Chapter 1. Configuring Maximo Adapter for Primavera

After you install Maximo® Adapter for Primavera, you must completeconfiguration tasks.

Configuring Primavera API connectionYou need to configure the connection between Maximo Adapter for Primavera andPrimavera before you can transfer data between the applications.

Procedure1. In the Organization (PV) application, from the Select action menu, click

Primavera Options > Primavera API Connection.2. Insert a row and specify a name and description for the API connection.3. Specify the network address of the Integration API server in the Primavera API

server name or IP address field.4. Optional: To connect in remote mode:

a. Specify the Integration port in the Primavera API port field.b. Specify the time zone of the server that hosts the API in the API Time zone

field.5. Select the name of the Primavera database from the Primavera DB Name list.6. Optional: To prevent work orders being exported to multiple projects, select the

option Deny the Creation of duplicated projects in Primavera.7. To test that the connection is working, enter the user name and password that

the adapter uses to sign on to Primavera and click Test Connection.8. Click OK to save the connection information.

Configuring the adapter parametersYou configure IBM® Maximo Adapter for Primavera parameters in IBM MaximoAsset Management to determine how data is handled during export.

Before you begin

You must configure the Primavera API connection details in the Organization (PV)application of Maximo Asset Management before configuring the adapterparameters.

Procedure1. In Maximo Asset Management, click System Configuration > Platform

Configuration > System Properties.2. Select the parameter that you want to configure and specify its value. You can

configure the following parameters:

Sets up the description of a workorder when no description isprovided. You can also use thisparameter to name a projectwhen no project description isprovided.

Indicates whether leading zeroson work order numbers areremoved when the work ordersare exported to Primavera.

mxe.primavera.exportcalendars

Indicates whether Maximo AssetManagement calendars areexported to Primavera.

v Y (default) - Maximo AssetManagement calendars areexported.

v N - Maximo AssetManagement calendars are notexported.

mxe.system.globallog Indicates whether the user nameof each user is logged beforetheir messages in the adapter logfile.

v Y (default) - The user name islogged.

v N - The user name is notlogged.

mxe.primavera.collectstatistics

Collects system performancestatistics, recording whenadapter processes start andfinish, and calculating how longthe processes take.

v 0 (default) - Statisticscollection is disabled.

v 1 - Statistics collection isenabled.

Configuring security optionsYou can authorize user groups in IBM Maximo Asset Management to use theMaximo Adapter for Primavera functions. To transfer data between the twoapplications users must also have corresponding privileges in Primavera.

Procedure

In the Security Groups application, configure the following security options:

Maximo Adapter for Primavera cron tasksCron tasks are behind-the-scene jobs that run automatically and on a fixedschedule. There are three cron tasks installed with Maximo Adapter for Primavera.

Chapter 2. Setting project data preferences

You can configure the adapter to determine how your project data is transferredbetween Maximo Asset Management and Primavera. You can set your preferencesto determine what information related to work orders and resources is exported toPrimavera.

Data transfer requirements and restrictionsIBM Maximo Adapter for Primavera limits what data can be transferred and how,based on the type of data that is being transferred. You can set the export blocksize limit. You can also set limits for exporting and appending work orders.

PreventiveMaintenance(PM) records

To transfer PM records from Maximo Asset Management to Primavera,configure the following settings in the Preventive Maintenance (PV)application:

v The Estimated Next Due Date (located in the Time Based Frequencysubtab of the Frequency tab) must be set to a future date.

v The Extended Date in the Frequency tab must be equal to the currentdate.

v Adjust Next Due Date must be selected.

All PM records and job plans that you want to export must be active.

Purchase orderlines

If a work order is on a purchase order line and the work order is exportedto a project in Primavera, the purchase order line becomes a constraintactivity in Primavera with a Finish-Start relationship to the work orderactivity. For example, in Maximo Asset Management, PO 1068 line 1 refersto work order 1032. When the project is exported, both the PO line andthe work order become activities in Primavera. The PO activity is createdwith a Finish-Start relationship to activity 1032.

Labor, crafts,and tools

All labor, crafts, and tools are exported to Primavera the first time there isan export from Maximo Asset Management. If a resource changes inMaximo Asset Management, the corresponding record in Primaverachanges on the next export from Maximo Asset Management.

