2012 Lessons Learned-Responses-Recommendations

Communication invite sent to user needs to be rearranged to have “You must be present for the delivery and installation of your new computer” in the 1st paragraph

This did help users understand they needed to be present and improved communication and attendance

2nd communication may need to be revisited as it received largely mediocre satisfaction ratings

A centralized location for media and installation instructions would help streamline the installation of legacy software

We have added to the unique software list on SharePoint

Information should be assigned to a central location where it could be updated and maintained for accuracy

Pre-migration/strategy meeting should be held with division contacts and SME prior to start of deployments. This assists with mitigation of any risks associated with culture, legacy software, hardware, and peripherals.

This was performed with limited success. SMEs knowledge was largely tribal and not always complete

Include multiple divisions in pilot program. Enhance recording of instructions for unique applications

Project Challenges Early on users had various RDP problems TDC users were in the process of moving locations Energy Hub conference took place W/E 2-9 and had an impact on scheduling and user

availability in the weeks prior, during and after. CEP had many part time employees that also made scheduling a challenge NWM and ESQ employees move around quite a bit and property reps made many last

minute changes Robot arm printers in CEP were encountered and took extra time to configure properly Dosimetery PCs were excluded from refresh due to special configuration requirement

for their instrumentation Several weather events cause employees to cancel last minute on a few occasions Some software collections with task sequences had to be installed manually

– Adobe Acrobat Pro/Standard, Entrust

Legacy printers in OCF ADP had no instructions and we could not get support from vendor Trusted sites issue had to be corrected for access to MBfinacial.com (OCF) Presidential visit on 3-15 had a major impact on site/ user availability Could not image for 3 days W/E 5-18

Project Highlights Achieved stated goal of exceeding previous projects CSAT rating Worked with Infrastructure to advance their tools:

– USMT– SCCM– OSD

Spent additional time when we encountered unique equipment or software to ensure users were transitioned successfully

– Lock shop– Joseph Kirts– Print shop– Robot arm printers

Highly cooperative atmosphere between Kemtah, ANL service desk and management team

Imran Mohiuddin created new installation instructions for ADP application used by OCF

Pete Felonk was a standout with regards to customer service We went back and installed new printers for users impacted by loss of legacy parallel

machines Matured reporting metrics in cooperation with Argonne management

Project Results 330 total machines migrated lab wide

– Completed on 6-5-13– Primarily Legacy equipment running Windows XP– Secondary, Kiosk, and Windows 7 PCs were pulled in at the end– Total machines migrated by Kemtah is now 810 lab wide

Delivered a high level of customer service– Exceeded previous project’s CSAT%

Revamped Deployment Checklist Performed Burn in process and upgraded BIOS

– Identified 6 failures that were fixed before deployment– All failure happened after BIOS upgrade (appendix)

Migrated many unique applications across several divisions– ADP, ProComm, ReportSmith are just a few of the 26 encountered– Documented and revised instructions where necessary

Worked with Argonne Infrastructure team to advance their tools– USMT– SCCM– OSD

Conducted a Bi-weekly Windows7/ Office 2010 class– 4 total users attended

• Desk side tutorial is highly effective• Most people have Windows 7/Office 2010 exposure
