    Submittal Opening: Sealed submittals in response to a RFB will be opened by a Purchasing representative and read aloud during a public bid opening held in Conference Room M-1, located on

    the main floor in the same building. Submittals in response to an RFP or RFQ are recorded as received but are not typically opened and read aloud. After 1:00 p.m. the day of bid opening, the names of vendors submitting proposals are posted to the website for public viewing.

    Solicitation Documents: An electronic copy of the complete solicitation documents may be viewed and obtained by accessing the City of Tacoma Purchasing website at www.TacomaPurchasing.org.

    Pre-Proposal Meeting: A pre-proposal meeting will not be held.

    Project Scope: The City of Tacoma IT Department is seeking to procure Cisco SmartNet maintenance for a period of one year.

    Estimate: $300,000.00 - $335,000.00

    Paid Leave and Minimum Wage: Effective February 1, 2016, the City of Tacoma requires all employers to provide paid leave and minimum wages, as set forth in Title 18 of the Tacoma Municipal Code. For more information visit www.cityoftacoma.org/employmentstandards.

    The following is applicable to Federal Aid Projects: The City of Tacoma in accordance with Title VI of the Civil Rights Act of 1964, 78 Stat. 252, 42 U.S.C. 2000d to 2000d-4 and Title 49, Code of Federal Regulations, Department of Transportation, subtitle A, Office of the Secretary, part 21, nondiscrimination in federally assisted programs of the Department of Transportation issued pursuant to such Act, hereby notifies all bidders that it will affirmatively insure that in any contract entered into pursuant to this advertisement, disadvantaged business enterprises as defined at 49 CFR, part 26, will be afforded full opportunity to submit bids in response to this invitation and will not be discriminated against on the grounds of race, color, national origin, or sex in consideration for an award.

    Cisco SMARTnet Maintenance

    A. SCOPE OF BID

    The purpose of this specification is to purchase Cisco SMARTnet Maintenance for a period of

    one year. Items specified on the SMARTnet on NASPO VP contract worksheet must be at or lower than the currently approved pricing for Cisco NASPO ValuePoint contract AR-233, WA Addendum

    01114. Items on the SMARTnet NOT on NASPO contract worksheet should be priced based on Cisco

    Maintenance List price.

    B. BIDDER REQUIREMENTS

    o Bidder must: o Be an approved Cisco SmartNet reseller off the NASPO ValuePoint contract w/Cisco

    #AR-233, WA Addendum 01114

    o Be able to provide proof of insurance as specified in the City of Tacoma Insurance Requirements.

    o Register as a City of Tacoma supplier in SAP Ariba. This requires registration is the SAP Ariba network, as well as completion of the City of Tacoma Profile Questionnaire.

    o Execute an agreement with the City of Tacoma that covers all services identified in the bid.

    C. PRE-BID MEETING

    A pre-bid meeting will not be held.

    D. CALENDAR OF RFB EVENTS

    The anticipated schedule of events concerning this RFB is as follows:

    F. QUANTITIES

    The City reserves the right to increase or decrease quantities under this contract and pay

    according to the unit process quoted in the proposal. The quantities shown are estimates only

    and not a guarantee of any particular dollar or unit volume. The City reserves the right to cancel

    the purchase for any reason, with 20 days written notice.

    G. PRICING

    Pricing is for the coverage dates as stipulated on the Exhibit 1.

    I. AWARD

    It is anticipated that a single vendor will be selected to provide all products; however, the City

    reserves the right to split the award.

    The contract will be awarded to the lowest responsive and responsible bidder(s) complying with

    these specifications, the bidding regulations, and the advertisement for bids; provided such bid is

    reasonable and is in the best interest of the City to accept. The City, however, reserves the right

    to reject any and all bids and to waive any informality in bids received. Bid award will be

    contingent on City of Tacoma Council approval.

    J. EVALUATION CRITERIA

    The award of this contract may not be based on cost alone, as others factors and features are

    equally important. See Section 1.20 of City of Tacoma Terms & Conditions.

    K. ALTERATIONS NOT ALLOWED

    Any attempt to condition the submittal by inserting exceptions to the Specification or any

    conditions, qualifications or additions that vary its terms may result in rejection of the submittal.

    The City cannot legally accept any submittal containing a material deviation from the

    specifications.
