    HRMS Terminology ( Alphabet A)

    Absence

    A period of time in which an employee performs no work for the assignedorganization.

    Absence Case

    Two or more absences for the same person that you associate manuallybecause they share a common factor, such as the same underlying cause.

    Absence Type

    Category of absence, such as medical leave or vacation leave that you definefor use in absence windows.

    Accrual

    The recognized amount of leave credited to an employee which isaccumulated for a particular period.

    Accrual Band

    A range of values that determines how much paid time off an employeeaccrues. The values may be years of service, grades, hours worked, or anyother factor.

    Accrual Period

    The unit of time, within an accrual term, in which PTO is accrued. n manyplans, the same amount of time is accrued in each accrual period, such astwo days per month. n other plans, the amount accrued varies from periodto period, or the entitlement for the full accrual term is given as an upfront

    amount at the beginning of the accrual term.

    Accrual Term

    The period, such as one year, for which accruals are calculated. n most

    accrual plans, unused PTO accruals must be carried over or lost at the end of the accrual term. Other plans have a rolling accrual term which is of acertain duration but has no fi#ed start and end dates.

    Action

    n A$%, an Action is the Then part of an Approval &ule that specifies how theapplication must progress a transaction's approval process in a particularway depending on the conditions met.

    Action Type

    n A$%, an action type is the generic container for specific actions. tenables you to specify the action to take if a transaction meets the conditionof an approval rule. The action type, thus, generates the appropriateapprovers for a transaction. As an A$% administrator you canmake particular action types available for specified transaction types.     Active Employee

    Active Contingent Worker

    Activity Rate

    The monetary amount or percentage associated with an activity, such as-./0 per pay period as an employee payroll contribution for medicalcoverage. Activity rates can apply to participation, eligibility, coverages,contributions, and distributions.

    Actual Premium

    The per1participant premium an insurance carrier charges the plan sponsorfor a given benefit.

    Administrative Enrollment

    A type of scheduled enrollment caused by a change in plan terms orconditions and resulting in a re1enrollment.

    Advance Pay

    A process that recalculates the amount to pay an employee in the currentperiod, to make an authorized early payment of amounts that wouldnormally be paid in future payroll periods.

    Agency

    An e#ternal organization that assists an enterprise in their recruitmentprocess. Agencies act on behalf of the candidates to help them search andapply for 2obs. They provide candidates to the fill up 2ob openings in anenterprise or sometimes handle the complete placement process fora vacancy.

    Agency Candidate

    An agency candidate is a person whose profile is created in i&ecruitment bya recruiting agency. This profile includes personal and professionalinformation.

    Agency User

    An e#ternal person who belongs to a recruiting agency and accessesi&ecruitment to conduct recruiting activities such as creating candidates andapplying on behalf of the candidates.

    Alert

    An email notification that you can set up and define to send a recipient orgroup of recipients a reminder or warning to perform a certain task or simplya notification to inform the recipient of any important information.

    API

    Application Programmatic nterfaces, used to upload data to the OracleApplications database. APs handle error checking and ensure that invaliddata is not uploaded to the database.

    Applicant

    An applicant is a person who submits an application for employment to anorganization.

    Applicability

    n +&$( budgeting, a term describing whether a budget reallocation rulepertains to donors or receivers.

    Approval Rule

    Assessment

    Assignment

    A worker's assignment identifies their role within a business group. Theassignment is made up of a number of assignment components. Of these,organization is mandatory, and payroll is re5uired >for employees only? forpayment purposes.

    Assignment #umber

    A number that uni5uely identifies a worker's assignment. A worker withmultiple assignments has multiple assignment numbers.

    Assignment Rate

    A monetary value paid to a contingent worker for a specified period of time.!or e#ample, an assignment rate could be an hourly overtime rate of -

    Balance Ad%ustment

    A correction you make to a balance. 4ou can ad2ust user balances andassignment level

    predefined balances only.

    Balance &imension

    The period for which a balance sums its balance feeds, or the set ofassignments7transactions for

    which it sums them. There are five time dimensions) &un, Period, @uarter,4ear and =ser. 4ou

    can choose any reset point for user balances.

