  • 1 OverviewChapter

    1-1 General

    The Alcatel 4635 is a voice mail system which is integrated in a shelf in the Alcatel 4400 PBX.

    The Alcatel 4635 messaging system is used to exchange, with a correspondent (person, mailboxor fax machine), information in the form of voice messages or faxes, store these messages orfaxes and restore them on demand to the recipient.

    The Alcatel 4635 software is supplied in a standard version (voice mail) to which different optionscan be added. These options include:

    - specific mailboxes

    - conversation recording

    - automated attendant

    - fax (Alcatel 4635H),

    - configuration of an OctelNet, AMIS network.

    t Concerning users of this documentation

    This documentation is intended for system administrators in charge of updating the voicemailboxes, preparing reports and optimising system management.

    Alcatel also provides training courses for these system administrators, available from thecommercial service.

    1-2 Main functions

    Note: The different functions are obtained using the specific mailboxes detailed in 4-2.

    1-2-1 Basic functions

    Notes:

    - The voice service guides the user during the different operations by menus and voice prompts.

    - If the user has a reflex set, the dynamic function keys opposite the labels displayed during the requiredfacilities can also be used.

    t Telephone answerphone function

    Plays a standard message or a message recorded by the holder.

    t Recording answerphone function

    Plays a message after which the caller can leave a message in the holders mailbox.

    t Mail functions

    Used to drop a message for a subscriber directly in that subscribers mailbox from the messagingservice access number.

    The messaging system offers:

    - Call by name

    - Distribution by individual list

    - Distribution by general list

    - Voice mailbox transfer

    - Night voice mailbox

    - Notification of internal and external calls

    - Password modification.

    The boards comprising the Alcatel 4635H messaging system (greyed) are shown above in theAlcatel 4400 PBX main ACT shelf. They can also be placed in a peripheral shelf.

    In both cases, these boards must be placed in the same shelf.

    The basic hardware configuration comprises:

    - 1 VPM35 (Voice Processing Multiple35) board, for connecting an IDE hard disk.

    - Optionally, 1 or 2 MSBI (Mass Storage Board IDE) with one or two hard disks each (1.4GB

    or 2.16GB capacity). They contain the software, voice guides, database and messages.

    - 1 to 8 SPA3 (Speech Processing Auxiliary) boards. They each offer 8 channels with simul-taneous access to the messaging system.

    - Optionally, 1 ATB2 board (or ATB31 where fitted with 2 MSBI boards). Backplane comple-ment, for the IDE bus interconnection between VPM35 and MSBIs.

    - 1 V24 cable connecting the VPM35 board to a VT100 type console, called SMT (SystemManager Terminal), which must remain dedicated to the Alcatel 4635H messaging system.You can use the Alcatel 4400 PBX system console to emulate the VT100 terminal. The cablecan also be connected to the switch box, for remote maintenance. A printer connected tothe console is used to output reports and statistics.

    - 1 special Ethernet cable for connecting the VPM35 board to the customer LAN.

    The maximum configuration (8 SPA3 boards and 4 hard disks) allows:

    - 64 simultaneous accesses.

    - 722 hours storage.

    - 10,000 voice mailboxes.

    - 5 languages.

    The maximum storage duration indicated above is for a single language for the voice guides.Each additional language reduces the storage duration by about 5 hours.

    The sub-menus are presented in three groups:

    - system general parameters

    - voice mailboxes

    - system management.

    READ THE FOLLOWING INFORMATION BEFORE ANY OPERATION:

    To select one of the sub-menus, enter the corresponding number and press

    the key to validate, and so on through the tree structure.

    Regardless of the level in the tree structure, you can press CTRL/Cto return to theprevious menu.

    When parameters have been modified in a menu, the Ctrl/C command can also beused to exit this menu without validating these modifications.

    To navigate through a menu and modify the parameters, use the or

    keys or the arrow keys.

    To modify parameters in a menu, press the key after each modification to

    a parameter or press F4 (on a VT100 terminal) or F4 (on a emulated PC) to validatethe complete page (if the menu is contained on several pages, repeat the operation for eachpage).

