Hi Everyone, my name is Latara Williams, Registrar at Jacksonville Classical Academy. I am coming to you to offer support in our application and registration process. Let’s get started! You will visit our website at jaxclassical.org, you’ll notice at the top of this slide I have provided the web address also. Once there you will click on the “Enroll Now” link. It will take you to the Enrollment Process page. You can also go directly to the enrollment page at Jaxclassical.org/enroll.

You’ll then see our four step enrollment process. JXC’s enrollment is ran by lottery, therefore you will need to complete a lottery application to get started. Once the application is submitted you will eventually move through the remaining three steps.

You will then be asked to create an account through Schoolmint, our online enrollment system. Once the account is created you will then begin the application. The image you are viewing is an example of the lottery application. It will ask for initial parent/guardian information and student information. Please be sure to fill in each section as it applies to you and your student(s).
Your Schoolmint Dashboard shows the status of your student(s) enrollment. This you can view after you’ve submitted the lottery application. Notice the example says “submitted,” this will change as you move through the remaining enrollment steps. Feel free to check here periodically either as a reminder to complete steps or to make sure we have received everything.

Once your application is submitted, it will then enter in our lottery. JXC have set dates for when each lottery will run as you can see from the table provided. The last column shows all of the 2020 dates for each lottery day. You can access this table of lottery dates at any time on the enroll page of the website. You just need to scroll down to see it.
Offer/Waitlist

Expect to receive an offer to register or a waitlist notification after the lottery has been run. If you receive an offer, you can then log into your Schoolmint account to accept it and begin registration. JXC typically provides 3 days to accept an offer. If your student(s) is placed on a waitlist, you will receive a status update as seats become available.

You are now ready to complete registration! Each tab is a drop-down section. Please be sure to provide as much information as possible, filling in each question accurately as it applies to you and your student(s). JXC typically provides 14 days to complete registration. Extensions can be granted for unforeseeable circumstances, though it is still important to complete as soon you can to guarantee your student(s) has a seat. If you do have an extenuating circumstance. Please send me an email so that I can note your file. We want to work with all parents/guardians that are committed to completing the registration of their student(s).

The JXC Required Uploads will take the most time to complete, however it is also the most important part of the registration process. You will need to submit various documents so it is best to have them near you when completing registration. The following slide has a complete list of the items you are expected to upload. Note: These are the same documents needed to register for any public school.

Here’s a list of all the required uploads. Starting with the Student Records Request, which is embedded in the registration. All students who have attended school should have a records request on file. Note: if you have a student entering Kindergarten without prior school records you do not need to fill out this form, instead write a note stating student does not have records. For Homeschool, you can upload a copy of your student(s) records directly into the registration. Moving on to Proof of Residency. There are several ways you can prove residency this slide provides only the most common examples of acceptable documents. A complete list can be provided via email. We do prefer three proofs of residency; however, two documents are acceptable. Keeping in mind that the address submitted on the Enrollment Form should match the documents being submitted. For the Immunization documents we will need a copy of the entire list of shot records to date, as well as front and back of the School Entry Physical. (which is typically the yellow form received after a doctor’s visit.) You can find an example of these documents on the following slide. For proof of custody, if a family has court documents proving custody for either parent, please include all applicable pages. Making sure to include pages containing the student(s) name and parent or guardian signatures. Last but not least, if applicable, we would also need any and all necessary pages pertaining to student IEP’s or 504 plans. You can find a list of these documents, fill-in forms and document tips at Jaxclassical.org/documents.

You’re almost complete. After uploading all documents, the next few sections are pretty easy to complete. If you notice the second to last section says, “Supply Program.” We are asking all parent/guardians to participate in our Supply Program. If you select the first option, which includes a monetary donation, after submitting the forms you’ll be presented with a payment option. You can either choose to pay now or pay later. As a final note, if you have more than one student who’s enrolling, you will need to follow all the steps from the previous slides for each student who’s applying.
