ACTION ITEMS

1. In few contracts the area of work is not clearly mentioned.2. It has been observed that Raghbir Singh & Company is using only 1 no. JCB & 12 nos.

loader/ pusher/ trolley ,but, as per contract 2 nos. JCB & 11 nos. loader/ pusher/ trolley (Rs. 6 + 2 lakhs) are to be used. The party is raising the bill for the full amount. Since the power plant is managed with the existing only 1 no. JCB & 12 nos. loader/ pusher/ trolley so expected reduction of cost would be to the tune of Rs 1.75 lakhs/ month. It is also suggested to cross check the previous bills.

3. Presently it is observed that the attendance record is maintained at Time Office, based on that contractor’s bills are verified for labour rate work. It is suggested that the concerned user may maintain a separate register to have the over all attendance and accordingly deploy the manpower optimally.

4. Presently Gurmukh Singh provides 5 nos. tractor trolley for pith shifting, out of which 1 no. is kept as stand by. This stand by vehicle is redundant as in case of urgency one tractor trolley owned by SSPBML may be used. Presently SSPBML has 3 nos. tractor trolley used for material shifting.

5. Total 9 nos. Loaders are being used at Yard, out of which 2 nos. are owned by SSPBML & 7 nos. are provided by seven different contractors. It is suggested that if we can utilize the services of only one/two different contractors for 7 nos. loaders, then, we may get some rate discount based on the volume.

6. The condition of Tractor Trolley for screen rejects operating in Pulp Mill is not good.7. The contract of Virsa Singh is based on minimum pulp production of 3000 MT, In case

it goes below 3000MT the contract rate is to decided .8. For re-packing, re-stitching types of jobs HODs shall validate the party’s bill based on

which payment can be made.9. For any contract finalization the following guidelines may be considered - Up to Rs.10,000 /- (Single quotation) -Up to Rs.10,000 to 50,000/-( Min. two quotations) - Above 50,000/- ( Min. three quotations) Contract finalization with single party may be done with proper justification to

be mentioned in the work order. 10. Apart from contracts for labour , mechanical, civil, electrical and employee

services, contracts for scrap sales have been included which is attached in the excel sheet along with this presentation for ready reference.