    Note:

    To designate the sub-menus, the following convention has been adopted for this manual:

    Example: a menu designated by 13.4 is obtained by carrying out the following operations from the MAINMENU:

    - enter 13 on the keyboard and validate by pressing the key,

    - when the new menu is displayed, enter 4 on the keyboard and validate by pressing the

    key, the menu designated by 13.4 is displayed on screen (the menus concerned by this exampleare shown on the next page).

    Before quitting the console, return to the greeting prompt (Ctrl/C command) to lockthe access by password.

    You can activate the installed access ports to the maximum authorised for the server.

    Return to the MAIN MENU by pressing Ctrl/C.

    2-2-2 Checking disk capacity

    From the MAIN MENU, enter choice 12 to obtain, for example, the following display:

    The installed capacity expressed in hours is that of the zones used for caller message storage.This is the physical capacity of the disk, minus the zones used by the software, voice menus andthe database.

    The authorised capacity is a part of the installed capacity, limited by the configuration.

    The free capacity represents the remaining usable zone. This is never equal to the value installedbecause of the personal greeting messages.

    The free storage space percentage is monitored: a secondary alarm message is sent when thelevel reaches 20%: a primary alarm message is sent when the level is null.

    Return to the MAIN MENU by pressing Ctrl/C.

    Add the dates of the public holidays in the year (40 maximum).

    Note: If the time periods are numerous, remember to note them down or print them, so that you can allocatethem to the mailboxes without error.

    3-2 Notification parameters

    Notification of a messages waiting consists in calling the subscribers periodically to signal thepresence of messages in their mailboxes, during a programmable time period. Such notificationmay be configured for all messages or for urgent messages only.

    Normally, sets connected to the Alcatel 4400 PBX are equipped with LEDs for internal notification.However, a subscriber who is out of the office can request notification on an internal set of hischoice or on an external number.

    The temporary validation of this notification can be carried out using the personal options of themailbox.

    Depending on his class of service, the subscriber may also modify the time periods and/ortelephone numbers which are to receive notification.

    The sites receiving the external calls can also be restricted, internal, local external, long-distance,international.

    On each LOCAL AREA line, you can place 8 authorised area codes.

    Each line has a corresponding group name (A to F), that is found in the class of service allocatedto the subscriber mailboxes.

    4-1 Overview

    To subscribe a user to the Alcatel 4635 messaging system, you must assign the user a voicemailbox. This is defined by:

    - the type of mailbox assigned, designated by a number

    - the class of service assigned, designated by a number.

    There are different types of voice mailbox, offering specific functions. An voice mailboxcan be individual (attached to a set) or collective. Certain types are standard, while others dependon the software options installed (see 4-2).

    The definition of a mailbox is completed by a series of parameters, called the class of service,restricting or increasing the possibilities available by the type of mailbox. A class of service maybe common to several mailboxes.

    4-2 Description of the different types of voice mailbox

    4-2-1 Standard configuration subscriber mailboxes

    - Type 0: This voice mailbox type is commonly used in the messaging systems. It has themaximum number of possibilities. It allows answer mode and messaging mode.Type 0 can also be used by certain collective mailboxes.

    - Type 51: Same as type 0, but with restricted notification possibilities.

    - Type 53: Simplified use (answer mode). Notification cannot be modified.

    - Type 54: Adapted for the Groups/sub-groups function (transmission and reception of mes-sages within a group).

    4-2-2 Standard configuration collective mailboxes

    - Type 6: General distribution list voice mailbox. Allows subscribers to send the same mes-sage to several voice mailboxes.

    - Type 29: Dial by name voice mailbox. This allows callers who do not know the number ofa recipient to enter the name via the numbering keypad.

    - Type 30: Voice mailbox used for the automated attendant function. The caller provides anumber or a recipient name.

    - Type 34: Voice mailbox for automatic transfer to a previously defined set.

    - Type 35: Same as type 34, but with the possibility to forward to two different sets accordingto the programmed time.

