BLACKBERRY, MOBILE & DATA CARD POLICY

1.0 OBJECTIVE

To define employees’ entitlements for usage of Blackberry, Mobile instrumentand Data card.

2.0 SCOPE

2.1 Eligibility of employees’ for Blackberry, mobile and data card.

2.2 Reimbursement of Mobile usage expenses.

3.0 BLACKBERRY

3.1 Employees in band 6 and above are eligible for Blackberry. Theentitlements are as follows:

3.2 Backberry will be purchased by procurement team on request receivedfrom employees.

3.3 Additional Mobile phone instrument will not be provided to Blackberry

Holders.

3.4 Employees are eligible for a new Blackberry once in five years. The oldBlackberry instrument no longer in use would need to be returned to the

Administration department.

3.5 Blackberry bills are not permissible for claiming reimbursement under flexi.

3.6 Blackberry will be given to employees below band 6 only after the

approval from Operation/Function Head, BU HR Head and CEO of theBusiness Unit on the basis of business requirements. In case of corporatefunctions, necessary approval is required from Functional head and HRhead. (Refer Annexure A for approval form). In all such cases, usagelimit will be decided by the Functional Head not below Band 6 or CEO of the Business Unit and Business Unit HR Head. Those employees, whoare already in possession of Blackberry at the time of implementation of this policy, will again need to be reviewed by Business Unit Head HR anddocument the compliance of the above approval process.

3.7 SIM connection will be taken in the name of employee and Administrationdepartment will facilitate in making arrangements for connection. However,in case of LT members the connection will be provided in the company’sname and payment will be made accordingly.

4.0 MOBILE INSTRUMENT

4.1 Employees in band 4 and 5 will be entitled to a reimbursement of cost of mobile phone instrument up to a maximum of Rs 6500/- (once in twoyears). Employees who have been provided with blackberry will not beeligible for the same.

4.2 The above reimbursement will be on production of an invoice.

4.3 All employees will continue to be entitled for claiming usage expensesunder flexi option for mobile / landline usage.

4.4 If an employee as mentioned above in para 4.1, availing Rs 6500/-under ‘Reimbursement Scheme’, leaves the company in the first year of service, then Rs 3250/- will be recovered in his/her full and final settlement.However, there will be no recovery of monies on this account, if theemployee leaves in the second year of the service.

4.5 This above reimbursement will subject to TDS and will be borne by theemployee.

5.0 LAPTOP DATA CARD

5.1 Laptop Data Card will be provided to every laptop user to enable the

employee to have round the clock connectivity.

5.2 All laptop users will be provided with maximum usage plan of 1GB per month. In case the users require more than 1 GB then considering thenature of employee’s job, approval is required from Operation/FunctionHead, BU HR Head and CEO of the Business Unit. In case of corporatefunctions, necessary approval is required from Functional head and HRhead.

5.3 Users with the company provided data cards have to return the same to the Administration department at the time of separation from the company andin all cases where there is a role change.

5.4 Employee has to take the clearance for return of data card from Administration department at the time of separation on ‘No dues form’.

6.0 PROCEDURE FOR BILL REIMBURSEMENT OF BLACKBERRY

6.1 Employee will submit original bill to Accounts Payable for claimingreimbursement of usage charges.

6.2 Accounts will reimburse the payment as per employee reimbursementprocess.

6.3 Blackberry usage expenses is to be approved as per the approval matrixgiven below:

7.0 OPTION AT THE TIME OF EMPLOYEE LEAVING THE COMPANY

Employees given Blackberry will have following options at the time of separationfrom the company

Option 1: Employee will submit the Blackberry to Administration departmentand take a clearance on ‘No dues form’.

Option 2: Purchase of instrument by employee at proportionate cost at thetime of leaving. For the purpose of calculating balanceproportionate cost, life of instrument shall be considered 5 years.

Any applicable taxes (if any) will be born by the employee.

8.0 REPAIRS AND REPLACEMENT

All repairs and replacements (in case of theft or misplacement or damage) of theinstrument must be borne by the employee and the company will not reimbursethe cost of such replacement and/or repairs under any circumstances. In case of replacement of blackberry arising out of any circumstance the balanceproportionate cost of Blackberry to be recovered from employee and will becalculated after considering the life of 5 years.

Notes:

i. This policy supersedes previous mobile phone policy.

ii. Any exceptions to the above policy will be approved by Group HR – Head..
