Agency vs. Site Some agencies are multi-site. This means a particular office is part of a larger agency organization. That organization has several offices throughout the country processing bonds. In this example, the agency is the parent organization and the site is the specific office location. If you are part of a single-site agency, agency and site are the same. This is an important distinction to make because some administrative functions are shared across the entire agency while others are site specific.

Agency Carriers Overview This is the Agency Carriers screen. It if a fairly complete listing of all billing and issuing carriers. The list is organized and sorted by billing carrier. Related issuing carriers are indented underneath each billing carrier.

The Agency Carrier screen serves three purposes. • It is where you identify the issuing and billing carriers used by your agency (Include

column). A carrier must be activated on this screen before you can attach it to a client or use it in bond execution.

• Integration with the agency’s accounting system (Agency’s Code for Carrier). The requirements vary by billing system. For more information refer to the supplemental user guide pertaining to your billing integration.

• Integration with Carrier accounting system (Carrier’s Code for Agency). If the code your carrier uses to identify your agency is identical for all of your offices using SurePath, it is

where you enter that code. If the code for each site is different, refer to How Do I Enter Site Specific Integration Codes.

The agency carrier screen is, as the name implies, agency driven and not site driven (for more information on agency vs. site click here). If you are part of a multi-site agency this screen represents carriers used by all your offices. Please do not de-activate a carrier unless you are absolutely sure it is not being used by another office.

How Do I Activate a Carrier 1. Click the orange Agency Carriers menu button. 2. Scroll down through the list; when you see the issuing carrier you want to activate, click the

Include box on the far right. Tips: • If you select the issuing carrier the corresponding billing carrier will automatically be

included. If you select the billing carrier you must remember to also check the Issuing carrier.

• Because an issuing carrier can be related to more than one billing carrier (i.e., as in MGA’s) it is important to select the correct issuing / billing carrier combination.

• To use Internet Explorer’s Find feature to search the list, hold down the [CTRL] key and the [F] key.

• If you cannot find the carrier, contact the helpdesk. 3. Select one of the following for the Agency’s Code for Carrier field:

4. Select one of the following for the Carrier’s Code for Agency field:

How to I De-Activate a Carrier My Agency No Longer Uses Remember, that if you are part of a multi-site agency this screen is used by all sites. In this situation please do not de-activate a carrier unless you are sure it is not in use by another location. 1. Click the orange Agency Carriers menu button. 2. Scroll down through the list; when you see the issuing carrier you want to de-activate, click

the Include box on the far right to remove the check mark. 3. Repeat step 2 for the billing carrier. 4. Scroll down to the very bottom of the page and click the Submit button.

Sites Overview The Sites button is used to: • Activate local surety addresses used in bond execution. • Customize bond request forms for client users. • Define how the site name and surety phone number should appear on bond forms. • Capture site specific integration codes. • Reset producer and servicer codes. • Determine amount of storage space used by your site.

How Do I Activate a Local Surety Address If you use a local surety address on bonds that require a surety address, you must first activate the address(es) you want to use. If you forget to activate the address you will not be able to select it during bond execution. Please note that by default (without any action on your part) you can select the carrier’s corporate office address or your agency address; this step is only required if you need a local surety address. 1. Click the orange Sites button. 2. Select your location from the Your Company Sites drop down list. Result: The

Configuration Options page displays. 3. Click the Select Carrier Branches button. 4. Locate the billing carrier on the list and click the View Sites hyperlink. Note: Depending on

your screen resolution you may need to scroll to the right to access this option. 5. Locate the address(es) and place a check mark in the Include column.

Notes: • You may need to scroll to the right to see the Include column. • If the address is not on the list, contact the Helpdesk to have it added.

6. Click the Submit button.

How Do I Configure the Surety Phone Number 1. Click the orange Sites button. 2. Select your location from the Your Company Sites drop down list. Result: The

Configuration Options page displays. 3. Select the appropriate surety phone number option in the Bond Form Preferences section. 4. Scroll to the bottom of the screen and click the Submit button.

How Do I Tell SurePath to Use My Site Name and Not My Agency Name 1. Click the orange Sites button. 2. Select your location from the Your Company Sites drop down list. Result: The

Configuration Options page displays. 3. Add or remove the check mark in the Use Site Name on Bonds option, located in the Bond

Form Preferences section. 4. Scroll to the bottom of the screen and click the Submit button.

