- ILLN Staff Host Successful Authorities Workshopby Joe McNeil1

With so many new sites coming online, interest has recently picked up again with what should be done about maintaining qualitycontrol for our individual databases. Sites that came online with Phase I, II, and III received authority records from BNA for theirbibliographic records as part of the grant. Newer sites have not benefitted from this, and some sites have not continued with authorityprocessing either because of staffing and/or cost constraints. Sites that had been doing authority work through BNA were either doingit on their own or not at all because of BNA’s being bought out by OCLC.

In the spring after ALA Midwinter, Zee Zee began working with two vendors, OCLC and MARCIVE, to see what type of proposal theycould offer LOUIS sites for authority processing. Both vendors made proposals and this led to a desire for some sort of workshop thatcould clarify the whole issue of authority processing. Many sites had to consider budget constraints as well as staffing in the decisionprocess and a workshop was very much needed to clarify many issues that had been raised. The LOUIS staff agreed to host theworkshop on October 12- 13 .

Day one was divided into two parts. The morning session dealt with why we need to consider doing authority processing and some ofthe ins and outs of what an authority record looks like, how to search for them in our OPACS, etc. The afternoon session allowed us achance to talk with one of the vendors. Jim Plaunt from MARCIVE agreed to come to the workshop to talk about how MARCIVEhandled authority processing. A very thorough explanation of the various options they offer was discussed, and those attending wereallowed to ask specific questions. OCLC had beeninvited to send a representative, but was unable to do soat the t ime.

The second day was a chance to get down to the nitty’ gritty of the various NOTIS reports relating to authorityrecords and how authority work can be included in thedai ly workflow of a cataloging department.

Forty staff members from LOUIS institutions attended.Everyone left with a better grasp of the issue of authori-ties processing and how important it can be towardsmaintaining a quali ty database.

A big thanks to Zee Zee and the LOUIS staff for hosting the workshop, and to the various presenters (Anne Stanton from LSU, KarenJung from Southeastern, Jim Plaunt from MARCIVE, and Mary Johns from LSU-Law). This type of ongoing training and interactionbetween staff at the LOUIS libraries and LOUIS staff is what makes our consortium so great.

NUGM 1998by Mary Laird

The 1998 NOTIS User Group Meeting was held October 8-9 in Chicago. Approximately 7.5 people attended. The program includedsessions prepared by NOTIS users and staff. One of the highlights was a presentation by Brian Ingerson, an Ameritech softwaredevelopment engineer. He is leading a project which is code-named Archaeopteryx. The objective of this project is to extend theCICS-based NOTIS LMS product into an “open environment, multi-tiered server product.” Archaeopteryx is a UNIX/NT/Javabased middleware that enhances the power of the mainframe. It promises to use Web-based products with connectivity to Ameritechclient software. Another highlight was the remarks by Lana Porter, president of Ameritech Library Services, during the GeneralSession. She stated that Ameritech is committed to LMS and that she will not allow products to become available until they arethoroughly tested and ready for distribution.

Although the number of attendees was down, those who did attend the conference agreed that a renewed sense of enthusiasm wasevident among the LMS staff and participants.

New Databases Now Availableby Lisa Stigall

LLN patrons now have access to two new full- text database vendors. UMI’s ProQuest Direct and Lexis-Nexis Academic Universe havebeen available since September 1998. ProQuest provides access to The Times-Picavune and The Advocate newspapers for Louisiana’spublic libraries and the business database ABUInform for the academic libraries. Academic Universe is providing the same newspapers, for the academic libraries along with a multitude of other sources including legal and medical data.

The address for UMI’s Proquest Direct is http://www.umi.com/pqdauto. Either the newspapers orABI/Inform is available depending onwhether you are in an academic or public l ibrary.

The address for Academic Universe is http://www.lexis-nexis.com/universe. This product is l imited to academic s i tes only.

Security for both databases is based primarily on IP address. In addition, ProQuest does offer remote access to both the newspapersand ABI/Inform. Unfortunately Academic Universe does not offer remote access at this time. The remote IDS are created by the LOUISoffice and are changed every January, May, and August.

F50 Server Updateby John Guillory

Several issues regarding the F50 Server arose during the fall semester of this year. Slow response time from both the LOUIS Menuand WebSPIRS 3.1 frustrated users the most, and forced us to plan to make several scheduled adjustments between the Fall and Springsemesters .

In the course of troubleshooting database server problems, we learned from Silverplatter that their own servers do not run WebSPIRSand ERL (the database server proper) on the same machine. As a result, we will move WebSPIRS 3.1 to another machine reserving allthe power of the F50 just for the server, and migrate to WebSPIRS 4.0. Both of these gateways will run on a dual processor NT serverto which we are adding more memory.

Silverplatter has produced a new version of their server search engine to address the problem of reliable, consistent statistics and ascalable search engine. This database server is called ERL 4.0. On December 18, we fully implemented this new server. We are alsoadding more resource hardware to the F50, two more processors and a full gig of memory.

In the Spring semester we will continue to monitor the performance of the F50 and the NT server, and investigate updating the TAGsoftware/hardware.