Calendars If the mxe.primavera.exportcalendars parameter is set to Y in the SystemProperties application, all calendars are exported to Primavera the firsttime there is an export from Maximo Asset Management. If a calendarchanges in Maximo Asset Management, the corresponding calendar inPrimavera changes on the next export.

Datatransferred Requirements and restrictions

Dates Actual start, actual finish, scheduled start, scheduled finish, and constraintdates are the date fields that are exported from Maximo AssetManagement to Primavera. Projects that are imported back into MaximoAsset Management update the scheduled or actual dates depending onthe status of the activity in Primavera.

v If the activity is not started, the scheduled dates are changed to thevalues that are imported from Primavera.

v If the activity is started, the actual dates are changed to the values thatare imported from Primavera.

Target dates are never affected by importing a project into Maximo AssetManagement.

Primavera craft optionsResource records are updated or created in Primavera whenever an export occurs.You can control if the craft availability is calculated and exported to Primavera,based on IBM Maximo Asset Management calendars and shifts.

Craft availability is the mechanism that IBM Maximo Adapter for Primaveraprovides to calculate the amount of labor resources available. The availability iscalculated per unit of time per craft record, based on Maximo Asset Managementcalendars and shifts. The Craft Availability Options window in the Organizations(PV) application provides you with the details to determine how to calculate thatamount.

Primavera site optionsDifferent sites within an organization can operate under different business rules.Therefore you can control how purchasing and preventive maintenance constraintsare exported to Primavera at the site level.

The following tables describe the options available in the Primavera Site Optionswindow in the Organizations (PV) application.

Optional Export Header

Tools The adapter assigns the planned tools as activityresources in Primavera.

material reservation dates The adapter imports the schedule start date fromPrimavera and sets it as the material required datein the planned work order task detail. The materialrequired date is then used to generate the inventoryreservation when the work order is approved.

Defining custom mappingsCustom mappings are user-defined fields that transfer extra information betweenMaximo Asset Management and Primavera. Custom mappings are exclusive to thePrimavera API of the current user. To define custom mappings you must beauthorized to access the Primavera API.

Procedure1. In the Organizations (PV) application, select the organization that you want to

work with on the List tab.2. From the Select Action menu, select Primavera Custom Maps.3. In the Primavera Custom Maps window, select the API Connection for which

you want to define the custom mapping.4. Click New Row and specify the required information.5. To create custom fields in Primavera click OK.

Results

After you define the custom mappings, they are available to be assigned toindividual sites on the Sites tab of the Organizations (PV) application.

Assigning custom mappings to sitesAs different sites in an organization can operate under different business rules, youassign custom mappings at site level.

Procedure1. On the Sites tab of the Organizations (PV) application, select the site that you

want to work with.2. Click Select custom mappings.3. Select the required custom mappings from the list and click OK.

Results

The custom mappings are used during the next export of data between MaximoAdapter for Primavera and Primavera.

Resources by work locationIf a resource record exists in Primavera for a craft that you are exporting, theresource record is updated. If a resource record does not exist in Primavera, onecan be created during the export procedure.

Select the Schedule by Work Location check box to determine the resource recordscreated in Primavera.

During an export procedure, resource records are handled in one of the followingways:v If a resource record exists in Primavera for a craft that is being exported, the

resource record is updated.v If the Schedule by Work Location check box is not selected, a resource record is

created in Primavera for the specified craft record. The craft standard rate isincluded in the resource record. In a multi-organization environment whereduplicate crafts with different standard rates could exist, only the first craftrecord is exported to Primavera.

v If the Schedule by Work Location check box is selected, the location specified inthe task is checked for a work location prefix value. If a prefix exists, the prefixis added to the beginning of the craft to create a resource record in Primavera. Ifthe task location does not have a work location prefix, the location of the parentis checked for a work location prefix. If the parent location has a work locationprefix, the work location of the parent is appended to the specified craft tocreate the resource record. The craft standard rate is included on the resourcerecord.

This example shows how resource records are exported to Primavera if theSchedule by Work Location check box is selected.

