    Bias Incident Protocol: Recognize and Report Three Ways Bias Incidents Come To Your Attention

    You See It On a Community Walk:

    Before 11:00 p.m. 1. Contact the LT of your community (if before 5:00 p.m.) or call the HD on Duty.2. After youve contacted the HD try to connect with the resident. 3. Resident Answers the Door: Apologize for bugging them, but ask if they were aware of the phrase /

    drawing written on their door. See options below:

    4. Resident Does Not Answer the Door:a. Ask the HD on Duty for the best way to proceed.b. Write down any information you have.c. Take a picture of it.d. Erase it if it is on a whiteboard / cover it if it is anywhere else.e. File an incident report.f. If the HD on Duty asks you to send the bias notification e-mail follow the directions below.

    After 11:00 p.m. 1. Contact the HD On Duty before reaching out to the resident , be prepared with the following

    information:a. How it was brought to your attention?

    b. Where the potential bias incident is located?c. Specifics about the phrase / drawing.

    2. Follow the HD recommendations:a. Instructed to try and reach out to the resident, ORb. Send Bias Notification E-mail (continued on next page):

    i. Take a picture of the potential bias incident.ii. Erase it if it is on a whiteboard; cover it if it is anywhere else.

    iii. File an incident report and attach picture to incident report.iv. Send Bias notification e-mail to residents of the room.

    Do NOT attach the picture of the bias incident to the e-mail.

    Bcc the HD on Duty, the LT of your community, the RA of that floor, and DPE(s)of the community.

    Note: Some bias incidents may not be directly attached to a person or room. Example, someone writes or drawssomething in a bathroom or stairwell. Contact HD of Community or HD on Duty immediately for instructions on how bestto proceed.

    It Is Brought To Your Attention: If a resident brings a bias incident (either written or verbal) to your attention:

    1. Get as much detail as possible from the resident.a. Let them know we take these situations very seriously and that we want to offer them support.b. Let them know you need to call the HD, but explain who the HD is.

    2. Contact the HD of your community or HD on Duty immediately.3. Follow the HDs instructions.4. Take a picture.5. Complete an incident report (attach a picture if there is a picture or make sure you are accurately

    reporting the verbal bias incident).6. Erase it if it is on a whiteboard; cover it if it is anywhere else.

    You Over Hear It: If you over hear a bias incident and it is an appropriate time (you are safe and you wont make the situationworse) please address it. Depending on the severity of the verbal bias incident it could include a simpleconversation with the resident (for example, Thats so Gay) or a conversa tion with the HD on Duty (anythingmore severe than that).

    1. Gat as much detail as possible.2. Contact the HD on Duty and follow their instructions.3. Offer Support to the residents.4. Document the comment in an incident report.

    Bias Incident Resident E-mail: Between the hours of 11:00 p.m. and 9:00 a.m., a resident does not have to be woken up for a bias incident on theirdoor or white board.

    IF It isNOT threatening language or a person is NOT attached to the word or drawing.

    Instead an e-mail should be sent by the ResStaff member on duty. Must be sent when the staff member is completing an incident report. It should be sent to all the residents in the room. The LT of the community, RA of the floor, and DPE of the community should be blind copied on the e-mail.

    Follow up to the e-mail MUST occur the next day.

    E-mail That Should Have Been Sent:While on a community walk, I noticed something written/drawn/posted on your door that concerned me. Because itwas late, I did not want to disturb you. However, I do want to check in to ask if you saw it and if you are feeling okay orneed support. You should hear from a RA or Residence Education staff member, but if you have immediate questions orwould like to talk now please dont hesitate to contact the duty phone, that number is (please include the google voiceor duty cell phone number).