How Do I Configure Bond Detail Preferences 1. Click the Orange Sites button. 2. Select your location from the Your Company Sites drop down list. Result: The

Configuration Options page displays. 3. Locate the Bond Details Preferences section. 4. Add or remove check marks based on the following preferences:

Preference Description Include Bond Form Custom Fields in Print View

In the Print view only, include the fields located in the Bond Form Custom Fields section of the Bond Details page.

Include Public Custom Fields in Print View

Applies only to agency sites licensed for and using SurePath custom fields. If selected, include in Print view only, public custom fields.

Include Private Custom Fields in Print View

Applies only to agency sites licensed for and using SurePath custom fields. If selected, include in Print view only, private custom fields.

Include Bid Results in Print View Applies only to agency sites entering bid results in SurePath. In the Other Information section of Print view only, include the top 3 bidders from the Bid Results page. Include bidder name, rank and bid amount.

Include Underwriter Info in Normal and Print View

In print and normal view display the following fields from the Underwriter Info page: estimated start/end date, project duration, project/invitation/bid number, liquidated damages, retention %, maintenance term and warranty term.

How Do I Customize the Request Form for My Client Users A client can use SurePath to request bonds. The request form can be customized to include your company logo and specific messages about how the user should complete the form. Following are sample request forms. There is a green message bar at the top and at the bottom of each form the content of which can be customized by the agency.

The green message bar at the top of the page is referred to as General Instructions. The green message bar at the bottom of the page is referred to as Instructions on Comments.

There are four types of bond request forms: Generic, Bid, Performance and Payment and Subdivision. Each bond type has their own set of messages. Following are step-by-step instructions for creating the request form messages. Note: For more information on client access, refer to SurePath Help / For Agents / How Do I Prepare for Client Access. 1. Click the orange Sites button. 2. Select your location from the Your Company Sites drop down list. Result: The

Configuration Options page displays.

3. Locate the bond type in the Bond Request Form Customizations Section. 4. To enter a message in the green message bar at the top of the request form, complete the

General Instructions box. Note: The logo is added using HTML. For assistance, please contact our helpdesk.

5. To enter a message in the green message bar at the bottom of the request form, complete the Instructions on Comments box.

6. Repeat steps 3 through 5 for additional bond types. 7. Scroll to the bottom of the page and click Submit.

How Do I Enter Site Specific Integration Codes This feature is used only when SurePath is integrated with an agency accounting system that utilizes a code from this screen. For more information on the requirements of your integration consult the supplemental user guide pertaining to your billing integration. If a code is required, complete the screen as follows: 1. Click the orange Sites button. 2. Select your location from the Your Company Sites drop down list. Result: The

Configuration Options page displays. 3. Click the Edit Integration Codes button, located on the Sites toolbar. Result: The Site

Carriers and Integration Codes screen displays.

4. Enter a billing and issuing carrier code based on the information below: Column Name Definition Agency’s Code for Carrier For integration with your agency’s account system. If the

code used in your accounting system for this carrier is unique (i.e., different then your other offices), enter that code here.

Carrier’s Code for Agency For integration with the carrier’s accounting system. If the code your carrier uses to identify your agency is unique for your office (i.e., different then your other offices), enter that code here.

5. Click the Submit button.

How Do I Reset Producer and Servicer Codes SurePath lets you assign up to three producers and 2 servicers to a client for reporting and integration purposes. The client default carries over to bond execution where it can be accepted or overridden. Use this feature to assign producers and services to bonds that have been executed without producers and servicers. This feature: • Only updates bonds with no producers and servicers assigned to them. • Updates bonds using the current client default. 1. Click the orange Sites button. 2. Select your location from the Your Company Sites drop down list. Result: The

Configuration Options page displays.

3. Click the Reset Producer / Servicer Codes button, located on the Sites toolbar. Result: The Reset Site Producer / Servicer Codes screen displays.

4. Review the statistical information displayed on the Reset Site Producer / Servicer Codes screen.

5. Click the Submit button. Warning: SurePath will attempt to update the bonds indicated in the first line (bonds with no producers/servicers configured) with the producers/servicers indicated on the Client / General Information page. If there are clients with no producers/servicers assigned (indicated in the third statistic), bonds for these clients will not be updated. Bonds with one or more producers/servicers will also not be updated.

6. To complete the update, click OK at the warning message.

How Do I Determine the Amount of Storage Space My Site Uses 1. Click the orange Sites button. 2. Select your location from the Your Company Sites drop down list. Result: The

Configuration Options page displays. 3. Click the Storage Space Report button, located on the Sites toolbar. Result: The report

displays.