The BEDFORD site has 3 work locations, ADDR01, ADDR02 and ADDR03. Eachwork location has a prefix.

Setting up user data and connection preferencesYou can modify the labor record of a user in Maximo Asset Management to specifydata which the user does not want exported to Primavera. You can also specify thePrimavera API the user connects to and test this connection.

Procedure1. On the List tab of the Labor (PV) application, select the labor record of the user

whose data and connection preferences you want to specify.2. On the Primavera tab, specify the type of data that you want to exclude:

Option Description

Exclude the current labor record from thecraft availability calculation

The current labor record is not included inthe craft availability calculation whenexporting to Primavera.

Export the current labor record toPrimavera

Select this option to export the current laborrecord to Primavera as a valid resource.

Allow user to manage resource pool inPrimavera

Select this option if the current labor recordis not authorized to manage the resourcepool in Primavera. The labor record will beadded to the existing Primavera resources. Itwill not create or update the existingresource pool.

Exclude milestone generation The Work Breakdown Structure (WBS) iscreated but not the start and finishmilestones.

Exclude time exporting The time portion of the date field in MaximoAsset Management is not exported toPrimavera.

3. Specify the Primavera API to connect to, and the user name and password. Theuser name must exist in Primavera and have permission to access the specifiedPrimavera Integration API.

4. Test the connection to the Primavera API by clicking Test Connection.

Chapter 3. Data mapping

You can define the data mapping between IBM Maximo Asset Management andPrimavera to determine how that information is imported or exported. However,changes made directly into Maximo Asset Management data transfer tables arereserved to the database administrator.

Work breakdown structures (WBS)Primavera work breakdown structures are imported into IBM Maximo AssetManagement as a work order hierarchy. WBS activities are imported as work ordertasks.

In Maximo Asset Management, a work order hierarchy consists of a top-levelparent work order and many related work orders. Terminal work orders are thelast level in the hierarchy and contain tasks.

You can set the target start and finish dates on terminal work orders in MaximoAsset Management to be the start and finish milestones in Primavera. Alternatively,Primavera can generate start and finish milestones for the WBS node thatrepresents the terminal work order. You can specify that all parent, child, and taskwork orders in Maximo Asset Management must become activities when they areexported to Primavera. In this case, no WBS nodes are created. If you import thisproject back into Maximo Asset Management you must specify import criteria.

Work order hierarchies from Maximo Asset Management are exported as WBSnodes or activities to Primavera.

The project in Primavera must be summarized on all its WBS nodes so that theadapter can receive the information and import it to Maximo Asset Management.

Activities data mapIBM Maximo Asset Management tasks are exported to Primavera as activities.Activities are imported from Primavera as work order task records in MaximoAsset Management.

Export tasks as activities

Work orders are exported to Primavera as activities. The following table providesthe correlations between Maximo Asset Management tasks and the activities thatare created in Primavera during the export process.

Activities are imported from Primavera to Maximo Asset Management as workorder task records. The following table provides the correlations betweenPrimavera activities and the work order task records that are created in MaximoAsset Management during the import process.

Enterprise project structure (EPS)The enterprise project structure (EPS) in Primavera contains details of the projectsthat are in the database and the ownership of those projects. When a project iscreated, it is assigned to an EPS node. You must select an EPS node to open theExport section on the Export tab. You cannot export data if you do not select anEPS node.

Target EPS

If the target EPS node does not exist, you must create the EPS node in Primaveraand then import the EPS node into IBM Maximo Asset Management. You mustkeep the EPS node details up-to-date in Maximo Asset Management.

Refresh EPS

Refresh the EPS node details in the Work Order Tracking (PV) application beforeany transfer operation. You can refresh the EPS node details on the PrimaveraExport tab.

Export of resource poolsYou can export resources (crafts, labor and tools) from IBM Maximo AssetManagement to Primavera. Mapping rules are applied to the exported resourcesand then associated with projects in Primavera.

Export craft as roles

Chapter 4. Integrating Maximo Asset Management andPrimavera data

You can create work orders in Maximo Asset Management using activities inPrimavera. You can track the progress of work orders. You can update MaximoAsset Management with new schedules, logic relationships, and activities inPrimavera.

