1 Getting Started

1.1 About this Document

Use

This Administrator's Guide is the central starting point for the technical implementation of SAP Management of Change.

Use the Administrator's Guide to get an overview of SAP Management of Change, its software units, and its processes from a technical perspective. The Administrator's Guide is a planning tool that helps you to design your SAP Management of Change system landscape. It refers you to the required detailed documentation.

This Administrator's Guide is a single source of information for the documentation that is available to support the installation and operation of SAP Management of Change. Therefore, this Administrator's Guide contains all of the following:

● Planning InformationThe first two chapters of the Administrator's Guide provide you with the most important information regarding the implementation of SAP Management of Change including an overview of the related planning information, its software units, the system landscape and the overall implementation sequence.

2.1 Introduction to SAP Management of Change

The SAP Management of Change application provides a highly flexible and fully auditable tool for monitoring, implementing, and reporting changes:

You can:

● Manage and streamline changes to products, procedures, processes, and equipment● Motivate employees to communicate change requests using the intuitive user interface● Monitor and organize reviews, approvals and other actions necessary to implement the change (for example,

update documentation, training materials, master data)● Use customized templates to decrease implementation and adoption costs● Ensure employees follow company/industry-specific change procedures to ensure safety compliance and

reduce incidents

2.3.2.1 Introduction

SAP Management of Change uses the following technology components.

2.3.2.2 SAP NetWeaver Application Server

SAP NetWeaver Application Server (SAP NetWeaver AS) is the application platform for SAP NetWeaver and SAP Management of Change. It provides the technological foundation for all other SAP components.

SAP NetWeaver AS provides a platform for developing and deploying dynamic and collaborative Web applications or other thin-client applications (WAP, PDA, and so on) and includes all proven SAP programming models and technologies. With SAP NetWeaver AS, SAP supports open Internet standards, including such protocols as HTTP, HTTPS, and SMTP, as well as Internet document standards like HTML and XML.

Open integration capabilities provide access to existing SAP and non-SAP applications. All integration facilities supported by SAP are available with SAP NetWeaver AS. The Java Connector or the DCOM Connector give ABAP applications access to Java or .NET components and the other way round. In addition, the Internet Communication Framework (ICF) of SAP NetWeaver AS enables programs written in ABAP to process and distribute HTTP requests directly.

As a consequence, SAP NetWeaver AS can serve both as an HTTP server and client. It serves as an HTTP server for bringing applications to the user via a Web browser either directly or via a standard Web server. It serves as an HTTP client to access other Web applications for collecting information and data.

To complete Web connectivity, SAP NetWeaver AS provides full support for sending and receiving e-mails via SMTP.

2.3.3 SAP NetWeaver Process Integration

Based on a native Web infrastructure that leverages open standards, SAP NetWeaver Process Integration makes it possible to manage the broad diversity of highly heterogeneous components from a multitude of vendors and to run in various technology environments. The integration capabilities capture shared business semantics and act as a mediator between the services and their technical implementations. It includes technical functions, such as Web service discovery, queuing, mapping, and routing. It also establishes an infrastructure for business process management and high-performance execution within and across organizational boundaries.

Exchange-based process integration removes the problems of direct connections by extracting shared collaboration knowledge. These shared business semantics ease the integration of both external and internal components. Instead of directly coding point-to-point interfaces for each new component, the exchange infrastructure allows you to instantly plug in of new components once for each component. This provides the flexibility you needed in today’s fast-changing business world, and it reduces integration costs compared to the direct connection approach.

4.2.2 Alert Monitoring

Proactive, automated monitoring is the basis for ensuring reliable operations for your SAP system environment. SAP provides you with the infrastructure and recommendations needed to set up your alert monitoring to recognize critical situations for SAP Management of Change as quickly as possible.

SAP Management of Change does not offer specific data in the Computer Center Management System (CCMS) for alert monitoring. Nevertheless general monitoring options can be used.

SAP Management of Change supports the use of SAP Business Rule Framework plus (BRFplus) to:

● Determine business partners for change requests and activities.● Determine additional activities for change requests using change request information and question codes.● Find experts for certain change request types.

It is not recommended to activate these BRFplus traces for long periods of time as they are performance critical.

Procedure

Trace data can be found in the BRFplus Workbench as follows:

1. Start transaction BRF+ to open the BRFplus Workbench.

2. Switch to expert mode by choosing Personalize User mode .3. In the Tools menu choose Lean Trace.4. Find/name the required BRFplus function using the given selection data.5. Start the search to see any trace data if available.

