Installation and Setup

Step 1: BackupIfyou’reupgradingfromQuickBooks2006orearlier,QuickBookspreventsyoufromoverwritingyouroriginalcompanyfileduringtheupgradeprocess.However,werecommendthatyoumakeabackupbeforeyouinstallQuickBooksEnterpriseSolutions.

Step 2: Installation BeforeyouinstallQuickBooksonacomputer,you’llneedtodecidewhichtypeofinstallationisappropriateforthatcomputer.

Choose:

• I’ll be using QuickBooks on this computer. IfyoudonotwantotherusersinyournetworktohaveaccesstotheQuickBookscompanyfilesonthiscomputer

• I’ll be using QuickBooks on this computer, AND I’ll be storing our company fi le here so it can be shared over our network. ToallowotherusersinyournetworkaccesstotheQuickBookscompanyfilesstoredonthiscomputer

• I will NOT be using QuickBooks on this computer. I will be storing our company fi le here so it can be shared over our network. What company fi les can be upgraded?YoucanupgradecompanyfilesfromallearlierversionsofQuickBooksSimpleStart,Pro,andPremier.IfyourfileisfromQuickBooks2003orearlier,call0808 234 5331forassistancewithupgradingtoEnterpriseSolutions.

Before you upgrade your company fi leFind your last VAT return(s): LocatethelastVATreturnsthatyoufiledandhavethemwithyouwhenyoustarttheupgradeprocess.Youneedinformationfromthesereturnstoupgradeyourcompanydata.

Your payment details: LocatethepaymentorrefundinformationforyourlastVATpaymentincludinghowmuchwaspaidorreceivedandthedateforwhichitwaspaid.

Make a backup of your old company fi le(s): QuickBookspreventsyoufromoverwritingyouroriginalcompanyfileduringtheupgradeprocess.However,foraddedsafety,makeabackupbeforeyoustart.

Starting the upgrade process

Important If you are upgrading from QuickBooks 2006orearlier,theamountoftimeitwilltaketoupgradelargelydepends on the number of transactions in your company fi le. You can estimate the upgrade time based on the fi le size:

• Lessthan100MB:Mostfileswillusuallytakelessthanan hour

• 100MBto250MB:Mostfileswillusuallytake1to2hours

• 250MBto500MB:Mostfileswillusuallytake2to6hours

• Greaterthan500MB:Mostfileswillusuallytake6to18hours. Extremely large fi les may take up to 48 hours

3 Followtheon-screeninstructions:

• IfyouareVATregistered,entertheenddatesoftheperiodsforthelastVATreturnsthatyousenttothegovernment

• Ifyouuseforeigncurrencies,letQuickBooksknow.AlsoindicateifyouuseacurrencyotherthanPoundSterling(GBP)foryourhomecurrency

• Whenpromptedtobackupyourdata,browsetothefolderwhereyoubackupyourfiles.Donotoverwriteanyexistingbackupfiles

• Whenaskedwhereyouwanttosaveyournewcompanyfile,allowQuickBookstochoosethelocation.QuickBooksputsyourcompanyfileinastandardlocationforneweroperatingsystems

4 ClickFinishtobegintheupgradeprocess.

5 Youmightberequiredtoperformsomeadditionalstepsoncetheupgradeprocessiscomplete.Ifso,theUpgrade Centrewillappearandareasthatneedyourattentionwillbehighlighted(turntopage17tolearnmoreabouttheUpgrade Centre).

Note If you choose to complete these tasks at a later time,youwon’tbeabletoaccessthreefeaturesuntilyouprovide details about your VAT data:

• AdjustforVAToverpaymentorunderpayment(whichisexplainedonpage18)

When you attempt to launch any of the above features you’re asked for the date and amount of your last VAT payment (or refund), which completes the upgrade ofyour VAT data – please keep this information handy.Once QuickBooks has this information, you can accessall the VAT features without interruption.

YoumighthavetoadjustforVAToverpaymentorunderpaymentifthereweretransactionsinyourpriorversion’sdatafilethat:

• ContainedVATbutnoVATcodes

• WeremodifiedafterVATwasfiled

ThecurrentVATmodelensuresthatVATreportsalwaysagreewiththeVATliabilityaccountbalance,nomatterhoworwhenyourecordedtransactions.Inearlierversionsifyoudidn’tusetheFileVATfeature,orifatransactiondidn’thaveaVATcodeorwasmodifiedafteryoufiledVAT,thenyoucouldhaveunreportedVATamounts.Inthecurrentmodel,transactionsthataremis-enteredandhaveunreportedamountsareincludedinthetotalVATliabilityaccountbalance.Duringtheupgradeprocess,QuickBooksdetectsthetotalunreportedamountfromoldtransactions;youcanadjusttheVAToverpaymentorunderpaymentthat’sbeenidentified.

UnitsofMeasure

TheUnitsofMeasurefeaturehaschangedfrompreviousversions.EnterpriseSolutionsnolongerhasaseparatemeasurefor“stocking”items(thatis,storingitemsonhandforlatersale).Instead,itusesthesmallestbaseunitthatcanbeusedforpurchasesorsales.