Creating relationships between tasks in projectsThe relationships between tasks in projects are called logic in IBM Maximo AssetManagement. You can create relationships in Primavera and import them toMaximo Asset Management where they can be viewed on the Logic tab.

About this task

All dates that are based on the relationships generated in Primavera can beimported and stored in Maximo Asset Management. You can create logic inMaximo Asset Management, but the visual component in Primavera shows therelationships graphically. The Logic tab in the Job Plans (PV) application and theLogic tab in the Work Order Tracking (PV) application provide the samefunctionality. You can begin this task from either application.

Procedure1. In the Job Plans (PV) or Work Order Tracking (PV) application, select the job

plan or work order for which you want to create logic.2. On the Logic tab, in the Logic for Job Plan section or Logic for Work Order

section, click New Row.3. Specify the relationship between the tasks.4. Optional: In the Lag field, specify the number of hours that are required before

the subsequent activity can start.5. Optional: In the Relationship field, specify the relationship type.6. Save your changes.

Linking to an existing projectGenerally you create new project in Primavera and import it into Maximo AssetManagement. However you can reuse an existing project in Primavera by linking itto Maximo Asset Management. When you link to a project, you can import its datainto Maximo Asset Management. You can also append new work orders to it.

Procedure1. On the Primavera tab of the Work Order Tracking (PV) application, select the

EPS node that contains the project you want to link to.2. On the Link tab of the Project, select the project you want to link to.3. Click Link Project.

Importing data from PrimaveraYou can use Maximo Adapter for Primavera to import data from Primavera intoMaximo Asset Management. You can import logic, activities, activity codes,schedule dates, actual dates, resource assignments, and Primavera user-definedfields.

About this task

Primavera activities are imported as work order tasks. Primavera work breakdownstructures (WBS) are imported as work orders. The default work order number forthe imported work orders is the Primavera activity ID. However you can replacethe activity ID with the next available Maximo Asset Management autonumber byselecting the Allocate new work order number automatically option.

Procedure1. In the Work Order Tracking (PV) application, on the Projects tab of the

Primavera tab, select a project for which you want to import information.2. On the Import tab, specify options for the import process.3. Click Import.

Transferring work orders from Maximo Asset Management toPrimavera

You can add work orders from IBM Maximo Asset Management to projectschedules in Primavera by exporting the work orders to projects in Primavera.When you export work orders to Primavera you can create a project based on thedetails of the work order. You can append work orders to existing projects. You canupdate projects.

Before you begin

The enterprise project structure (EPS) node and the organizational breakdownstructure (OBS) must be defined in Primavera and then imported into MaximoAsset Management. You must keep the EPS node detail up-to-date in MaximoAsset Management.

Before any transfer operation, refresh the EPS node details from the Work OrderTracking (PV) application. To refresh the EPS node details, go the Primavera EPStab and click Refresh EPS.

Exporting work orders to PrimaveraYou can create Primavera projects that include work orders from Maximo AssetManagement by exporting the work orders to Primavera. The project logicestablishes the relationships between the work orders you have exported.

Procedure1. On the List tab of the Work Order Tracking (PV) application, run a query to

select the work orders that you want to export.2. From the Export EPS tab of the Primavera tab, select the EPS node where you

want to create the project.3. Select the options in the Primavera EPS Detail tab to reflect how you want

your work orders to be exported.

4. Click your required export type Work order export or Project export.

Appending work orders into a projectYou can add work orders to an existing project. When you append work orders toa project, you create new work breakdown structures and activities in Primavera.

Procedure1. On the List tab of the Work Order Tracking (PV) application, run a query to

select the work orders you want to append to the project.2. On the Projects tab of the Primavera tab, expand the project to which you want

to append the selected work orders.3. On the Append tab, click Append.

Deleting projectsWhen you delete a project the relationship between its associated work orders isdeleted. The work orders are not deleted from Maximo Asset Management. Youcan delete a project from only Maximo Asset Management, or from both MaximoAsset Management and Primavera.

Procedure1. On the Project tab of the Primavera tab, select the project that you want to

delete. Expand the project details.2. On the Delete tab:

Delete in Maximo only Deletes the project in Maximo AssetManagement only. The work orders are notdeleted but relationships between them aredeleted. The project remains in Primavera. Itcan be linked to again from Maximo AssetManagement.

