YMCA Policies and Procedures

Member in Good Standing:To register for membership or programs, make changes to an account or apply for financial assistance, the membership orparticipant account must have a $0 balance in order to process the request.

Registration Deadline:All Frankfort YMCA programs require pre-registration. Registration deadlines are established to allow our staff ample time to prepare rosters, coordinate instructors/coaches, and order supplies. For programs that do not list registration deadlines, the Friday before the class begins is the last day to register. Registration is taken on a first come first serve basis. Programs may be cancelled if the minimum participant requirements are not met by the deadline date. Programs may fill up before the deadline. In such cases, participants may choose to sign up on the wait list. Signing up on the wait list does not guarantee a place in a program but will enable directors to see the extra demand.

Refund Policy:The Frankfort YMCA will provide refunds or system credits:• If a member or participant is registered for a program that is cancelled due to enrollment or other departmental reasons.• If a member or participant withdraws from a program BEFORE the first class through a written request submitted to the appropriate department. All program refunds will be given less a $5 administrative fee. All sports league refunds will be given less a $15 administrative fee.• If a member or participant becomes ill or injured and must withdraw from a program. A doctor’s written excuse is required and a refund will be issued on a pro-rated basis. • If a member becomes ill or injured and must terminate their membership that has been paid in advance. A doctor’s written excuse is required and a refund will be issued on a pro-rated basis.

Entry FeeAn entry fee is the activation charge to all new membership accounts and all renewing membership accounts that have been inactive longer than 3 months. Entry fees are allocated to the general maintenance fund, which is used to maintain, upgrade and purchase fitness equipment and needed supplies throughout the building.

Hold PolicyYour membership to the Frankfort YMCA may be placed on hold for up to 3 months per calendar year. Membership holds coincide with your billing cycle. When a membership hold is released, your account will resume its regular billing activity. If you chose to release the hold early, a prorated membership fee may be assessed. Hold Forms are available at the front desk of both Frankfort YMCA facilities. Requests must be completed by the primary member on account at least 10 days prior to draft or invoice dates of month(s) being placed on hold. Ask a front desk staff if you need assistance.

Cancellation PolicyYour membership to the Frankfort YMCA is an ongoing membership with automatic drafting or invoicing. In order to cancel your membership, the primary member on the membership account must completely fill out the Cancellation Form. Cancellations must be completed at least 10 days prior to your next draft or invoice date. Ask a front desk staff if you need assistance.

Guest PassesEach membership unit is allowed 5 guest passes per calendar year (January-December). A membership unit is the type of membership, such as Adult, Family, Senior, etc. For example, an Adult membership has 5 guest passes per year, and a Family membership has 5 guest passes per year for their account (not for each member on the account).
