What is the course feedback system

Metropolia's course feedback system collects feedback about courses using a common feedback form in the same way.

The teacher, study program, kluster and management can utilize the same inquiry.

Students do not have to give feedback, but they always have the right to do se. All students should be encouraged to give feedback for better results.

The course feedback system is working in Peppi

Questions in the course feedback system

The feedback form will always have the general UAS questions and the cluster's own questions.

Heads of department will enter their degree programme's questions into the system before any feedback is even requested. Questions concerning a degree programme can also be set only for specific courses.

Lecturers will add their own questions. They can utilize a pool of questions or their own before used questions, too.

The questions for a course are entered in the system no later than a week before the course ends, but may even be entered all in one go at the beginning of the term.

The course end date must be checked out in the Peppi application so that the date is the real ending day.

If a course has more than one lecturer, they set the questions together

Check the common questions first

Give the name to ’new set of questions’ > add (Lisää)You can make severalsets. The sets on questions comes here

Take ’Muokkaa’ > add the questions

One set of questions are shown to all degree programme students > ’Aseta oletukseksi’ This is the normal situaltion.

If you want to give some other set for certain courses (for example practise, thesis or some new course..), select those courses here

The head of department also controls the collection of feedback for each lecturer in Peppi

The unit (= organisation unit) comes automaticly according to the user. The unit is the one which offers the realization of the course.

The degree programme is the one, where the students come. They can come from one or several degree programs or the realization is for all.

Checkthe language. This guides the language of the questionnaire

The head of department plans courses and defines the staff roles for the every course > ’Realization tasks (resurssit ja ajoitus’). This part picks also the teachers, whose teachings the feedback will be asked. It’s important that no other person has the teacher role. If they work at the course, their role must be ’ylläpitäjä’.

The course end date determines when giving feedback can start. This is why it must be as close to the actual end date as possible. The lecturer may specify it within periods. The end date can only be placed outside the period by the head of department.

The teachers at the course must write here. Tehir names comes to the questionnaire. Other persons, who work at the course, must mark to column ’ylläpitäjä’.

You will find in the front side of Peppi all your courses , witch are going on and clicking them you have possibility to act with knowledge in realizatioin and plan feedbackquestions in ’opintojaksopalaute’ –tab. You can made questions ready to the coming courses too.

Follow the portlet of study course feedback so you will know •if you havent done the questions to the realizatioin•íf you have got feedback •if there is shared feedback from teachers to the students.

How to make teacher´s questions to the form:

1. Look the common questions, which are ready at the form> ’Näytä palautelomake’2. Select question types > - statement (5-stage) or - open question3. Write the questions (max 5), first in finnish,if needed, then in english to the furher column. You can also utilise the question archive,pick questions from your own or other older questionforms. The questions you have used, will be safe in your ’own’ questions

This moment is also a good timeto check that teachig language has been selected ’english’. Slide 7.

Realization feedback -tab

Check the time, when it is possible to give feedback. Fixing can be made at ’Realization task’ –tab checking the ending day of the course. Feedbacktime begins one week before that day.The questions will be locked when the first student has answered. After that it´s impossible to change the form.

If a course has more than onelecturer, they set the questionstogether.Everyone of them has to give his/her permission, that the openanswers to these questions can be seen by the other teachers who have been inthe same realization.Everybody has to acceptthis before any of them seethe answers.

The head of the departmentsee the openfeedback. The teachers´questions are only for him/ her /them.

Feedback report to the teacher

You can see the numberof respondents, averageand the standard deviation to every question.

The respondent is able to write an argument to every statement, too.

Answers to the open area willbe at the end of the report

Take the Report –tab and opintojaksopalaute-folder and you have possibility to see summaries of feedback at degree programme, kluster and UAS level

Feedback about feedback

The teacher has an opportunity to answer to the students and give feedack about feedback he/she has got. (the bottom of the report)

If the study course has had a number of teachers, the this feedback can be started by any of them and they all see the text before publishing in the teacher‘s desk ‘Unfinished teacher feedback' and supplement it.

The students see it after it has been published.

• The teacher’s feedback will archive to the workspace of the course.

The students appricate feedback from teachers. They see that it’s worth for giving .At the same time we create interaction atmosfere, which is the common asset and tool for enhanching.

Feedback from students and teacher’s feedback will archive to the workspace of the course.The workspace will be archived 90 days after the endingday of the realization.

There is also an open space in the workspace, where students can send feedback to the teacher by meil during the study course. This feedback goes only to the teacher and is not saving to any place. This dosen’t replace the normal study course feedback.

A message will appear here whenever a course is about to end and feedback can be given

You can enter your feedback one week before the course ends and four weeks after it has ended

Reporting feedback

• The lecture can see all feedback which has been given about his/her teaching

• He is the one who see the answers to his own questions

• Lecturers can see the feedback for four weeks after the course has ended.

• When more than one lecturer has taught on the same course, they can all see the course feedback to questions that they set together, if they have given the permission to others in Peppi ( See slide 10) Nobody sees anybody else's personal feedback (this applies to UAS-level questions)

• There will be knowledge about feedback to the teacher’s desk and they will be found Report –tab, too.

The head of department can see all degree programme feedback except that given for lecturers' own questions.

The director of cluster and UAS management receive the feedback as average values. As supervisors they are also entitled to receive the feedback in more detail, but this does not apply to lecturers' own questions.

The data reporting takes place trough Peppi and Report –tab. Also from Tube frontpage > Sisäverkon työkalut> OPJ-raportit esimiehille.

Potential problem situations

The lecturer's portlet on the Tuubi home page does not display the course name to remind that the questions have to be entered, or

Course name appears at the wrong time, maybe after the course was held a long time ago

If questions have not been entered in advance and no reminder is sent halfway through the course, the course end date has been entered incorrectly. The date also affects when the students' feedback forms are becoming activated. This takes place one week before the date set for the course to end. Up to that point, lecturers can change their questions.

Note also that the OJP system requires that the teacher has approved the students to the realization in Winha.

For the sake of the operation of the course feedback system, it is important to follow all instructions concerning teaching planning systems.

Benefits for giving feedback

Continuous feedback improves the level of teaching and other operations

Improvement is the result of taking into account ideas that students consider important

Feedback is used to create new practices We create a new operational culture that enables

constructive dialogue between different actors We learn to value each other's views and act upon them

Encourage students to give feedback and reflect on what they have learnedas part of the course. As a lecturer you will be supporting this by commentingon feedback you have received. This is enabled by the system.
