End of Grading Period 1st Semester 2015

12/10/2015 End Of Grading Period Instructions 10:48 AM

Step 1 Find out from your school office the deadline for you to have grades entered for the

grading period being reported.

HINT: If you try to perform any of the steps below after the official end of the

grading period being reported, as listed on the official district school year calendar, even

if you are doing so prior to the deadline learned in step 1 (e.g., during the weekend after

the grading period that just ended on Friday, you may have to check the appropriate

box(es) on the Grade Period Display screen, via the Display Options menu on the My

Gradebook | Main Screen, to see grades from the grading period being reported.

Step 2 Prior to the deadline learned in step 1, enter all the grades you have for every

assignment with a due date that falls within the official district dates of the grading

period being reported (as listed on the official district school year calendar) in the grade

book for each of your classes (actual due date is used first, then proposed due date is used

if there is no actual).

After doing this in each class, double check the average that appears in the appropriate

term grade column for the grading period being reported. This average is what will

appear on the progress report or report card.

HINT: If you need to manually adjust a student’s average that appears in the

appropriate term grade column for the grading period being reported, there should be a

link on the Birdville Skyward Gradebook How To Documentation Web page that

explains how to do this.

Step 3 Prior to the deadline learned in step 1, for those classes which have a conduct

(citizenship) grade (typically E, S, N, or U) in the grading period being reported, enter

one for all students. To do so click on the column heading of the conduct (citizenship)

grade in the grading period being reported (CZ1 in following screen shot, 1 because it’s

the 1st six weeks) and then enter grades on the Citizenship Grade Entry screen that

appears (see screen shot on next page).

Step 3 continued

Per district policy or procedure conduct grades are typically only given in

each class on report cards, so this column may not appear when posting

grades for progress reports.

o Elementary school teachers should still be able to give a

conduct grade on progress reports via the appropriate three-

week calculated average in their Conduct class. Elementary

teachers that don’t have a Conduct class can possibly use

Enter a conduct (citizenship)

grade for each student. If you

leave it blank here they will

not get one on the progress

report or report card.

You can use this to fill in all blanks with

the same grade.

the comment codes explained below to communicate

behavioral issues/progress on progress reports.

Step 4 Prior to the deadline learned in step 1, for the grading period being reported you will

enter comment codes in each class for those students you have identified as needing such

additional information. To do so click on the Posting button on the grade book Main

Screen and then click on “Post Comments” on the pulldown menu that appears, select the

correct grading period on the Comments screen (illustrated on next page), and then enter

all desired comment codes, up to six per student, on the Comment Entry screen (example

follows on another page below).

Step 4 continued

Click the Post Comments link for the grading

period being reported (look at dates on this screen

to confirm it is the correct one). If the link is

something other than Post Comments for the dates

you need you will need to check with your school

office because they probably have the posting

window closed.

Step 4 continued

Enter up to six comment codes per student here. This includes special ones like Teacher

Accommodation.

Click on this link to see all

available comment codes.

Use these to mass assign

same comment code to all

students without one.

Repeat steps 2, 3, and 4 as necessary for every class you

have.

That’s it! There is no longer any need to post grades

because as you enter them in your grade book they are

automatically posting, assuming your school office has the

dates set properly for the posting window.

If you are asked to do anything beyond this it is most likely

campus procedure. Depending on what it is there may be

links on the Birdville Skyward Gradebook How To

Documentation Web page that explains how to do it.
