How Much Is Spam Costing Your Organization?

The cost of spam hides itself in a number of different areas in and amongst your organization.

These include:

• Lost productivity from your employees as they spend time sifting through unwanted emails

• Extra money spent on your email servers so that you can keep pace with the amount of spam and legitimate emails they need to process

• The financial risk to your organization that a virus has if one of your users mistakenly opens an infected email and releases it into your internal network

Not convinced? See for yourself by using the Spam Cost Calculator and find out how much money your organization is losing on a yearly basis due to spam!

The Barracuda Spam Firewall: A Comprehensive Spam Filtering Approach

The Barracuda Spam Firewall is a powerful, enterprise-class solution. Multiple units can be clustered together for even greater capacity and high availability. It is an integrated hardware and software solution for complete protection of your email server (so you need one in order for this solution to work).

The Barracuda Spam Firewall is the industry's most trusted spam-blocking appliance for companies of all sizes. The Spam Firewall handles a massive amount of email, over 1.3 million messages per hour (model 800), without bogging down your email servers.

On top of its superior spam blocking capabilities, the Spam Firewall automatically provides anti-virus protection for all email users with no per-user licensing fees!

It provides a powerful, easy to use, and affordable solution to eliminating spam and viruses from your organization by providing the following protection:

→ Denial of service and security protection→ IP block list→ Rate control→ Triple-layer antivirus protection with archive decompression→ User-specified rules→ Spam fingerprint check & Intent analysis→ Bayesian analysis→ Rule-based scoring

The design of the Spam Firewall leverages open source virus and spam solutions in conjunction with multiple defense layers:

Easy to Install & Maintain

The Barracuda Spam Firewall is a reliable and powerful spam blocking solution that is also extremely easy to install and maintain. There is no software to install and no modifications required to your existing email system. Once in place, the system administrator uses the intuitive web interface for monitoring and maintenance.

Maintenance is minimal, especially with the help of Energize Updates. These updates, automatically retrieved by the Barracuda Spam Firewall, enable maximum spam and virus protection at all times while eliminating administrative overhead. Updates are provided by Barracuda Central where engineers work around the clock monitoring the Internet for trends in spam and virus threats.

In addition, all Barracuda Spam Firewall models include essential outbound filtering techniques including attachment scanning, virus filtering, rate controls and encryption. These features help organizations to ensure that all outgoing email is legitimate and virus-free.

For dedicated outbound filtering (such as enforcing corporate policies) have a look at the Spam Firewall Outbound Model.

Question 1 - How many end-users are in your organization?

As you can see from the following matrix the models are somewhat based on the number of users that the Spam Firewall can filter for:

MS Exchange/LDAP

Also, depending on the size of your organization you might be using MS Exchange and/or LDAP. If you are then you should be looking at a model 300 (or higher) as it is the first model that has the MS Exchange / LDAP Accelerator built into it.

This feature uses the LDAP service built into Microsoft Exchange and adds another line of defense to your spam protection by only accepting emails with a valid recipient. This helps protect your network from both directory harvesting and dictionary attacks

Message Log & Quarantine Storage

Given the number of users you have message log and quarantine storage may also be important to you:

It is worth pointing that the models 100 and 200 don’t have a quarantine storage and very little in the way of message log storage so if saving all of the incoming emails (especially those that have been quarantined as looking suspiciously like spam) is important to you then you should be looking at a minimum of a model 300.

www.BarracudaNetworks.ca | www.Optrics.com | www.CudaMail.comPage 6 of 28

Page 7: Barracuda Spam Firewall Buyer's Guide

“Barracuda Spam Firewall Buyer’s Guide” - Presented by Optrics Engineering

Question 2 - Do you need per user settings?

Does this sound familiar:

→ Your boss hates spam and doesn’t want to receive ANY and therefore you have to keep a tight leash on his filtering.

→ Your Sales, Marketing and Communications Departments want you to keep the settings “loose” so that they see everything that comes through – both good and bad. They want to ensure that important emails, sales orders, purchase orders and incoming press releases don’t get filtered out.

→ Your HR Department is concerned about offending some of their staff with some of the more explicit Spam messages and they want tight settings for their filtering.