    Balance 'eeds

    These are the input values of matching units of measure of any elementsdefined to feed the

    balance.

    Balances

    Positive or negative accumulations of values over periods of time normallygenerated by payroll

    runs. A balance can sum pay values, time periods or numbers.

    Bargaining Unit

    A bargaining unit is a legally organized group of people which have the rightto negotiate on all

    aspects of terms and conditions with employers or employer federations. Abargaining unit is

    generally a trade union or a branch of a trade union.

    Base $ummary

    A database table that holds the lowest level of summary. (ummary tablesare populated and

    maintained by user1written concurrent programs.

    Bene(iciary

    A person or organization designated to receive the benefits from a benefitplan upon the death of the insured.

    Bene(it

    Any part of an employee's remuneration package that is not pay. acationtime, employer1paid

    medical insurance and stock options are all e#amples of benefits.

    Block

    The largest subordinate unit of a window, containing information for aspecific business

    function or entity. %very window consists of at least one block. "lockscontain fields and,

    optionally, regions. They are delineated by a bevelled edge. 4ou must saveyour entries in one

    block before navigating to the ne#t.

    Carry .ver

    The amount of unused paid time off entitlement an employee brings forwardfrom one accrual

    must be used or lost.

    Cascade

    A process managers at each level in a hierarchy use to allocate their ownob2ectives to workers

    who report directly to them. This techni5ue enables the allocation ofenterprise ob2ectives in

    some form to all workers.

    Cas! Analysis

    A specification of the different currency denominations re5uired for payingyour employees in

    cash. =nion contracts may re5uire you to follow certain cash analysis rules.

    Ceiling

    The ma#imum amount of unused paid time off an employee can have in anaccrual plan. 3hen an employee reaches this ma#imum, he or she must usesome accrued time before any more time will accrue.

    Combination of information that allows you to determine how an employeeis ranked or graded

    in a collective agreement.

    Communications

    "enefits plan information that is presented in some form to participants.%#amples include a

    costing, and post1run processing.

    Contact

    A person who has a relationship to an employee that you want to record.Contacts can be

    dependents, relatives, partners or persons to contact in an emergency.

    Content

    3hen you create a spreadsheet or word processing document using 3ebA*, the content

    identifies the data in the document. Content is usually downloaded from theOracle application

    database.

    Contingent Worker

    A worker who does not have a direct employment relationship with anenterprise and is

    typically a self1employed individual or an agency1supplied worker. Thecontingent worker is not

    paid via Oracle Payroll.

    Contract

    A contract of employment is an agreement between an employer andemployee or potential

    employee that defines the fundamental legal relationship between anemploying organization

    and a person who offers his or her services for hire. The employmentcontract defines the terms

    and conditions to which both parties agree and those that are covered bylocal laws.

    Contribution

    An employer's or employeeFs monetary or other contribution to a benefitsplan.

    Core Competencies

    Also known as 9eadership Competencies or $anagement Competencies. Thecompetencies

    re5uired by every person to enable the enterprise to meet its goals.

    Costable Type

    A feature that determines the processing an element receives for accountingand costing

    purposes. There are four costable types in Oracle +&$() costed, distributedcosting, fi#ed

    costing, and not costed.

    Costing

    Credit

    A part of the @ualifications !ramework. The value a national 5ualifications

    authority assigns to

    a unit standard competence or a 5ualification. !or e#ample, one credit mayrepresent -< hours of

    study, a unit standard competence may e5uate to 0 credits, and a5ualification may e5uate to /<

    credits.

    Criteria $alary Rate

    Current Period o( $ervice

    An employee's period of service is current if their most recent hire date ison or before the

    effective date, and either the employee does not have a termination date for

    their latest

    employment, or their termination date is later than the effective date.

    move from one business group to another, the business group they areleaving must terminate

    the employee, and the business group they are 2oining must re1hire theemployee. Therefore the

    definition of period of service, above, does not take account of any serviceprior to the most

    Current Period o( Placement 

    A contingent worker's period of placement is current if their most recentplacement start date is

    on or before the effective date, and either the contingent worker does nothave a placement end

    date for their latest placement or their placement end date is later than theeffective date.

