PROSPECTUS FOR WA DELEGATE
Dear Industry Partners,
We are pleased to inform you that Tourism Western Australia (Tourism WA) is organising a networking
and educational roadshow aimed at connecting outbound trade partners from the United States of
America (USA) with key operators of the WA tourism industry.
This roadshow will allow participating companies to educate, exchange information and build
relationships with key-decision makers and front line agents from our select cities of San Francisco,
Seattle and Los Angeles. Additionally, we are providing delegates the opportunity to build relationships
with travel media.
We have coordinated the roadshow to coincide with Australia Marketplace 2018 (Feb 6-9) for those who
may be attending to ensure you can further maximise your business opportunities while in the USA.
Australia Marketplace is the number one tradeshow in-market and registrations close today, Friday 10
November. Please take note, Tourism Australia will host their annual Australia Tourism Summit, which
is just two days before (29-30 Jan) our Just Another Day in Western Australia USA Roadshow.
Event overview
The 2018 Just Another Day in Western Australia USA Roadshow aims to showcase the extraordinary state
of Western Australia, its regions and key products to key trade partners in the USA. The roadshow goal is
to:
Educate key travel agents – Consortia partners Signature Travel Network and Virtuoso, and Aussie Specialist agents with more in depth destination and product knowledge.
Provide opportunities to meet influential product managers/owners to encourage them to include your product or region in their program/brochures.
Build on existing relationships with WA focused wholesalers.
Inform trade and consumer media of new and extraordinary stories within WA.
Objectives of Tourism WA
To increase awareness of Western Australia and its regions.
To raise the profile of Western Australia’s tourism product suppliers.

To provide WA industry with an opportunity to establish strategic business relationships with key trade.
Collectively educate front line agents on WA as a destination and its regional strengths.
Further develop relationships with key product buyers/owners to influence decisions on product inclusion in brochures and / or on websites.
To showcase our tourism products and services and generate media exposure for destination WA.

*Weekend Feb 4-5, is at your leisure and your own arrangements. Please note the states of Australia
will be hosting an American Football Superbowl Event (think grand final) on Sunday 4 Feb in Los
Angeles. All Just Another Day in Western Australia USA Roadshow & Australia Marketplace
participants are invited.

Participation package for WA delegates The product participation fee* for the Just Another Day in Western Australia USA Roadshow is as
follows:
TOTAL COST PER PRODUCT DELEGATE – AU$2000* (approx. equivalent of US$1,500)
The delegate cost for the roadshow includes the following:
Product Manager and frontline wholesale meetings, travel agent and trade training workshops, networking events and hosted media event.
Flight from San Francisco (Oakland) to Seattle and Seattle to Los Angeles.
Single occupancy accommodation incl. breakfast (1nt San Francisco, 2nts Seattle, 2 nts Los Angeles).
Transportation provided to all Roadshow arranged meetings and events.
Presentations will vary from one table per product at workshop events to group training sessions.
AV equipment (to note: sellers need to bring own laptops and different adapters for USA).
Venue hire.
Lunches (5), Dinners (4).
Comprehensive database of all event attendees.
Provision of introduction and event briefing.
Opportunity to provide two (2) land prizes for Trip Giveaway for Agent Workshops.
Just Another Day in Western Australia USA Roadshow Program Planner with your company profile for distribution.
Delegates are required to bear the costs of the following additional items:
International airfares from Australia to San Francisco and return from Los Angeles.
Domestic Australian airfares.
Transfers not included on itinerary, specifically to and from the international airport from your arrival / departure to / from WA.
Any meals not specified.
Access to office equipment (internet, email, printers, scanners, photocopiers, stationery).
Brochure shipment and delivery of presentation/display/promo materials from WA to USA.
Excess baggage charges.
Optional sightseeing tours.
Accommodation on the free weekend(s).
Personal and incidental charges (Internet, photocopying, room service, mini-bar etc).
Travel insurance / public liability / local taxes. * The participation fee is a fixed cost based on group rates. Individual changes to the itinerary will not be
funded by Tourism WA. Please note that invoices will be issued by Tourism WA in Australian dollars.
Who should attend?
The roadshow is most suited to Directors of Sales & Marketing, Business Development Managers or
business owners already registered for USA Australia Marketplace.

Criteria for attendance Australia Marketplace registrants will be given first consideration. MUST HAVE
Suitability and availability of tourism products and services in the USA market.
Able to show a long term commitment to the market.
Must be a product contracted with at least one inbound operator in Australia who services a North American client.
Tourism accreditation.
Member of relevant Regional Tourism Organisation (RTO).
Special consideration will be given to new hotel and touring product offering a unique location or
experience.
HIGHLY REGARDED
Product that offers more than one product across multiply regions.
Currently active in the market and working with key wholesalers in the market.
Have undertaken marketing activities in the markets prior.
Member of ATEC or National Tourism Organisations.
Attends ATE with high preference for the USA market.
Selection process
1. Prospectus and Registration Form distributed to suitable product, 10 November 2017.
2. Completed Registration Forms to be submitted to Cory Gale at Tourism WA, by 1 December 2017.
3. Based on above criteria, Tourism WA to select suitable applicants to attend the Just Another Day in
Western Australia USA Roadshow.
4. All applicants will be notified by 6 December 2017 of their acceptance or non-acceptance to attend
the Just Another Day in Western Australia USA Roadshow.
Key dates and deadlines
10 November, Friday Applications Open, prospectus supplied
1 December, Friday Applications Close, registration form due
6 December, Wednesday Acceptance advised and invoice issued
18 December, Monday Seller biography, headshot, logos due, 50% deposit due
8 January, Monday Final payment due - non-refundable

Recommendations
Travel insurance – as Tourism WA does not accept responsibility or liability for any loss suffered by
participants it is strongly advised that all participants are responsible for personal travel and health
insurance including public and products liability, workers compensation and content insurance for the
duration of the roadshow and additional stay in the USA. It is highly recommended that insurance is
purchased prior to departure.
International flights – it is recommended that you purchase your international flights as soon as you
receive confirmation of attendance for the roadshow to ensure you obtain the best fare. Delegates are
required to book and pay for their International flights directly with the airline.

