3. You enter the following:

Number – This is your 10 digit telephone number. Please enter numbers only without the dashes.

Password – Your initial password will be

provided to you by EarthLink.

• At anytime the extensive “Help” topics are available for the user to assist them with first time issues.

Portal (User Dashboard)

Web-based interface to manage the system.

1. Dashboard : Provides a quick view of the most common functions

2. Messages & Calls : Provides call history

3. Contacts : Provides a method for storing and retrieving contact details

4. Call Manager : Allows customer to manage how incoming calls are handled

5. Apps Download “Call Me” button

6. Settings: Provides access to call service settings.

Messages & Calls

• The Messages & Calls page allows you to manage and listen to your voicemails, view your faxes, and view details of your recent missed, dialed, and received calls.

• The export feature allows you to export lists of your missed, dialed, and received calls as a text file in CSV format.

Messages & Calls / Messages

• The Messages tab allows you to see and listen to voicemail messages.

• You are also able to delete the message by clicking the “Delete” button.

Messages & Calls / Missed

• The Missed tab displays information for any missed phone calls.

• It displays the name, date and time of the missed call.

Messages & Calls / Dialed

• The Dialed tab allows you to view a list of dialed calls from your phone.

• It displays the number, date, time and duration of the call.

• The Received tab allows you to view a list of received calls to your phone.

• It displays the name, date, time and duration of the call.

• The Deleted tab allows you to view a list of deleted voicemails and faxes.

Contacts / Contact List

This page allows you to manage your Contact List and Speed Dials.

It also displays your Extensions & Short Codes.

Allows you to import up to 250 Contacts.

Contacts / Contact List

To Import Contacts from Outlook:

1. Select File > Import and Export

2. from the main menu.

3. Choose "Export to a file" and press the “Next” button.

4. Choose Comma Separated Values (Windows) and press the “Next” button.

5. Select your Contacts folder and press the “Next” button.

6. Choose a location to save the CSV file to and press the “Next” button.

7. Remember where you have saved the file as you will need this again shortly.

8. Press the “Finish” button.

9. Then click on the “Import” button.

Contacts / Speed Dials

• Speed Dial - This is the code you will use when dialing from your phone.

• Number - This is the full number that you wish to call when using this speed dial entry.

Contacts / Extensions

• The Extensions tab displays a list of the contacts within your business group.

• This information is for viewing only and does not allow you edit the list.

Contacts / Short Codes

• Short codes allow you to quickly dial common numbers that are set up by the Business Group Administrator.

• This information is for viewing only and does not allow you edit the list.

Call Manager

The Call Manager tab allows you to define how your incoming calls are handled. You can define many aspects, including:

• Ring Your Phone • Send to Voicemail • Forward to another number

The Summary tab provides a description of how calls you receive will be handled, taking into account the settings for all of your incoming call services and any interactions between them.

Call Manager (Immediately)

When enabled, this service immediately forwards all calls you receive to an alternate destination.

• Enter the number you want the call to go to.

• Click the “Apply” button.

Call Manager (Busy / No Answer)

• When the “No Answer” forwarding is enabled, incoming calls that you do not answer are forwarded to the alternate destination.

• When the “Busy” forwarding is enabled, this service forwards calls to an alternate destination any time your line is busy.

• You also have the ability to use the same call forward destination for both services.

Call Manager (Selected Callers)

• When enabled, the “Selected Callers” forwarding immediately forwards calls from specific callers to an alternate destination.

• Press the “Edit List” button to program your list of numbers that you want to use this feature.

• Enter the number you want to forward the calls to in the “Options” section.

Call Manager (Forwarding Destinations)

If you frequently forward your calls to certain numbers (for example your own home, work, or mobile number), configuring them as Forwarding Destinations makes your other services easier to use.

• Enter the name of where you are forwarding the call in the “Destination” field.

• Enter the number of where you are forwarding the call in the “Number” field.

• Click the “Add” button.

Route calls from your number to multiple numbers:

Call Manager / Follow Me

• When enabled, the “Follow Me” service redirects calls that you receive to one or more alternate destinations.

• You may configure multiple destinations to ring in turn, simultaneously, or a combination of the two.

Call Manager / “Follow Me”

1. Select “Forward calls you receive to one or more alternate destinations.”

2. Click “Add Rule”.

3. Select the destination phone from the drop down that you want to apply the rule to.

4. Program how long you want the phone to ring during this step.

5. Give the rule a description.

6. Click “OK”.

7. Click “Apply”.

Call Manager / “Follow Me” - Example

1. Rings “Desk Phone” for 15 seconds.

2. Rings “Cell Phone” for 15 seconds AND rings “Lisa Cell” for 15 seconds simultaneously.

3. Rings “Desk Phone” again for 15 seconds.

4. If no phone is answered, the call will be left in the “Desk Phone” voicemail box.

Note: Each ring is approximately 5 seconds long.