If you see yourself having any of these types of “conversations” with your users then you need per user settings and these start at the model 300.

As you can see from this screenshot, Spam scoring is easily done:

www.BarracudaNetworks.ca | www.Optrics.com | www.CudaMail.comPage 7 of 28

Page 8: Barracuda Spam Firewall Buyer's Guide

“Barracuda Spam Firewall Buyer’s Guide” - Presented by Optrics Engineering

It is also worth pointing out that with per user settings you can set your Barracuda Spam Firewall to send a daily quarantine summary email to each user, which shows them what has been quarantined that day.

Here’s an example of what your users will receive:

Your users can (through this email) manage their own settings as well as determine on their own which emails should be allowed to pass and which ones should be marked as spam.

Life Without Per User Settings & Quarantine

The other scenario that you should consider is that if you went with a model 100 or 200 that doesn’t have the per user quarantine all quarantined emails will go to a single email address that is designated by you.

Guess who gets to sort through all of that quarantined email - YOU!

If allowing your users to sort through their own email is important to you, start with a model 300.

This will save you so much time and allow you to work on more important things.

Page 9: Barracuda Spam Firewall Buyer's Guide

Question 3 - Is redundancy & high-availability important?

What will you do if your Spam Firewall ceased to work? This could be due to any number of reasons including:

→ A hardware failure→ Your NOC getting flooded with water or catching on fire→ A power spike→ A rogue employee causing physical harm to you unit

You know that if this happens you’ll have to remove your Spam Firewall from your network until you can fix it and then relay ALL of your email to your mail server knowing that your users will get a sudden surge in spam.

Within minutes your phone will be ringing off of the hook with upset end-users blaming you for all of their unwanted email and your life will become a living hell!

What can you do to avoid this single point of failure scenario?

1. Include Instant Replacement with your order. If your Barracuda product fails, a replacement unit will be shipped within 1 business day so that you can get back up and running.

You’ll be billed pending return of the failed unit but once the unit is received, you will be fully credited.

It won’t fix your immediate problem but at least you know a new unit is on its way.

You can learn more about Barracuda Instant Replacement by going to:www.BarracudaNetworks.ca/faqs/instant-replacement.aspx

www.BarracudaNetworks.ca | www.Optrics.com | www.CudaMail.comPage 9 of 28

Page 10: Barracuda Spam Firewall Buyer's Guide

2. Purchase a second unit and cluster them together. You can either cluster them together in the same server room (mind you if the problem is with your server room then you really haven’t solved the root cause of the problem) or you can cluster them in a different geographic area (i.e. at a co-location).

At least by having a second (or even a third unit) in a geographically different area you decrease the potential for down time.

Multiple Email Server Locations - The Barracuda Spam Firewall can also be used in environments where there are multiple email server locations.

For optimal performance, a Barracuda Spam Firewall should be placed in each location that contains an email server. This remote clustering capability can greatly simplify control and administration.

You can learn more about various deployment configurations by going to:www.BarracudaNetworks.ca/spam-firewall/deployment.aspx

www.BarracudaNetworks.ca | www.Optrics.com | www.CudaMail.comPage 10 of 28

Page 11: Barracuda Spam Firewall Buyer's Guide

3. You could also use a 3rd party back up service such as our CudaMail MX Backup Service, where our Barracuda Spam Firewalls will begin filtering your email for you should your Barracuda Spam Firewall fail.

We’ll even mail bag your email for you if your email server goes down as well for up to 48 hours, which should be enough time for you to get your mail server back up and running.

PLUS, spammers are crafty and often direct mail toward MX2 intentionally to avoid the primary spam filter you might have in place - the CudaMail Backup Service will reduce the amount of spam reaching your mail server through MX2

You can learn more about deployment configurations by going to:www.Cudamail.com/backup_service.htm

Question 4 - How many domains do you need to filter?

If you’re an ISP or an organization with multiple domains then you will need to be able to filter email for more then one domain with each undoubtedly requiring their own settings. The Barracuda Spam Firewall 400 and higher can support multiple email servers and multiple domains each with their own per domain settings.