4.3.5 Backup and Restore

You need to back up your system landscape regularly to ensure that you can restore and recover it in case of failure. The backup and restore strategy for SAP Management of Change consists of two parts:

● Backup and restore coverage for each component● Cross-system data dependencies and handling

The backup and restore strategy for your system landscape should not only consider SAP systems but should also be embedded in overall business requirements and incorporate your company’s entire process flow. In addition, the backup and restore strategy must cover disaster recovery processes, such as the loss of a data center through fire. It is most important in this context that you ensure that backup devices are not lost together with normal data storage (separation of storage locations). Based on the type of application data contained in a component, a categorization scheme for system components can be used to analyze the backup requirements of any system component and to easily determine an appropriate backup method for this component. The SAP Management of Change application uses the user management and authentication mechanisms provided with the SAP NetWeaver platform, in particular the SAP NetWeaver Application Server. Therefore, the security recommendations and guidelines for user administration and authentication as described in the SAP NetWeaver Application Server ABAP Security Guide also apply to the SAP Management of Change application.

In addition to these guidelines, we include information about user administration and authentication that specifically applies to the SAP Management of Change application in the following topics:

User Types

It is often necessary to specify different security policies for different types of users. For example, your policy may specify that individual users who perform tasks interactively have to change their passwords on a regular basis, but not those users under which background processing jobs run.

The user types that are required for the SAP Management of Change application include:

● Individual users:○ Dialog users are used for SAP GUI for Windows○ Internet users for Web applications

Same policies apply as for dialog users, but used for Internet connections.

● Technical users:○ Communication users are used for dialog-free communication between systems.○ Service users are dialog users who are available for a large set of anonymous users (for example, for

5.4.3 User Data Synchronization

By synchronizing user data, you can reduce effort and expense in the user management of your system landscape. Since SAP Management of Change is based on SAP NetWeaver, you can use all of the mechanisms for user synchronization in SAP NetWeaver here. ExampleYou can use user data distributed across systems by replicating the data, for example in a central directory such as LDAP.

5.4.4 Integration Into Single Sign-On Environments

The SAP Management of Change application supports the Single Sign-On (SSO) mechanisms provided by the SAP NetWeaver Application Server for ABAP technology. Therefore the security recommendations and guidelines for user administration and authentication as described in the SAP NetWeaver Security Guide also apply to the SAP Management of Change application.

The most widely-used supported mechanisms are listed below.

● Secure Network Communications (SNC)SNC is available for user authentication and provides for an SSO environment when using the SAP GUI for Windows or Remote Function Calls.

● SAP logon ticketsThe SAP Management of Change application supports the use of logon tickets for SSO when using a Web browser as the frontend client. In this case, users can be issued a logon ticket after they have authenticated themselves with the initial SAP system. The ticket can then be submitted to other systems (SAP or external systems) as an authentication token. The user does not need to enter a user ID or password for authentication but can access the system directly after the system has checked the logon ticket.

● Client certificatesAs an alternative to user authentication using a user ID and passwords, users using a Web browser as a frontend client can also provide X.509 client certificates to use for authentication. In this case, user authentication is performed on the Web server using the Secure Sockets Layer Protocol (SSL Protocol) and no passwords have to be transferred. User authorizations are valid in accordance with the authorization concept in the SAP system.

5.5 Authorizations

The SAP Management of Change application uses the authorization provided by the SAP NetWeaver Application Server ABAP. Therefore, the recommendations and guidelines for authorizations as described in the SAP NetWeaver Application Server ABAP Security Guide also apply to the SAP Management of Change application.

The SAP NetWeaver authorization concept is based on assigning authorizations to users based on roles. For role maintenance, use the profile generator (transaction PFCG) on the SAP NetWeaver Application Server ABAP.

Standard Roles

SAP Management of Change provides the standard roles in the table below. Before using the roles listed, you may want to check whether the delivered standard roles meet your requirements and adjust the Customizing settings in the change request type, activity type, and so on. These roles contain only the structure of the menu but no specific authorizations. These authorizations are provided by special authorization roles listed in the Authorization Roles section below.

The table below shows the standard PFCG roles that are used by the SAP Management of Change application.

5.6 Session Security Protection

To increase security and prevent access to the SAP logon ticket and security session cookie(s), it is recommended that you activate secure session management. We also highly recommend using SSL to protect the network communications where these security-relevant cookies are transferred.

You can activate secure session management. With an existing security session, users can then start applications that require a user logon without logging on again. When a security session is ended, the system also ends all applications that are linked to this security session.