    4-2-3 Optional mailboxes (depending on the versions or installed software options)

    - Type 1: Playback ICBM, information centre voice mailbox. Allows the caller to listen toannouncements or general messages in the form of voice messages or faxes. Themessages are established and modified by messaging system administrator col-laborators, designated when the mailbox was initialised.

    - Type 2: Playback and answer ICMB. Same as type 1allowing the caller to respond byinformation, which will be communicated to the collaborators voice mailbox(author of the message).

    - Type 3: ICMB voice mailbox with greeting message cycle. Same as type 1, but only ableto contain voice messages (6 max.), which will be played in sequence, withprogression to the next message after each call.

    - Type 4: Communication voice mailbox. Used to broadcast a message to a group of subs-cribers or all the subscribers if no group is defined.

    - Type 5: Announcements voice mailbox. Used to broadcast announcements at specificintervals via loudspeaker system connected to the PBX.

    - Type 7: Voice mailbox used for the fax on demand transmission function. The caller indi-4-2 Alcatel 4635H/J (R.2) (Voice mail system) - Alcatel 4400

    cates the recipient fax machine.

    - Type 10: Questionnaire voice mailbox (OctelForm). Contains a series of questions, to whichthe caller responds. All the replies constitute a single message, recorded in thetype 11 associated mailbox .

    - Type 11: Transcriptor voice mailbox (OctelForm). Associated with mailbox type 10, usedto consult messages transmitted by latter.

    - Type 12: Questionnaire voice mailbox (OctelForm). Identical to type 11, except that repliesare by DTMF codes (external PC software required).

    - Type 20: Voice mailbox for hotel rooms (DTMF).

    - Type 21: Hotel room voice mailbox when the sets have no DTMF numbering.

    - Type 22: Hotel voice mailbox for reception desk.

    - Type 28: Collective set voice mailbox. Mailbox allocated to a set shared by several users,each having a type 0 individual voice mailbox associated to it. It announces tothe caller the list of the different names and the caller makes a choice by enteringa digit from 1 to n.

    - Type 31: ECP voice mailbox. Announces a selection menu, to which the caller responds byentering a digit from 1 to 9, enabling it to transfer to the different voice mailboxesof an information centre.

    - Type 32: Same as type 31, but in addition the caller has the possibility of also entering astation number.

    - Type 33: Same as type 32, but in addition the caller has the possibility of also entering avoice mailbox number.

    - Type 45: Collective voice mailbox for reception or distribution of fax (used by the FaxStation,FaxBroadcast and FaxAgent applications).

    - Type 58: Voice mailbox for conference recording (3 hours capacity).

    - Type 60: Voice mailbox for surveillance. Identical to type 0 (password cannot be modifiedby subscriber group)

    4-3 Standard management (user profiles)

    4-3-1 Profile overview

    The system proposes pre-defined user profiles in order to simplify management:

    - traditional profile : destined for most subscribers

    - simplified profile : destined for a basic functions only subscriber (answerphone-recorder)

    - advanced profile : destined for an experienced user who makes extensive use of themessaging system.

    The 10 classes of service (CS) presented in the table below correspond to a user profile thatis combined or not with the Network and Fax options.

    (The 10 classes of service 30, 31, 32, 40 and 42 are only used by the Alcatel4635H version).

    Namely:

    Depending on the case, the type of voice mailbox associated with the class of service is 0 or 53(see 4-2).

    4-3-2 Profile management

    Once the user profile has been defined (Traditional, Simplified or Advanced), locate in the previoustable ( 4-3-1) according to the required configuration (without option, with network, fax ornetwork + fax option):

    - the type of voice mailbox used (0 or 53)

    - the class of service number (CS 10, 20, 30, 40, 11, 31, 12, 22, 32 or 42)

    and note down these two numbers which will be needed in the management menus.

    - Subscribers extension:By default, this is the mailbox number. If the latter is not the number of the set, change it.This number is used for notification.

    - Operator extension:Enter a number between 1 and 30 corresponding to one of the time periods defined inConfiguration of generalities menu 1.2. If there is no time period defined, this canbe the attendant set number or a secretary set number.

    - Class of service:Assign a class of service number, retained for this mailbox.

