. A new window will open, displaying lists of words, sorted by category. To add a word to the Letter Body text box, simply click on it.

Clear Text – Click the Clear Text link to delete the text from the Template Body Text box. Clear Formatting – Click the Remove All Formatting link to remove any formatting that was

added to the text. Insert Template – Click the Insert Template link to insert text from a template (explained above). Insert Variable – Click the Insert Variable link to insert variables (e.g. Recipient’s Company

Name, Address, Today’s Date, Your Name, Contact Information, etc.). Preview – Click the Preview link to view a copy of the letter as it will look when printed. Click the Save button to save the letter. The letter will then appear in the list on the Letter Builder

screen. Other functions users can perform on the Letter Builder Tab include the following.

View a letter – Click the Letter Name link to open the letter and preview it. The letter will display on the screen as it will look when printed.

Download a letter – Click the appropriate link in the Download column to download a letter in that format (PDF, Word, RTF, or HTML).

Copy a letter – Click the Copy link in the Action column to copy a letter. Users can create a new letter by copying an existing one and then editing it and saving it with a different name.

Delete a letter – Select the corresponding checkbox(es) in the far-right column and click the Delete link to delete the selected letter(s).

Filter the list of letters – Select an option from the drop-down list above the table. The options include View All Current, View All Deleted and View All.

Employers (Employer Search) The Employer Search tabs allows individuals to find detailed information about employers in which they may be interested, regardless of whether or not they have current job openings. The system will search the entire InfoGroup® database for all companies in the selected area that meet the selected search criteria. Use any of the three tabs to search the InfoGroup® database for employers. To open the Employers screen, select Employers from the Job Seekers menu on the Navigation pane.

Employer Search Screen – Quick Employer Search Tab

Quick Employer Search To search for employers:

To change the geographic area of the search, click the Area link. See the “Selecting Geography” section in Appendix A for details on selecting an area.

Enter a keyword or phrase in the Keywords field. To expand the keyword search, click the + Keyword Search Options link. The expanded search

fields allow users to search by: Keywords that begin with the word(s) entered in the Keywords field Keywords containing the word(s) entered in the Keywords field Business Name Business Description Both Business Name and Business Description

To use additional search options, click the + Show Additional Search Options link. Select an Industry Title from the drop-down list or click the Select Specific Industry link to

select an industry. Select the Employer Size Range from the drop-down lists (both From and To).

Advanced Employer Search On the Advanced Employer Search Tab, in addition to the above search criteria, users may also select the following criteria.

Select an option to search for employers whose web addresses are listed by selecting the Yes or No radio button. Select Either to find employers regardless of whether a web address is listed.

Select a range of Employer Sales Volume. Select Location Types the employer has listed (e.g. Headquarters, Branch Office, etc.). Select Sector Entities from the drop-down list (e.g. State, Municipal, Private, etc.).

Employer Search by Occupation On the Employer Search by Occupation Tab, individuals can search for employers who have job openings for a particular occupation.

Click on an Occupation link to search for employers with job openings in that occupation. If users are unsure of the exact occupation, they can click the letter of the alphabet with which the

occupation may start. The system will display a list of occupations that begin with that letter. For instance, click the letter “F” to view a list of all occupations that begin with the letter “F.” From this list, users can more easily find the occupation they had in mind.

Click on an Occupation link to search for employers with job openings in that occupation.

The Search Results screen will display the employers with positions that match the search criteria. In the Results list, click a link in the Company Name column to view details about the employer.

Search Results Screen and Employer Details screen

The Employer Details screen has several links that allow users to visit the company’s website, send a letter, learn more about the employer, etc. On the Employer Details screen:

Click the Create Letter link to open the Letter Builder to create a letter to send to the employer. (See the “Letter Builder” section earlier in this chapter for details.)

Click the Map Address or Driving Directions link to view the employer’s location on a map. Click the NAICS Code link to open the Industry Summary screen, which displays a vast amount

of industry information.

Find Employers Posting Jobs The Employers Posting Jobs screen allows individuals to search for specific employers’ job openings or search for jobs posted by employers in a specific area. To open the Employers Posting Jobs screen, select Employers Posting Jobs from the Job Seekers menu on the Navigation pane.

The search for employers by keywords in their job postings, is tied to the Job Source Criteria.

Save a Job Search

Virtual Recruiter (Save a Job Search) The Virtual Recruiter tool allows individuals to create job searches (also called “alerts”) and save them in the Virtual Recruiter. They can then tell the system how often, and when, to run the Virtual Recruiter searches and how to notify them of the search results. The Virtual Recruiter screen displays the user’s saved job searches or ‘alerts.’ The Virtual Recruiter will run the search(es) automatically and when it finds jobs that meet the search criteria, the system sends a notification by email, internal message, and/or cell phone text message. The Virtual Recruiter tool is similar to the search agents available on many commercial job sites and lets individuals review their saved job searches, modify the searches, and create new searches.

2 Ways to Create Virtual Recruiter Alerts There are two ways to create Virtual Recruiter job searches or ‘alerts:

Open the Virtual Recruiter tab and create a Virtual Recruiter Job Search At the end of a Job Search save the Search as a Virtual Recruiter

Virtual Recruiter Tab As described in the “Virtual Recruiter Tab” section of Chapter 3, you can open the Virtual Recruiter tab (My Portfolio > My Individual Plans > Employment Plan Profile > Virtual Recruiter tab). On this screen, click the Create new Job Alert button to create a new Virtual Recruiter job search.

Save Job Search Results The second way to create a Virtual Recruiter alert is to simply save a job search. Whenever users search for a job, the system displays a Save Search button at the bottom of the Search Results screen. Clicking the Save Search button saves the search criteria so the system can rerun the search at set intervals (determined by the user).

After clicking the Save Search button, the system will open the Virtual Recruiter Information screen.

Give the Virtual Recruiter alert a name in the Title of Virtual Recruiter Alert field.

Select how often to run the Virtual Recruiter Alert from the drop-down list.

Select a Notification Method (Email and/or Text Message). Each time a Virtual Recruiter job search runs, the system will send a notification to the individual through the internal message center.

Check the Send Email when no jobs found checkbox to receive emails when the Virtual Recruiter search runs, even if it finds no matching jobs.

Enter an expiration date for the alert in the Expires on field. Click the Save button to save the Virtual Recruiter alert. The system saves the alert to your

Virtual Recruiter screen.

Virtual Recruiter Information Screen

To open the Virtual Recruiter screen to review or modify the searches or to create another, select Virtual Recruiter from the Job Seekers menu on the Navigation pane.

On the Virtual Recruiter screen: Click the Title link to modify the search settings of an existing Virtual Recruiter alert, e.g. how

often to run, expiration date, etc. Click the Save button to save the changes. Click the Run link in the Action column to run the search. Select the corresponding checkbox(es) and click the Delete link at the bottom of the table to

delete the selected Virtual Recruiter search(es). Click the Create new Job Alert button to create a new Virtual Recruiter search.

When the system runs a Virtual Recruiter search, it only displays jobs that are new since the last time the Virtual Recruiter automatically ran the job search.
