Frog VLE Update: Quick Start Guide

We are pleased to announce that we have updated your Frog VLE to enhance the functionality and features. The changes to your Frog VLE are outlined in this guide. This Quick Start Guide will provide you with all the information you need to get started using the new features of your Frog VLE. For a more detailed overview of the new features and functionality please see the Frog VLE User Guide available to download from the Frog Community Site.

New Features

Update Notifications You will now be notified when Frog has been updated with new functionality or enhancements. Convert Group to Individuals When sharing or assigning a site you can now select a group and then convert the group to a list of individuals. Group Search (Frog Admin) The Group Search allows the searching of users when creating a group. Users can also be listed alphabetically. Site Assets Management Site Assets can now be deleted from a site.

Resource Manager

• File upload limit now increased to 100Mb.

• Duplicate documents or images now renamed.

New Features Overview

The following guide is designed to get you using your new features quickly and easily. Not all features listed are available to all users. For a more detailed guide to the new features please consult the Frog VLE User Guide, available to download from the Frog Community Site.

Update Notifications

What are Update Notifications?

If you log in to the Frog VLE and it has been updated since you last logged in, a notification will appear in your Notifications Tray. You will be alerted to the new notification by an increase in the number in the notifications counter.

Clicking on the counter displays a message indicating that there has been an update.

Click on the message to view the details of the update. The Frog Help window will open displaying the Latest Features and Enhancements section.

Convert Group to Individuals

What is the Convert Group to Individuals feature? Converting a group to individuals allows you to break a group into a list of individual users. This allows you to choose different options for users within a group when sharing or assigning a site. Use this feature when you want to: • Remove users from a group. There may be users within a group that you do not

wish to share or assign the site to. Using the Convert to Individuals feature gives you the useful ability to break the group into a list of individual users. You can now remove an individual user or users from the list.

• Give different access rights. When sharing, you may like to give different access

permissions for the site to different individuals within the group. • Remove a teacher from a group. When assigning a site to a group when there is a

teacher in that group. In the Frog VLE, you should only assign a site to students and never to a teacher. This now gives you the opportunity to remove a teacher from group before issuing the assignment.

How do I use the Convert to Individuals feature?

When you select Share or Assign and then add a group to the Who has access list, The Convert to Individuals button is now displayed. This allows you to convert the group to individuals.

In the Who has access box, type in the name of the group so it is displayed in the list underneath. Once you see the name appear underneath, click to select it.

Click on the Add button to add it the list.

You can now decide on the permissions for the group. Whatever you select here will be the permission given to each individual within the group. Permissions are not available when assigning a site.

Next, click on the Convert to individuals button.

As the conversion cannot be undone, you need to confirm that you are sure you want to continue. Click OK to confirm.

The group will now be split into the individual users.

You can now delete individuals if you wish.

If you are sharing a site you can change the permissions of each individual user. Permission settings are not available when assigning a site.

You are now ready to share or assign the site.

Group Search

What is Group Search? Group Search allows you to search for users within the Groups application, making it easier to find individual users. It also adds the ability to view the list of users alphabetically. How do I use Group Search?

In the Groups application users are now listed alphabetically when creating or editing a group. Click on the Name button to switch between the names being listed. Either A-Z or Z-A.

There is a now a search option to make it easier to find individual users in the list. Click in the Search box and start typing in a few characters contained within the name you are trying to find. The more characters you type the more accurate the list will get.

Site Assets Management

What is Site Assets Management?

Any files that you have been working with when building your site are stored within the Site Assets area of the site. Maybe you were going to use an image, video or audio file on your site but changed your mind and decided not to use it. If you imported the file into your site then the file will be stored in the Site Assets area. Some of these files maybe quite large, and if they are not used in the site, take up storage space in your schools VLE. Before sending a site to the MoE Repository you should check Site Assets to view any unwanted or unused files and delete them. The Site Assets now allows you to delete those files that have not been used.

How do I Manage Site Assets?

To access Site Assets, click on the Edit button on the left of the page.

Then click on an image or video to view the settings in the panel on the left.

Now, click on Site Assets to view the Site Assets files.

Note: Any images and videos obtained using Pin-Point or the FrogStore will not be found in Site Assets as they are links and not files stored in the site itself. There now is an Edit button in the Site Assets area which allows you to delete files stored there. Click on the Edit button.

Next, click on the files you wish to remove so they are highlighted with a tick. Be careful, as selecting a file that is used in the site will result in it being removed from the site without further warning.

Click on the Remove selected button to remove all the selected files.

Feature Enhancement Overview

Resource Manager

The Resource Manager can now accept files up to a maximum size of 100MB (increased from 25MB). Attempting to upload a file larger than 100MB will display the following message:

There is a small change to the File Uploader. When a file has been successfully uploaded a green tick is now displayed.

Once uploaded, multiple files can no longer have the same name within the Resource Manager. If the same file is uploaded twice then a file extension is added i.e. _1 to avoid confusion.

This also applies when using Copy in the Actions menu.

The resulting file is automatically renamed.