    - Initial password:The password displayed is a random number, automatically assigned on mailbox creation.For greater simplicity, it is normal for the messaging system manager to replace this codeby the set number. On initial access, the subscriber must replace the initial password by acode of his choice.

    - Operator schedule:Enter the attendant time period defined in Generalities for this set.

    Note: Since the classes of service used for the profiles are already created, no modification is required.However, it is possible to modify the parameter values to meet specific requirements. In this case, followthe verification/modification of a class of service procedure (see 4-4-1-2) indicating the number of theclass to modify. The parameter default values are indicated in 4-4-1-3.

    4-4 Customised management

    4-4-1 Management of classes of services

    4-4-1-1 Generalities

    There can be up to 64 classes of service (CS), designated by a number from 1 to 64.

    The CSs can be created by modifying the default value of the existing parameters. Someparameters can only be coded if the function that they control corresponds to an installed softwareoption.

    The standard classes of service 1 to 6 contain a name designating the type of user:

    - CS 1 Director (offering the maximum number of possibilities)

    - CS 2 Head of department (with restricted possibilities as regards CS 1)

    - CS 3 Office manager (with restricted possibilities as regards CS 2)

    - CS 4 Sales staff (with a number of messages and storage duration greater than CS 3)4-6 Alcatel 4635H/J (R.2) (Voice mail system) - Alcatel 4400

    - CS 5 Secretary (with restricted possibilities as regards CS 4)

    - CS 6 Employee (with restricted possibilities as regards CS 5)

    These job titles are given as an example only. You should consider the level of telephone activityof a subscriber when determining this.

    Some CS parameters can be modified. The default values of classes of service 1 to 64 are detailedin 4-4-1-3.

    . If = 0, the subscriber is only authorised the standard message

    . If = 2, two personal greeting messages, one for busy and one for no answer.

    - Max. greeting length (min:sec):From 0:15 to 30:00.

    Caution: The maximum length of the greeting message entered here is taken into account at the level ofeach mailbox created with this profile.     - Skip password on direct call:If = N, the subscriber must enter the password even for a direct call to the mailbox.

    - Limited caller access:If = Y, the caller cannot use the pressing * key to designate another voice mailbox than theone reached.

    - Easy access via telephone answering:If = Y, a subscriber calling his mailbox set to answerphone mode can use the easy accesskey to access the voice mailbox.

    Note: This key, which is usually #, is defined in Configuration of Generalities, menu 1.2.

    - Application access:This function is optional and requires the creation of common mailboxes, bulletins ordistribution or even external resources. This parameter sets the access possibilities. Leave as= 0 by default.

    4-4-2-1 General

    The following examples correspond to a type 0 mailbox which is the one mostcommonly used.

    Note: Mailbox types 51, 53 and 54 only differ from type 0 in their use and voice guide content. Themailbox configuration menus or class of service profiles are identical, but certain parameters are frozenand meaningless.

    For more details on the different types of voice mailboxes, see 4-2.

    4-4-2-2 Creating a voice mailbox

    Caution:

    Before creating a voice mailbox, you need to know the type of voice mailbox required(0 to 58) and the associated class of service (1 to 64), see above.

    The parameters to be completed are shown below (see 2-1 for the use of the various commands):

    The number and type of mailbox are inserted automatically.

    - Mailbox name:This must be that of the subscriber, followed by the first name, from 2 to 20 characters. Thesenames are used to identify a subscriber when the call by name option is used.

    Note: each mailbox must have its own name.

    - Department:7 characters maximum. Used in the statistics.

    - Subscribers extension:By default, this is the mailbox number. If the latter is not the number of the set, change it.This number is used for notification.

    - Operator extension:Enter a number between 1 and 30 corresponding to one of the time periods defined inConfiguration of generalities menu 1.2. If there is no time period defined, this canbe the attendant set number or a secretary set number.

    - Calling group:Leave as 0 if no group number has been defined.

    - Class of service:Assign a class of service number, retained for this mailbox.

    - Initial password:The password displayed is a random number, automatically assigned on mailbox creation.For greater simplicity, it is normal for the messaging system manager to replace this codeby the set number. On initial access, the subscriber must replace the initial password by acode of his choice.

