This proposal is requesting for funds necessary to install three printer and computer kiosks in The UL Lafayette Student Union. These stations will allow anyone with an (free) Ink Cloud account, access to the stations for print, scan, fax, copy, and limited internet access. The print station can be linked with the University Paper Cut account and Cajun Card declining balance. Providing these kiosks for the students will give them the first student allowed printing service in the new Union. The budget will allow for leasing of the kiosk systems, installation, necessary wiring and infrastructure, and printing supplies.

Description of Proposal

a. Purpose of grant and impact to student body as a whole The purpose of this grant is to provide students with a printing service in The Student Union.

There are currently no printing options for students in the building. With these kiosks, students will have an opportunity to utilize their time spent in the building and offer them an area to quickly print or check their Moodle. These kiosks have been requested by students, but without this funding they will not be an available option for implementation.

b. Projected lifetime of enhancement The quote provided by the Ink Cloud Company includes supplies within the monthly lease. The

Union is requesting funding for a 12-month lease, and a grant will be submitted every year to the STEP Committee for the funding of an additional year lease with the Ink Cloud Company.

The UL Lafayette Student Body and any persons with an Ink Cloud account. ii. Installation

Ink Cloud Company iii. Maintenance

Ink Cloud Company and Student Union Administration iv. Operation

Any persons with an Ink Cloud account are allowed access to the kiosk. Cajun Cards are to be swiped to log into the kiosk as a backup form of identification.

v. Training (with qualifications) All student workers for the UL Lafayette Student Union must attend an annual training workshop on how to troubleshoot the system, as well as periodic updated policy & procedure training.

Submitted by Troy Pepper, VP of Sales – Higher Education Overview A call was held on 01/10/17 with the University of Louisiana at Lafayette Student Union and Troy Pepper from Ink Cloud. We discussed the needs of the University of Louisiana at Lafayette Student Union and how InkCloud could provide a best in class experience to the students and administration, as well as UL at Lafayette’s desire is to deploy a minimum number of Smart Stations on campus for the start of the Spring 2017 semester. Given that time is of the essence, below you will find a budget quote to help finalize our understanding of the arrangement for an initial deployment. To ensure a successful deployment by 06/15/17, we would need to finalize an agreement by 05/15/2017. Budget Quote Ink Best Practices Interactive Smart Stations are everywhere! Nearly every day in the news there is a new story of Smart Stations being deployed in a wide variety of applications intended to create greater efficiency in a variety of industries, including College campuses. With so many success stories, it is still important to look at a Smart Station deployment as a strategic project that involves planning, execution, and follow-up to ensure that the Smart Stations are maximizing their potential and providing the best service / experience possible for the user.

To achieve the most successful outcome and a positive network effect, Ink recommends the following best practices:

• Ink to be integrated with Campus Cajun Card (Heartland) • Ink Smart Station print drivers to be the default on all Student Union computer work

stations as well as other campus work stations • Meet the need for mobility by providing access points (Smart Station) throughout the

Student Union • Shift from costly Labs to Communication Hubs (Smart Stations) • Provide visibility to the Smart Stations as much as possible to enhance the user overall

experience

• Work with Ink to send out a campus-wide email notifying students of the launch of thenew service – Market the new service to the students to drive awareness

• Monthly meetings (Ink & UL at Lafayette) to analyze statistics and determine if thesebest practices and your users’ needs are being meet

• Leverage the 32” monitor for branding and communications

Based on these Best Practices, and results from other partners, Ink recommends implementing a minimum of three (3) Ink Smart Stations across the University of Louisiana at Lafayette Student Union.