Delete in Maximo and Primavera Deletes the project in both Maximo AssetManagement and Primavera. The workorders are not deleted but relationshipsbetween them are deleted.

Data transfer requirements and restrictionsIBM Maximo Adapter for Primavera limits what data can be transferred and how,based on the type of data that is being transferred. You can set the export blocksize limit. You can also set limits for exporting and appending work orders.

To transfer PM records from Maximo Asset Management to Primavera,configure the following settings in the Preventive Maintenance (PV)application:

v The Estimated Next Due Date (located in the Time Based Frequencysubtab of the Frequency tab) must be set to a future date.

v The Extended Date in the Frequency tab must be equal to the currentdate.

v Adjust Next Due Date must be selected.

All PM records and job plans that you want to export must be active.

Purchase orderlines

If a work order is on a purchase order line and the work order is exportedto a project in Primavera, the purchase order line becomes a constraintactivity in Primavera with a Finish-Start relationship to the work orderactivity. For example, in Maximo Asset Management, PO 1068 line 1 refersto work order 1032. When the project is exported, both the PO line andthe work order become activities in Primavera. The PO activity is createdwith a Finish-Start relationship to activity 1032.

Labor, crafts,and tools

All labor, crafts, and tools are exported to Primavera the first time there isan export from Maximo Asset Management. If a resource changes inMaximo Asset Management, the corresponding record in Primaverachanges on the next export from Maximo Asset Management.

Calendars If the mxe.primavera.exportcalendars parameter is set to Y in the SystemProperties application, all calendars are exported to Primavera the firsttime there is an export from Maximo Asset Management. If a calendarchanges in Maximo Asset Management, the corresponding calendar inPrimavera changes on the next export.

Dates Actual start, actual finish, scheduled start, scheduled finish, and constraintdates are the date fields that are exported from Maximo AssetManagement to Primavera. Projects that are imported back into MaximoAsset Management update the scheduled or actual dates depending onthe status of the activity in Primavera.

v If the activity is not started, the scheduled dates are changed to thevalues that are imported from Primavera.

v If the activity is started, the actual dates are changed to the values thatare imported from Primavera.

Target dates are never affected by importing a project into Maximo AssetManagement.

Data transfer exceptionsErrors can occur as project data is transferred between Maximo Asset Managementand Primavera. These errors are called transfer exceptions. Transfer exceptions arerelated to invalid work order or project data and can be viewed and deleted in theExceptions tab.

On the Exception tab of the Primavera tab, you can view a list of transferexceptions. You can delete exceptions from the list.

Chapter 5. Synchronizing Data

You can keep the project data in Maximo Asset Management and Primaveraconsistent. You can refresh the project data. You can update the project work ordersin Primavera. You can delete the project. When you delete a project the relationshipbetween its associated work orders is deleted. The work orders are not deletedfrom Maximo Asset Management.

Updating work orders in PrimaveraWhen you update a project, you transfer new data from Maximo AssetManagement to the project in Primavera. The update process changes only theproject work orders and tasks that were changed in Maximo Asset Management.

About this task

Child work orders are transferred to Primavera only as part of a hierarchy. Childwork orders on the List tab are not transferred to Primavera.

The following changes are transferred to Primavera:v All activity resource assignmentsv Maximo Asset Management named activity codesv Standard work order and task activity fieldsv Custom mapped site fields

Tip: If you need to make extensive changes to the structure of a project or totransfer a new hierarchy from Maximo Asset Management, create a new project.

Procedure1. On the List tab of the Work Order Tracking (PV) application, run a query to

select the required work orders.2. From the Projects tab of the Primavera tab, select the project that you want to

update.3. On the Update tab, select the type of update.

Refreshing projectsYou can refresh projects to keep the data in Maximo Asset Management andPrimavera consistent. When you refresh a project, existing work breakdownstructures (WBS) and activities that satisfy the project export criteria are updated.New WBS and activities consistent with the project export criteria are appended tothe project. The project definition and details, such as notes and logs, are kept.Data that is not consistent with the project export criteria is removed fromPrimavera.

About this task