5.7 Network and Communication Security

5.7.1 Introduction

Your network infrastructure is extremely important in protecting your system. Your network needs to support the communication necessary for your business and your needs without allowing unauthorized access. A well-defined network topology can eliminate many security threats based on software flaws (at both the operating system and application level) or network attacks such as eavesdropping. If users cannot log on to your application or database servers at the operating system or database layer, then there is no way for intruders to compromise the machines and gain access to the backend system’s database or files. Additionally, if users are not able to connect to the server LAN (local area network), they cannot exploit well-known bugs and security holes in network services on the server machines.

The network topology for the SAP Management of Change application is based on the topology used by the SAP NetWeaver platform. Therefore, the security guidelines and recommendations described in the SAP NetWeaver Security Guide also apply to the SAP Management of Change application. Details that specifically apply to the SAP Management of Change application are described in the following topics:

A minimum security demand for your network infrastructure is the use of a firewall for all your services that are provided over the Internet. A more secure variant is to protect your systems (or groups of systems) by locating the system groups in different network segments. Each system group has a firewall that protects it from unauthorized access. External security attacks can also come from the inside, if the intruder has already taken control of one of your systems.

5.7.4 Communication Destinations

The use of users and authorizations in an irresponsible manner can pose security risks. You should therefore follow the security rules below when communicating with other systems:

● Employ the user types system and communication.● Grant a user only the minimum authorizations.● Choose a secure password and do not divulge it to anyone else.● Only store user-specific logon data for users of type system and communication.● Wherever possible, use trusted system functions instead of user-specific logon data.

5.10 Data Protection and Privacy

5.10.1 Introduction

Data protection is associated with numerous legal requirements and privacy concerns. In addition to compliance with general data privacy regulation, it is necessary to consider compliance with industry-specific legislation in different countries.

Blocking A method of restricting access to data for which the primary business purpose has ended.

Business purpose A legal, contractual, or in other form justified reason for the processing of personal data. The assumption is that any pur­pose has an end that is usually already defined when the pur­pose starts.

Consent The action of the data subject confirming that the usage of his or her personal data shall be allowed for a given purpose. A consent functionality allows the storage of a consent record in relation to a specific purpose and shows if a data subject has granted, withdrawn, or denied consent.

Deletion Deletion of personal data so that the data is no longer availa­ble.

End of business Date where the business with a data subject ends, for exam­ple, the order is completed, the subscription is cancelled, or the last bill is settled.

End of purpose (EoP) End of purpose and start of blocking period. The point in time, when the primary processing purpose ends (for example, con­tract is fulfilled).

End of purpose (EoP) check A method of identifying the point in time for a data set when the processing of personal data is no longer required for the primary business purpose. After the EoP has been reached, the data is blocked and can only be accessed by users with special authorization (for example, tax auditors).

Personal data Any information relating to an identified or identifiable natural person (data subject). An identifiable natural person is one who can be identified, directly or indirectly, in particular by ref­erence to an identifier such as a name, an identification num­ber, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, eco­nomic, cultural, or social identity of that natural person.

Residence period The period of time between the end of business and the end of purpose (EoP) for a data set during which the data remains in the database and can be used in case of subsequent proc­esses related to the original purpose. At the end of the longest configured residence period, the data is blocked or deleted.

The residence period is part of the overall retention period.

Term Definition

Retention period The period of time between the end of the last business activ­ity involving a specific object (for example, a business partner) and the deletion of the corresponding data, subject to applica­ble laws. The retention period is a combination of the resi­dence period and the blocking period.

Sensitive personal data A category of personal data that usually includes the following type of information:

● Special categories of personal data such as data revealing racial or ethnic origin, political opinions, religious or philo­sophical beliefs, or trade union membership and the proc­essing of genetic data, biometric data, data concerning health, sex life or sexual orientation or personal data con­cerning bank and credit accounts

● Personal data subject to professional secrecy● Personal data relating to criminal or administrative of­

fenses● Personal data concerning insurances and bank or credit

card accounts

Where-used check (WUC) A process designed to ensure data integrity in the case of po­tential blocking of business partner data. An application's where-used check (WUC) determines if there is any depend­ent data for a certain business partner in the database. If de­pendent data exists, this means the data is still required for business activities. Therefore, the blocking of business part­ners referenced in the data is prevented.

