Demographics

Obviously all of your students demo records need to be in Level 0. If the child is currently enrolled and will be taking the test, the status needs to be “active” in order to receive an answer sheet (due date for demographic/enrollment records for answer sheets – this Wednesday, 3/13/2013!)

Demographic records are where NYSSIS pulls the data elements needed to match your child to an existing NYSSIS ID.

NYSSIS near matches need to all be resolved in order for an assessment to link to that child.

Please make sure all students have been reported – without a demographic record, enrollment record, and NYSSIS ID, your student will not be linked to the assessment at L2.

ReviewIf you have an active status in a demographic record and you uploaded to Level 1 with no errors, you WILL get an answer sheet

If you uploaded an active demographic record, but you have an unresolved DEMOGRAPHIC M2L1C Error on this child, you will NOT get an answer sheet and the child will not appear anywhere in the L2RPTs

Enrollment

Make sure you exit all students who leave your school!

Without an enrollment record, a child will not get a NYSSIS ID or migrate to the Level 2 reports

Review If you have an active demographic record and an enrollment record uploaded to Level 1, WITHOUT an unresolved NYSSIS near match and WITHOUT errors, you will receive an answer sheet, AND your student will be linked to the assessment in the L2 Reports

If you uploaded an active demographic record, enrollment record, but DO have an unresolved NYSSIS near match on this child, you WILL get an answer sheet, but the student will NOT be linked to the assessment. The student will not appear anywhere in L2RPTs.

If you uploaded an active demographic record, enrollment record, had NO NYSSIS near match issues, but you DO have an unresolved Enrollment M2L1C Error on this child, you will get an answer sheet but this child will NOT appear anywhere in the L2RPTs.

*** BOCES – the public school (reporting the 0011 enrollment code) will still be responsible for getting the answer sheet to you (as years’ past). Your 0055 enrollment codes are not generating the answer sheets, you are reporting enrollment records only for teacher evaluation purposes.

Answer Sheets

Make sure all demographic and enrollment records are error-free and were uploaded to Level 1

Make sure your demographic status is “Active,” if the child is in fact still active and taking the test at your school

Make sure if the child needed a handwritten answer sheet, and was listed on the N-24 that the ID number matches what is imported into L0 and uploaded to L2

Regents: Staff-Student-Course & .csv files

3-8 NYSTP: As usual

*** BOCES – the public school (reporting the 0011 enrollment code) will still be responsible for getting the answer sheet to you (as years’ past). Your 0055 enrollment codes are not generating answer sheets. You are reporting enrollment records only for teacher evaluation purposes.

N-24 Form

What is it, you ask? If a student entered after the answer-sheet data submission upload (this Wednesday) and because of this the child did NOT receive a preprinted answer sheet, the name of the child would need to be written on this form and a handwritten, blank, answer sheet would need to be filled out.

Please make sure this child was entered into Level 0, uploaded to Level1, and all errors and a near match resolution (if you receive notification) is cleared ASAP!

Also - please, please, pleeeeeease make sure the local student ID number entered for this child in Level 0 matches EXACTLY what is written on the answer sheet. Let me explain what happens if this does not happen……….

Assessment Fact & Accommodations (L0)

3-8 ELA, Math, and Science Assessment FACT will be loaded to Level

1 for you as usual

Regents – watch for emails from testing regarding how scanned

Regents Assessment FACT records will be loaded

All scanned 3-8 and scanned Regents – ACCOMODATIONS will be

loaded for you

** BOCES do NOT report Assessment FACT or accommodation records on your students –

the public school is still responsible for this (as years’ past)

Locking & Uploading

ONLY upload to Level 1 ONCE per day (REMEMBER: Friday – Sunday act as one day).

Don’t just LOCK your data, create the file for Level 1 (upload).

DUE DATES:

LAST day to upload all EOY data: August 15, 2012

Please do not wait until this day to start importing data. If you wait until August 15th, you will only be able to view your data one time.

SPED VR10 & VR16 certification due: 8/27/2012 (this is done in the PD system)