Users Overview There are three primary types of SurePath users: • Agency user with or without administrative rights. These users are managed by an agency

user with agency administrator access using the orange Users button. This document addresses the management of agency users only.

• Client users with or without Power of Attorney. These users are managed in Client set up under the Users button by any agency user with permission. Important Note: An agency user does not have to be an agency administrator to manage client users. For more information on client users, refer to Client Access documentation located in SurePath / Help / For Agents.

• Underwriter users (essentially the same as Agency Users). These users are managed by IVT and are not described in this document.

Agency users are set up in SurePath for many purposes: • To use SurePath either to execute bonds, manage clients or run reports. • To populate the Attorney-in-Fact ‘pick list’ in bond execution. This expedites the execution

process and minimizes data entry errors because the user selects the power of attorney instead of typing the name.

• To populate the Producer or Servicer ‘pick lists’ in client set up and Advanced Process. This is for reporting and integration purposes.

Users are site specific. If a user needs to access clients in another site, depending on the situation you would need to Grant Access to specific accounts in client set up or activate the user’s View All Accounts for the Agency permission, the latter of which automatically gives the user access to all accounts at all sites. An administrator, however, can access add and edit user profiles for the entire agency.

User Profile Each user has a user profile. A user with the Agency Administrator permission can edit profiles for all users using the Users button. An individual user can view their profile using the My Information button. Depending on their Agency Administrator permission setting they can also edit some or all of their user profile. Information contained in a user profile is as follows (only bolded fields are required): FIELD NAME DEFINITION

Logon This is the user’s logon name and is assigned when the user profile is first created. The logon cannot be changed once created.

Agency The agency to which this user belongs

Site The site (agency location) to which this user belongs. If the agency is a single-site agency this is the same as Agency. Once the site is assigned to the user it cannot be changed.

Name The user’s name. This populates the Attorney-in-Fact field in bond execution so it should match the name on the user’s power, if applicable. The name can be edited during bond execution.

Email User’s email address. Although not required, this field is important if: • The user has any subscription options checked • Wants to receive email notices from IVT If this is a non-SurePath user set up only for the Attorney-in-Fact or Producer pick list you may want to leave this field blank.

Web Page Company web page address

Producer / Servicer Code Although this field is not required, it must be completed in order to select this user as a producer or servicer in client set up or during bond execution. Enter the user’s initials or the user’s code in your accounting system.

User Type This identifies the user as either an agency user, client user or underwriter user.

Active User A check mark means this logon is valid. Anyone with the logon and password and with access to the internet can use this account. It is therefore extremely important to remove the check mark if the user leaves the organization. Removing the check mark inactivates the logon.

Default Subscriptions Subscriptions are email notices. A check mark indicates an email notice should be sent to the address in the Email field when the specified event happens on ANY account to which you have access. This can also be defined at the client level in client set up.

Permissions The permissions you are given in SurePath, and the permissions you assign to users you create, determine how much you can edit and view inside SurePath.

Security Role Defines the default permissions assigned to the user. For more information on default permissions, Security Roles and Permissions.

Execute Inside Program An agency or client user can only execute bonds that fall within the parameters defined in client set up (i.e., user cannot execute a bond that exceeds the client’s aggregate limit as defined in the client’s program).

Execute Outside Program Any agency user can execute bonds outside of the program parameters defined in client set up.

Load Bond Numbers An agency user can load available bond numbers into SurePath

Manage Client Users An agency user can add or edit client users.

Edit Shared Programs All agency users can view Shared Programs and link them to a client. Only the user with this permission can create and edit a shared program.

Edit Shared Rates All agency users can view and link Shared Rate Groups to a client. Only the user with this permission can create and edit shared rate groups.

View all Client Accounts for the Site

An agency user can search for and manage clients and bonds at the site defined in their User Profile.

View All Client Accounts for the Agency

An agency user can search for and manage clients and bonds at all agency sites.

Take Ownership of a Client Account

An agency user can Take Ownership of a client account, so that he or she becomes the primary agent on the account. If you have this permission you will see orange Take Ownership button at the far right of the Client toolbar.

Agency Administrator The three orange administration buttons (agency carriers, sites and users) are activated for an agency user and they can perform any of the the functions under each.

IVT Administrator Not available to agency users

Grant Power of Attorney Not applicable to agency users

View Commission An agency or client user can see agency commission.

Bid Bonds Only Used for electronic submission of bid bonds; not currently available.