    - Initial entry tutorial:

    . If = Y, on initial access to the mailbox, the subscriber will hear a prompt for changingthe initial password, recording his name and, depending on the profile, changing thegreeting message.

    . If the parameter = N, the subscriber must access the mailbox personal options himselfin order to carry out these changes.

    - Initialise outcalling:Notification of a message waiting by set call can be initialised by the messaging systemmanager or, depending on the class of service profile, by the subscriber. Enter Y or N.

    - Initial outcall number:Enter nothing if the previous item = N. If Y was declared for the previous item, enter thenotification telephone number for this subscriber (18 digits maximum).

    Complete this item (10 digits maximum) if waiting message notification is to be carried outto the exterior (for example, to a paging device).

    - Pager type:If = 0, no pager. A number between 1 and 6 returns the numbering sequences defined inConfiguration of generalities menu 6.1.

    - Caller prompting:The assistance prompts can have different levels of detail:

    . If = 1, the prompts are detailed

    . If = 2, the prompts are short

    . If = 3, there are no prompts.

    - Messages waiting allowed: Select Y for signalling by LED and to obtain a display on reflex sets.

    - Mailbox language: This is the language used by the mailbox when playing the menus for the subscriber. Thevalue can be 1, 2, 3, 4 or 5 depending on the languages installed. After entering the number,the selected language is displayed.

    - Bulletins:Up to 5 voice mailboxes accessible by the subscriber who listen to their contents when heconsults his personal mailbox.

    - Application mailbox:Designates the application mailbox to which the subscriber will have access by dialling 6.

    - Community No - Group Id:If groups have already been defined, enter the group number of this subscriber.

    - Express address:Address of a mailbox within a group if the latter is defined.

    - Alias address:Substitute address if, for example, the internal number is different from the mailbox numberor if a second access to the mailbox is required (e.g., for recording a fax in the mailbox).

    - Extension mailbox: If several users (9 maximum) share a set, each one having a type 0 individual mailbox, enterthe number of the common type 28 mailbox.

    - Operator schedule:Enter the attendant time period defined in Generalities for this set.

    - After hours mailbox: If there is a common mailbox for message drop of a caller requesting an attendant outsidenormal hours, indicate the number of this mailbox.

    4-4-2-3 Modifying a voice mailbox

    Caution:

    Any modification to a type of voice mailbox will be is applied for all users of this type of mailbox.

    In the MAIN MENU, select choice 9 to obtain:

    t To consult the profile of a mailbox or to make modifications (mailbox name, password, etc.):

    - Enter 1.- Enter the mailbox number. When the MAILBOX TYPE field appears, confirm by pressing

    or modify the type (the type can only be modified in the same mailbox category).

    The content of menu 9 CHANGE MAILBOX PROFILE is displayed. This menu is almost the sameas menu 8 ADD MAILBOX seen in 4-4-2-2:

    - Some fields are not displayed, others are labelled differently and are not located in the same place.

    - All the parameters can be modified except the mailbox number and the MAILBOX VPMODID parameter, which can only be modified from menu 1.

    - See the explanations for the ADD MAILBOX menu ( 4-4-2-2) for the meaning of the fields.

    Caution: In the case of the managers mailbox, if the system prompts you to designate a new password,make sure you note this down for future reference.

    A short menu is displayed requesting the number of the mailbox to be deleted (this number isusually the same as the set number to which the messaging system is assigned).

    The mailbox is deleted immediately and removed from the general distribution lists and thepersonal distribution lists.

    The mailbox will be purged by an off-line task, which is called every two hours.

    Subscribers who are recipients of messages sent off-line by this mailbox can receive them butcannot reply.

    The voice mailboxes of the messaging system managers (administrators) and the collective voicemailbox cannot be deleted while they are active. For example, to delete the collective voicemailbox, first delete its number in menu 1 SYSTEM PARAMETERS, third parameter, then returnto menu 10 to delete the mailbox.

    4-4-2-5 Voice mailboxes of the managers

    There are two mailboxes for the messaging system manager, both offering the same possibilities.