Event Registration Terms and Conditions
1. By registering to participate in Just Another Day in Western Australia USA Roadshow (Event) and
completing the registration form, Sellers agree to abide by these terms and conditions.
2. In order to showcase the depth and diversity of Western Australian tourism product, and to maintain and stimulate interest in the destination, Tourism Western Australia (Tourism WA) reserves the right to assess all applications on a case by case basis, determine final product (Sellers) participation for the Event and Tourism WA’s decision is final. Selection Criteria:
a) Participation is only available to accredited tourism businesses with membership of appropriate RTO, State, National and International travel association bodies.
b) Suitability of product for USA market consistent with Tourism WA international marketing strategies, available research, and information provided in Tourism WA market briefs. All product and services must be commissionable at the required international levels.
c) Long term operational stability and creditor status with Tourism WA. d) All product and services must have the appropriate licensing. License numbers must be
provided or proof of exemption. Licenses must be in the name of the company applying. e) Tourism WA reserves the right to waive any of the selection criteria at its discretion.
Representations to be excluded from one or more criteria should be made in writing and should include any supporting documentation. Such representations should be included with the initial application.

f) Preference is given to organisations that have an affiliation with the USA wholesalers attending the roadshow.
g) Demonstrated marketing activities in overseas regions including advertising or trade promotions. Supporting documentation is required where marketing activities were not Tourism WA co-operatives.
h) Availability of product in USA either through in-market representation; appropriate booking facilities or inclusion in wholesaler program, and a brochure suitable for the North American market.
i) All participants must undertake to have full updated wholesale and retail rates available for participation in the roadshow.
j) Complementary products over competitive products, i.e. variety of product availability and geographical spread are desired.
k) In the situation where, despite the application of selection criteria referred to above, demand exceeds participation availability, it may be necessary to apply category limits in order to maintain a balanced representation of product.
l) All WA operators attending this roadshow are expected to participate in all prearranged meetings and workshops for the duration of the roadshow.
m) The selection criteria set out in these terms are not exhaustive and are not listed in any priority.
3. Tourism WA reserves the right to modify and or cancel the Event itinerary without notice for any reason, to ensure costs of running the Event are met.
4. In the event a Seller is required to cancel their registration, the following cancellation fees will apply regardless of whether the registration fee has been paid and received by Tourism WA. Your company will be liable for all costs incurred prior to the receipt of your written termination notice. Cancellation is permitted up to 5pm (WST) 17 December 2017, if cancellation is received after this date the total registration cost will still be payable by the Seller and or retained by Tourism WA.
5. Sellers name change request is subject to approval by Tourism WA and will not be accepted if received after 5pm (WST) 22 December 2017.
6. All cancellations and or name change requests must be made in writing to [email protected] at Tourism WA Perth office.
7. Sellers are to only promote Western Australia destination and products i.e. national operators or products representing destinations other than Western Australia are not to promote or sell products outside of Western Australia.
8. A Seller can only represent the company that has applied and been accepted to participate at the Event in their own right. Product Representation Companies (PRC) and General Sales Agents (GSA) can only represent one product or destination at this Event.
9. All Delegates, including additional Delegates must be directly employed or contracted by the company accepted to participate at the Event. Tourism WA reserves the right to verify by any means which Tourism WA considers necessary evidence that the Delegates are directly employed by the

company to satisfy itself that the delegate has fulfilled this condition. Where it is identified that the additional Delegate is not a direct employee of the product company prior to the Event, the Delegate will be cancelled from the company’s application and any costs associated with that Delegates attendance or participation at the Event will be forfeited.
10. Seller and Delegate Registrations are not exchangeable, redeemable or transferrable. 11. The non-refundable participation fee 50% deposit is due by 18 December 2017 and final payment is
due by 8 January 2018.
12. The participation fee is a fixed cost based on group rates and individual changes to the itinerary will not be funded by Tourism WA.
13. There is no reduction in the registration fee for Delegates who do not use any or all of the services or functions as outlined in the itinerary.
14. Sellers contact details will be kept by Tourism WA and Sellers may be contacted in the future regarding information on their participation in this and any future trade events.
15. Sellers acknowledge that Tourism WA’s insurance coverage does not extend to cover third parties including Sellers and Delegates. It is recommended that Sellers and Delegates purchase their own insurance policy.
16. Each Seller hereby warrants that the information supplied to Tourism WA is and will remain true, correct, reliable and current and neither misleading nor deceptive and that the publication of such information will not contravene any laws including the Competition and Consumer Act 2010 (Cth) and Fair Trading Act 2010 (WA).
17. To the fullest extent permitted at law the Seller releases Tourism WA from any and all liability (in negligence or howsoever) for costs, damages, expenses and losses which any Seller may suffer or incur as a result of Tourism WA’s action or inaction arising out of or in connection with the Event.
18. Without limiting clause 17 in no circumstances is Tourism WA liable to any Seller for any indirect or consequential losses, including but not limited to loss of opportunity (including business opportunity), revenue or profit.
19. Without limiting clause 17 and 18 Tourism WA is not liable (in negligence or howsoever) to the Sellers for the acts or omissions of third parties (including any parties for whom Tourism WA is or may be vicariously liable).
20. These terms and conditions are governed by the laws of Western Australia irrespective of the place of residence of any Seller.