Call Manager (Selective Rejection)

• When enabled, “Selective Rejection” rejects calls from numbers you input for specific callers.

• Rejected callers hear an announcement telling them that you do not wish to take their call.

• You can enable or disable this service.

Call Manager (Anonymous Rejection)

• When enabled, this service rejects calls from callers who withhold their caller ID.

• Rejected callers hear an announcement telling them that you do not wish to take their call.

• You can enable or disable this service.

Call Manager (Priority Calls)

• When this service is enabled, calls from specific callers ring your phone with a distinctive ring cadence.

• You can enable or disable this service.

Applications (Apps)

• The “Call Me” App allows you to add a button to a website or email signature, allowing people to phone you by simply clicking on the button.

Settings Tab

This Settings page allows you to perform the following operations:

• Change your Password

• Restrict which types of calls can be made from your telephone.

• Misc. preferences; line information, number of rings before going to voice mail; etc.

• Allows you to configure various aspects of your messaging service. These settings are split across a number of different sub-tabs.

• The reminders service allows you to configure your phone to ring at a specified time (for example as a meeting reminder).

Settings / Sub Menu – Emergency (911)

• The “Set Location” link allows the user to set the location for emergency 911 phone calls.

• In the new window, complete the fields and click the “Update Address” button.

• Remember to follow this step every time your device moves to a new address.

Settings / Account Password

• Click the “Change” link to modify the Account Password.

• This password is used to access the Portal

Settings / Account – Voicemail Password

• Click the “Change” link to modify the Voicemail PIN.

• This password is used to access the Voicemail system.

Settings / Calls / General

The “General” section of the Calls tab displays several options including:

• Auto-answer the phone for click-to-dial calls.

• Withhold the caller ID on outbound calls.

• Display the caller name on incoming calls.

• Display the caller number on incoming calls.

Settings / Calls / Call Blocking

The “Call Blocking” section of the Calls tab displays the option to block certain call types including:

• Local, National & Mobile, International, Premium Rate, Operator, Directory, Access Codes, and Access codes that change configuration.

• By default, EarthLink blocks International calling. The Administrator must contact Customer Care to lift this block.

The “Call Me Buttons” section of the Calls tab displays a few options including:

• Enable the “Call Me” button as discussed on the Apps tab.

• You also have the option to cancel the existing button configuration.

The “Messages” tab displays many options, including:

• The “General” section with several voicemail configurations.

• The “Mailbox Access” section with options to control the access to the voicemail.

• The “Voicemail Greeting” section to help configure what greetings you want calls to hear.

The “General” section displays many options, including:

• Control over how many rings a caller hears before the call is sent to voicemail.

• Control of “Live Screening” giving you the option to retrieve a call while the caller is leaving a voicemail.

• Set up your options for forwarding voicemails as an attachment to your email account.

• Click on “add an email address” and enter the destination email.

• Click the “Apply” button. • Leave the original message

in Inbox. • One voicemail is

approximately 250 – 500 kilobytes of space.

Settings / Messages

The “Mailbox Access” section displays many options, including:

• Skip Pin – No password required when accessing voice mail from desk phone.

• Fast Login – when accessing voice mail from a phone other then desk phone you only need to enter password not mail box number.

• Auto-Play – Messages automatically play when voice mail is accessed.

• Voice Mail Playback – Allows user to configure if they want to hear the “Details and Message”, the “Message Only” or “Details Only”.

Settings / Messaging / Voicemail Greetings

The “Voicemail Greeting” section displays many options, including allowing the user to:

• Record a message using a microphone attached to the PC.

• Record multiple greetings for the personal greeting, extended absence greeting, or the spoken name greeting.

• Configure which greeting to play when the caller reaches the voicemail.

Settings / Notifications / MWI

The” Notifications” tab allows you to set the options for the message waiting indicator on the “MWI” sub tab.

• You can set the option to send a phone notification to a desired number when someone leaves a voicemail.

• You can control whether you want this function to work for all voicemails, only urgent voicemails, or faxes.

Settings / Notifications / Email

• The “Email” sub tab allows you to set the system to notify multiple email addresses when a voice mail message is left.

• This is a notification only, there is no .wav file attachment sent with the message.

Settings / Notifications / Outdial

• The “Outdial” sub tab displays a feature that enables you to configure the voicemail system to call you whenever you receive a new message. You can choose whether you want to be called every time you receive a message, or only when you receive a certain type of message.

• Users can specify the number of attempts the system tries to reach you.

Settings / Notifications / Override

• The “Override” sub tab displays a feature that allows you to override the Outdial notification for a day, multiple days or a schedule.

• For example, you could program this feature to not call you on a scheduled vacation day, and instead call another designated number.

• The “Reminders” tab allows access to a service that you can configure your phone to ring at a specified time and date.

• For example, you could set this service to call you to act as a reminder of an important meeting.