    By convention, their mailbox numbers and initial passwords are 5555 and 2222. These passwordsare also used for management access via the SMT console.

    Note that if the messaging system is initialised for mailboxes designated by 5 digits, the passwordswill be 55555 and 22222.

    The mailboxes of the managers are type 0 mailboxes and their reserved class of service is 64.

    Apart from listening to incident messages via normal access to his mailbox, the manager hasoption 9 which allows him to:

    1. Record a message for general distribution.

    This message is communicated to all subscribers. It is not subject to notification. Subscribersonly hear this message when they access their mailbox, after entering the password andbefore listening to any other message. It is reserved for emergencies only, and its durationis limited to 1 minute. The manager can listen to the message by 1, record it again by 2 and delete it by 3.

    2. Record a personalised greeting message.

    This is the message that a caller accessing the messaging system will hear: Welcome ....if you have a mailbox ..... press # . The manager can personalise this message and return to the standard message.

    3. Record a personalised sign-off message.

    4. Record the name of a distribution list.

    A distribution list is used for sending messages to a group of recipients. Like all recipients,it contains a name which will be broadcast (see Chapter 5).

    5. Record the name of the nodes in an OctelNet network.

    Each node in an OctelNet network has a name which will be broadcast for recipient mailboxconfirmation (see Chapter 7).

    5-1 Generalities

    When messages are frequently sent to a subscriber group, rather than designating the mailboxesof these subscribers one by one, you can indicate, as destination address, a distribution listcontaining the addresses of these subscribers.

    A subscriber can be authorised by his class of service to create personal distribution lists. Thisclass of service fixes the number of lists that are authorised and the maximum number of mailboxesin the list.

    The subscriber is sole user of his lists and manages them via the administrative options.

    The Alcatel 4635 messaging system administrator can also create general distribution lists whichcan be used by subscribers. In order to be able to use the general distribution lists, a subscribermust have the ACCESS TO SYSTEM DISTRIBUTION LISTS option in his class of service validatedY.

    A general distribution list is a type 6 mailbox to which the list of recipients has been associated.In common with all mailboxes, it has an address and a name. The sender drops a message inhis own mailbox and designates the type 6 mailbox as destination.

    On creating the type 6 mailbox, the administrator designates a manager for this mailbox andgrants an initial password for the mailbox. The manager must initialise the mailbox (passwordand name) and can draw up, delete or modify the list using the menu options of this mailbox.

    The manager of this mailbox type can also add another password called the access passwordto restrict use of this list to certain subscribers.

    The recording of the list names can be carried out either in the manager's mailbox or theadministrator's mailbox.

    A distribution list can include the addresses of local mailboxes, addresses in an OctelNet networkor addresses in an AMIS network.

    In a distribution list, addresses of other lists can also appear. This means there is a main listcontaining sub-lists.

    5-2 Configuring a general distribution list

    5-2-1 Type 6 voice mailbox

    A type 6 mailbox is created via a simplified menu as regards a subscriber mailbox.

    From the MAIN MENU, enter choice 8.

    The first two lines of the next menu are displayed.

    - Enter a mailbox number and enter 6 (mailbox type) to display the complete menu.

    The different parameters presented in the menu are detailed below (see 2-1 for the use of thedifferent commands):

    - Mailbox number:Select a number which cannot be confused with a repertory number, collective mailboxnumber or a network address. Its length is that defined for the mailboxes.

    - Mailbox name:Select a name which describes the mailbox. This name is broadcast by the messaging systemas confirmation when the list is designated as destination.

    - Department:Name which can be used in report printout.

    - Mailbox Mgr. Extension:Telephone number of the person in charge of mailbox management.

    Select a class of service which authorises the mailbox to carry out calls to a network.

    5-2-2 List creation or modification

    When the type 6 mailbox(es) have been created, you must enter the list of recipients. This canbe carried out by the list manager using commands entered via the telephone keypad or elseusing the specific options of this type of mailbox.

    For long lists, it is easier to use the SMT console.

    From the MAIN MENU, enter 11 to obtain:

    It is preferable to start with the sub-lists containing mailbox numbers.
