What is Automatic Routing?
What is Automatic Routing?
The ability to route incoming faxes without any user intervention
Promotes confidentiality, security, fast delivery, and cost efficiency
Can be configured to route individual’s incoming faxes:
To fax inbox via desktop client
To email as fax notification
To shared folder as TIFF or PDF
To printer
To custom application

How Automatic Routing Works
Based on Direct Inward Dialing Numbers (DID)
Purchased as blocks of numbers through phone service provider
Enables companies to have fewer lines than extensions
Typically used with PBX (private phone switch) systems
Used for voice and fax applications
DID numbers are assigned to individuals or groups as fax numbers
Incoming calls routed to customer premises
Typically over digital T1 lines to PBX
Legacy PBX systems may use analog DID trunks

FaxPress interfaces with customer’s PBX
Captaris FaxPress & Premier only support analog loop start lines
Connected to analog phone (FXS) ports on PBX
PBX must out-pulse DID extension as DTMF tones
FaxPress requires DTMF to route incoming faxes
Supported by most PBX systems
May not be supported by legacy systems
Typically requires expert PBX programming
FaxPress matches DTMF to FaxPress account
FaxPress account assigned Mailbox ID
Mailbox ID can be up to 7 digits

Alternate Phone System Integrations
If customer wants automatic routing but does not have a PBX:
Purchase analog DID trunks from Phone Provider
Purchase DID-to-Analog converter (such as Exacom “DID brick” or Multitech CallFinder)
DID numbers routed over analog DID trunks
If customer’s PBX cannot out-pulse DID as DTMF:
Either purchase analog DID trunks with DID-to-Analog converter
– Inbound fax traffic will not go through PBX
– Outbound fax traffic may go through PBX
Or use Integrated Access Device (such as Adtran or Cisco, etc.)
– Device converts digital T1 channels to analog phone ports (FXS)
– May be used “upstream” or “downstream” from the PBX
– “Downstream” option will need an available T1 interface on PBX
– Programming of device required

Configuring automatic routing
Before you Begin (Requirements)
FaxPress server up and running
Connected to network and phone system
Desktop client installed on a workstation
Must be able to access FaxPress server over network
May use web client as an alternative
Ability to send & receive test fax
PBX programmed to out-pulse DID extension to DTMF tones
Open Text is not responsible for PBX programming
May require programming support from PBX expert
Recommend PBX expert on hand for troubleshooting

Configuring Automatic Routing
Login to FaxPress client as Administrator
Set routing type to “PBX/DID” for fax lines that require DID routing
Setup DTMF digit string mask
FaxPress can filter unnecessary digits sent to it by PBX for Mailbox ID
Configured in PBX/DID tab of server Properties
Assign Mailbox ID to FaxPress User Accounts
FaxPress supports up to 7 digits for Mailbox ID (typical is 3 or 4 digits)
Can be configured manually in User Properties or automatically via Active Directory Synchronization utility

Troubleshooting
Make sure FaxPress is configured properly
Recommend Technical Support Guidance
Enable DTMF log in Advanced Function tab of Server Properties
Records DTMF digits passed, parsed Mailbox ID, Job Number, Date & Time
DTMF.log created on FaxPress server: C:\Castelle\Data folder
If not present, FaxPress is not properly receiving DTMF digits
Most adjustments are usually made on PBX
Requires expert knowledge of PBX system
Use digit grabber to capture digits from PBX

Additional Routing Options
Call Subscriber Identification (CSID)
CSID is used to identify each fax device when fax communication is established
– Field manually entered on a fax device or in software
– Usually consists of either a fax number or company name
– Routing dependent on configuration of remote fax device
– Setup in FaxPress using CFG file (not supported in UI)
Advantage:
– Routing option useful if receiving faxes from known parties
– Routing option does not require DID numbers or telecom equipment
Disadvantage:
– Dependant on remote fax device to be configured properly with CSID field

Caller ID (CID)
Uses CID information to route incoming faxes
– Caller ID is a telephone service provided on POTS lines
– Transmitted to the called party equipment during ringing signal
– Setup in FaxPress using CFG file (not supported in UI)
Advantage:
– Routing option useful if receiving faxes from known parties
– Routing option does not require DID numbers or telecomm equipment
– Not dependant on configuration of remote fax device
Disadvantage:
– Customer needs to purchase Caller ID service from Telco and have it routed properly to FaxPress device