Process Form Outside System

An agency or client user can issue a bond using the Form Outside of SurePath option.

Update Percentage of Completion

An agency of client user can enter a completion percentage.

Access Financial Statements

An agency or client user can use (add, edit and view) the Financial Statement module.

Access WIP Reports An agency or client user can use (add, edit and view) the WIP module.

How Do I Generate a List of Users 1. Click the Reports button. Result: The Reports page displays. 2. Locate the User Producer/Servicer Code Report in the Standard Reports section. Despite

its name this report lists all users. 3. Perform any of the following as your next step:

Select an Agency Site from the list or using CTRL+click select a subset sites. Otherwise skip because all sites is the default.

Filter by user status Select Active, Inactive or Both (default).

Modify sort order Set primary and secondary order and descending, if applicable. Default is to sort first by Site and second by Logon.

Export output to Excel Check Export to Microsoft Excel.

How Do I Delete a User You cannot delete a user. However, you can de-activate their logon. 1. Click the orange Users button. Result: a list of agency users displays. 2. Locate the logon you want to de-activate. 3. Click on the logon name.

4. Remove the check mark from the Active User checkbox. 5. Click the Submit Changes button.

How Do I Change a Password Note: User’s can change their password using the My Information button. Following are instructions for an agency administrator to change another user’s password. 1. Click the orange Users button. Result: a list of agency users displays. 2. Locate the logon. 3. Click on the logon name. 4. Click the Reset Password button on the User Information toolbar (at the top of the screen). 5. You have two password options:

• Have SurePath assign and email a random password to the user. To use this option, click the Submit button. SurePath does all the work.

• The administrator can define the password and optionally email it to user. To use this option, uncheck the Assign Random Password option, enter the password, indicate your email preference, then click the Submit button.

How Do I Add a User to the Attorney-in-Fact Pick List (Claim Power of Attorney) Note: User’s can set up their powers using the My Information button. Following are instructions for an agency administrator to set up another user’s powers. 1. If the individual is not already set up as a SurePath user, do so now. For information on

setting up permissions (access to SurePath), refer to Security Roles and Permissions. 2. Select the user’s profile using the orange Users button or the My Information button. 3. Click the Powers of Attorney button located on the user profile toolbar. Result: a list of

agency carriers displays. 4. Place a check mark in the in the Power column next to the issuing carrier for which the user

has powers. Result: The User Name is added to the AIF column for the selected Issuing Carrier. Important: If an issuing carrier is listed multiple times select the issuing carrier associated with the correct billing carrier (payee). If an issuing carrier is missing it must be added or activated on the Agency Carrier screen (refer to How Do I Activate a Carrier).

5. Edit the AIF name if the default is incorrect for the selected carrier. 6. Click the Submit button. Result: The Claimed/Granted By, Claimed/Granted and Claimed

Date columns are updated to indicate that powers have been claimed. The users name is added to the Attorney-in-Fact Pick List in execution.

How Do I Set a User Up with Electronic Power of Attorney (Grant ePOA) Electronic powers of attorney are generated for SureForm documents whose Attorney-in-Fact has been granted electronic powers. SureForm documents are those produced from Execute, Copy and Consent of Surety.

Note: Additional licensing is required to use this feature. ePOA is mandatory for eBonding. 1. If the individual is not already set up as a SurePath user, do so now. 2. Claim power of attorney for users who will be granted electronic powers. For step-by-step

instructions refer to the previous section, How Do I Add a User to the Attorney-in-Fact Pick List (Claim Power of Attorney).

3. Contact your local underwriter and provide them with the names of the individuals for whom you would like electronic powers granted.

4. The local underwriter will contact the individual in their company responsible for granting electronic powers in SurePath. Users will receive an email when ePOA is granted; the Claimed/Granted By Claimed/Granted and Claimed Date columns will be updated on the user’s Powers of Attorney screen in SurePath.

What if the User Forgets Their Password There is no way to determine what the user’s password is, so in this situation you just assign them a new password. Refer to How Do I Change a Password for step-by-step instructions.

How Do I Edit the User’s Profile The user has limited access to their profile using the My Information button. They should therefore be encouraged to make simple changes such as changes in email address or name. However, should you need to edit a user’s profile, do the following: 1. Click the orange Users button. Result: a list of agency users displays. 2. Locate the profile you need to edit. 3. Click on the logon name. 4. Edit information on the User Information page as is applicable. 5. Click the Submit Changes button.