Some basic requirements that support data protection are often referred to as technical and organizational measures (TOM). The following topics are related to data protection and require appropriate TOMs:

5.10.3 Deletion of Personal Data

When handling personal data, it is necessary to comply with general data protection regulation and industry-specific legislation in different countries. A typical requirement in certain countries and regulations is that personal data shall no longer be handled after the specified, explicit, and legitimate purpose for the processing of personal data has ended. Data that has reached its end of purpose (EoP) must be deleted if no other retention periods are defined in legislation, for example, retention periods for financial documents.

If there are legal requirements to retain personal data after the end of purpose, this data needs to be blocked. Blocked data retains in the database due to the legally defined retention periods but it can be displayed only by special persons with special authorizations.

NoteSAP Management of Change might process data (personal data) that is subject to the data protection laws applicable in specific countries as described in 1825544 .

To enable even complex scenarios of blocking and deleting data, SAP Management of Change uses SAP Information Lifecycle Management (SAP ILM) to help you set up a compliant information lifecycle management process in an efficient and flexible manner. SAP Information Lifecycle Management supports the entire software lifecycle including the storage, retention, blocking, and deletion of data.

End of Purpose Check

Before blocking and deleting personal data, an end of purpose check (EoP check) determines whether data is still relevant for business activities based on the retention period defined for the data.

The retention period of data consists of the following phases:

● Phase 1: The relevant data is actively used.● Phase 2: The relevant data is actively available in the system.● Phase 3: The relevant data needs to be retained for other reasons.: The relevant data is actively available in the

system.For example, processing of data is no longer required for the primary business purpose, but to comply with legal rules for retention, the data must still be available. In phase 3, the relevant data is blocked.

Blocking of data prevents the business users of SAP applications from displaying and using data that may include personal data and is no longer relevant for business activities.

Blocking of data can impact system behavior in the following ways:

● Display: The system does not display blocked data.● Change: It is not possible to change a business object that contains blocked data.● Create: It is not possible to create a business object that contains blocked data.● Copy/Follow-Up: The relevant data is actively available in the: It is not possible to copy a business object or

perform follow-up activities for a business object that contains blocked data.● Search: It is not possible to search for blocked data or to search for a business object using blocked data in the

search criteria.

It is possible to display blocked data if a user has special authorization. However, it is still not possible to create, change, copy, or perform follow-up activities on blocked data.

SAP Management of Change registers an end of purpose check in the Customizing settings for the blocking and deletion of application data (for customer data, vendor data, and business partner data).

1. Define the retention periods in SAP Information Lifecycle Management (ILM) (transaction IRMPOL) for the ILM objects IAM_ACTIVITY and IAM_ISSUE.

2. To support the end of purpose functionality of the central business partners, carry out the following steps:○ Run transaction ILM Policies (IRMPOL) and do the following:

Simplified blocking and deletion describes the technical process for blocking and deleting personal data in a structured and integrated manner. The functions for deleting data across specific archiving processes and blocking data using authorization-based grouping are enhanced by functions for modeling and applying blocking and deletion rules in an SAP system group.

5.10.4 Information Report

In SAP Management of Change, it is possible to display all change requests and activities of a certain person. This selection is based on the business partner ID of the current user who can taylor the content of the information report to his or her needs.

You can use the following authorization objects to control the information reports for change requests and activities:

● /IAM/IAUTH (change request)● /IAM/AAUTH (activity)

To control the information report via the Worklist in SAP Management of Change, the authorization object CA_POWL needs to be assigned to the user.

5.10.5 Change Log

Personal data is subject to frequent changes. Therefore, for revision purposes or as a result of legal regulations, it may be necessary to track the changes that have been made to this data. When these changes are logged, you should be able to check which employee made which changes, the date and time, the previous value, and the current value. It is also possible to analyze errors in this way.

Setting Up Change Logs for SAP Management of Change

SAP Management of Change processes personal data of business partners that are involved in change requests and activities. If any changes are made regarding the business partner, the system logs the following information on personal data per change request and activity:

● The user who has changed data● Data and the time of the change● The change type (update, insert, deletion, single field documentation)● The identifying keys and their values of the data records● The heading name for the attribute that has been changed

You can define the fields to be logged under Display Change Document Objects (transaction SCDO).

● Import of ESR Content (XI Content) (optional)To install the content required for the enterprise service definitions you must select the technical usage “XI Content” in the enhancement package installation process. This usage type downloads the content files for SAP NetWeaver PI 7.0 or higher. Unpack the ZIP file and copy the tpz files corresponding to your SAP NetWeaver PI version into the import directory of your Integration Repository (for SAP NetWeaver PI 7.0x) or Enterprise Services Repository (for SAP NetWeaver ES Repository 7.1 or higher).