    An item of information in Oracle +&$( that has special programmingattached, enabling

    Oracle !ast !ormula to locate and retrieve it for use in formulas.

    &ate Earned

    The date the payroll run uses to determine which element entries toprocess. n Gorth America

    >and typically elsewhere too? it is the last day of the payroll period being

    processed.

    &ate Paid

    The effective date of a payroll run. *ate paid dictates which ta# rules applyand which ta#

    period or ta# year deductions are reported.

    These fields are used in windows not sub2ect to *ate Track. The period youenter in these fields

    remains fi#ed until you change the values in either field.

    &ate Track

    date.

    &e(ault Postings

    A factor >such as age, percent of fulltime employment, length of service,compensation level, or

    the number of hours worked per period? that is used in calculations todetermine Participation

    A field that your organization can configure to capture additionalinformation re5uired by your

    business but not otherwise tracked by Oracle Applications.

    &eviation

    A change to the standard approver list is a deviation.

    A fle#field defined by your localization team to meet the specific legislativeand reporting needs

    of your country.

    The date for which you are entering and viewing information. 4ou set youreffective date in the

    Electability

    The process which determines whether a potential benefits participant, whohas satisfied the

    eligibility rules governing a program, plan, or option in a plan, is able to electbenefits.

    Participants who are eligible for benefits do not always have electable benefitchoices based on

    the rules established in a benefit plan design.

    Element Classi(ications

     These control the order in which elements are processed and the balancesthey feed. Primary

    element classifications and some secondary classifications are predefined byOracle Payroll.

    Other secondary classifications can be created by users.

    Element Entry

    The record controlling an employee's receipt of an element, including theperiod of time for

    which the employee receives the element and its value.

    Element 2ink

    The association of an element to one or more components of an employeeassignment. The link

    establishes employee eligibility for that element. %mployees whoseassignment components

    match the components of the link are eligible for the element.

    Elements

    Components in the calculation of employee pay. %ach element represents acompensation or

    benefit type, such as salary, wages, stock purchase plans, and pensioncontributions.

    Element $et

    A group of elements that you define to process in a payroll run, or to controlaccess to

    compensation information from a configured form, or for distributing costs.

     The process by which a potential benefits participant satisfies the rulesgoverning whether a

    person can ever enroll in a program, plan, or option in a plan. A participantwho is eligible for

    benefits must also satisfy electability re5uirements.

    Eligibility Pro(ile

    A set of eligibility criteria grouped together. %ligibility profiles helpdetermine eligibility for

    compensation and benefits and are re1usable. %ligibility profiles can belinked to a compensation

    ob2ect >such as a program, plan, or option?, a collective agreement, a gradeladder, or a work

    schedule to restrict eligibility for these.

    Employee

    A worker who has a direct employment relationship with the employer.%mployees are typically

    paid compensation and benefits via the employer's payrollapplication.%mployees have a system

    person type of %mployee and one or more assignments with an assignmenttype of %mployee.

    Employee /istories

    An ((+& function for an employee to view their 9earning +istory, 8obApplication +istory,

    %mployment +istory, Absence +istory, or (alary +istory. A manager can alsouse this function

    to view information on their direct reports.

    End Placement &ate

    placement end date prior to the effective date.

    Employment Insurance Rate

    n Canada, this is the rate at which the employer contributes to the % fund.The rate is e#pressed

    as a percentage of the employee's contribution. f the employer maintains anapproved wage loss

    replacement program, they can reduce their share of % premiums byobtaining a reduced

    contribution rate. %mployers would remit payroll deductions under a differentemployer account

    number for employees covered by the plan.

    Enrollment Action Type

    Any action re5uired to complete enrollment or de1enrollment in a benefit.

    Entitlement

    n Australia, this is all unused leave from the previous year that remains tothe credit of the

    employee.

    Event
