P7: Describe a Range of Electronic and Non- Electronic Methods of CommunicationPurpose of CommunicationSuggest non-electronic MethodSuggest electronic MethodWhich is the best method and why does it suit the purpose and audience?

To inform a customer of amount owed for goods bought on credit and to give the payment terms.Letters can be sent to customers at their office or home addresses.

Emails can be sent to customers.If it is assumed that customers have e-mail addresses, it would be a good choice to send emails. Emails would contain the same information as a letter.

Emails can be printed out later in as many copies as wanted by the customer for future reference. Email would provide as a concrete piece of evidence of notices being sent to customer.

To inform staff members about a meeting.Memorandums can be posted on notice boards in the office.SMS can be sent to staff members.SMS would be a good method to let staff members know about meeting because staff would have their cell phones nearby. Any SMS sent will be received immediately and seen by the staff. This would alert them easily about the meeting.

To remind a customer about a meeting.Letters can be sent to customers.Customers can be called on their phones and texted if cannot be reached.Calling the customer would be a better option because customers would hopefully have their phones near them. Phone calls can be received immediately leading to fast response.

To respond to a customer complaint.Company representatives can meet up with the customer.Customers can fill up an online grievance form.Company representatives meeting up with the customer would be a good method to apply as then customers can directly interact with the personnel on a human level and the personnel can ask deep questions about the problem and make the customer assured that the complaint will be solved.

To inform staff about a social event.Letters to each individual staff.Email with Google Calendar Invites and SurveyEmailing could good as emails would be fast and could contain elements like survey to find out if someone is coming or not. Google calendar entry invite could also remind the staff member when is the event.

To inform members of the public about new developments at the company.Creating a written report of the new development or findings of the company.Posting details about new development on website.

Posting details of new developments of company on the website would be a good idea as then people can easily enter the website and see the developments. Also reports can be uploaded to the website which can then be downloaded by anyone if they want to have a deeper understanding of the development.

To inform members of the public about a new product.Newspaper Advertisement about new product.Television advertisement.Doing a television advertisement would be a good option as then the advertisement could me made appealing to a particular customer base using a visual medium.

To discuss a sales strategy for a new product with marketing staff.Having a meeting in the office.Having a meeting through video calling software such as Skype.Having a physical meeting would be best because then physical interaction is possible. Presentations can be given in person and clarifications can be provided in real time.

To provide product information and frequently asked questions to staff, customers and technicians.Create written documents to be distributed to whoever has concerns.Post information on website.Posting frequently asked questions and product details on website would help any staff, customers or technicians to access easily to the information whenever they need.

To inform staff about a new stock control procedureDoing a physical meeting with staff.Posting details as a memo on notice board.Doing a physical meeting with staff would help them to understand in details about the new stock control procedure and clear clarifications if they arise in person.

Information for sales teams on new products.Written statement containing information on new products delivered to sales teams.Sending emails containing new product information.Emails can be sent fast and easily to sales teams containing detailed information. Any clarifications can also be answered through email.