As you can see from the screen shot below, the Domains Manager tab is where you would manage all of your domain settings.

www.BarracudaNetworks.ca | www.Optrics.com | www.CudaMail.comPage 12 of 28

Page 13: Barracuda Spam Firewall Buyer's Guide

“Barracuda Spam Firewall Buyer’s Guide” - Presented by Optrics Engineering

Once you have clicked on the ‘Edit Domain’ link you will be taken to the Per Domain Settings page. Here you can choose to use a global or per-user quarantine setup by domain. Additionally you can turn on/off certain features, such as virus or spam scanning, and spoof protection, by domain.

If you’ re an ISP this is an important feature as you can turn these features on or off, depending on whether your customer is paying for virus/spam scanning.

Additionally, you can set up different spam scoring thresholds by domain. For example, this can be used by schools who want restrictive spam scoring for their students but a more relaxed scoring for their teachers and staff.

Anti-spoofing (if necessary): This feature prevents the use of forged or “spoofed” sender addresses on unsolicited email. This feature also allows larger organizations to specify a list of IP addresses that are allowed to have a “From” address that appears from inside the organization to support multiple sites and multiple email servers.

Question 5 - Would you like to customize or brand the interface?

Some organizations (especially ISPs) like to customize and brand the user interface of the tools they’re using and making available to their clients. The Barracuda Spam Firewall gives you the ability to easily brand both the web interface as well as the quarantine email.

For example, making your changes here:

Question 6 - What is your budget?

As with any purchase you must determine what your budget is to solving your spam problem. If you’re still unsure if it’s worth your while to invest the money to solve your problem then ask yourself what will happen if you don’t solve the problem?

Also, if people are asking you to crunch the numbers in terms of the cost of spam (to justify the purchase) then we highly recommend that you use the Spam Cost Calculator as it will easily help you calculate this number. Careful though, as you might be shocked by the number!

Question 7 - How does the Spam Firewall integrate with other solutions?

If you’re serious about protecting your organization against spam threats then you should also consider having a look at the following complimentary solutions offered by Barracuda Networks:

1. Barracuda Message Archiver

Recent changes in both the legal and regulatory environments have dramatically broadened the need to retain email messages for future search and retrieval, and this applies to virtually every size of organization.

Any organization that does not implement a strong email archiving solution faces a potentially astronomical hit both financially and in terms of resources if ever called upon to provide copies of email that they cannot access quickly.

→ Do you have a retention policy that determines how long an email message is retained?

→ Do you use role-based security that controls what access level individuals have to retained email?

→ How do you monitor acceptable email behavior amongst your employees? → If an auditor or legal counsel requested copies of emails as part of a discovery

process how quickly and easily could you find them?

The Barracuda Message Archiver is an integrated hardware and software solution designed to archive email communications sent and received by users throughout your organization.

It automatically stores and indexes all email messages in real-time while making them immediately available for rapid searching and retrieval by authorized users.

2. Barracuda IM Firewall

How are you Logging and Monitoring Your Instant Messaging (IM) Traffic?

→ Most organizations have an Internet usage policy that prohibits IM yet 85% have IM on their networks. If you are not effectively blocking IM, your employees who are using it are putting your network at risk.

→ Even if you block IM at the firewall it is still possible that your employees have found a way around it. What are you doing to proactively seek out these security holes in your network?

→ Your employees may be using your internal IM service to abuse other employees, steal your intellectual property or are being recruited by former employees through it. You never know when you might be asked for your email and IM logs by the authorities if your organization becomes involved in a sexual or other harassment investigation.

The Barracuda Instant Messaging Firewall is an integrated IM server and management solution that is powerful, easy to use, and affordable for businesses of all sizes.

It identifies all IM traffic on the network, logging all messages to an internal database and includes policy tools for content filtering, file transfer management, IM access controls and virus protection.

Application failure or slowdown may result in one or all of the following:

→ Inability for local and remote users to access critical resources, complete processes and transactions

→ Measurable decline in business productivity

→ Negative impact on revenue and profits

It is therefore safe to say that application performance matters!

The Barracuda Load Balancer integrates server load balancing and network intrusion prevention into a single, affordable and easy-to-use solution.

• Provides distribution of traffic across multiple servers• Integrated protection from network intrusions• Comprehensive failover capabilities in case of server failure
