New Features

• New CTE Pathways functionality has been released to enable districts to define and track the CTE Pathways they support. Two new applications are included with this release as well as modifications to existing applications such as Student Career Plan, Student Schedules, Marks Processing, Student Academic History, Year End to support CTE Pathways.

• A new Default Priority Request field has been added to the Course and carried through in related scheduling applications enabling districts to set a default priority for requests which may be used when running the Loader.

• Adjustments to Student Banner to better support Programs by optionally displaying in a tooltip program description when hovering over program code or symbol and adding Program as a filter to search function.

New Features & Functionality in Q General Navigation

• Class Birthdays Widget: Modified to eliminate course name so that students in elementary schools multiply scheduled in the same period with the same teacher only appear once on the list.

• Graduation Banner Widget: Enhanced to display ‘As Of’ date. • Program description may optionally be displayed in a tooltip when the mouse is hovered over the Program code or symbol in the

student banner or in other places it displays such as Class Attendance, Grade Book, etc. A new SNPREF setting [ShowSpecPrgTooltip] is used to configure this functionality.

• Two new code associations have been implemented. They may be configured

in Lookup Editor, Code Associations tab. When a student has a Legal Binding corresponding to the types specified for these Code Associations, where the current date falls between the Effective and Expiration Dates in the Legal Binding record:

o ‘NicknameShowWithName’ –The student nickname field will be shown in parenthesis at the end of the student name in the student banner.

o ‘NicknameHideInPortal’ will cause the student nickname to not be shown in the Parent Portal.

One possible use for these code associations would be to accommodate a student who is in the process of transitioning gender identity and is using a new name at school but has not informed their parents. The new name could be put in the nickname field during this transition time then, once the parents are involved, the first name field in the student’s demographic record could be changed. We have not scripted any Legal Binding Types to be used for this. Each district may choose to implement and define their own.

Student Banner • Added Programs to student banner search. • Student Banner search has been modified to compare name search values to the

Nickname field and AKA name records as well as the student demographic name fields to increase the opportunities to find a student when the user is unsure of which name is in student demographic name fields.

Analysis Student Pulse

• Added support for Equidistant Grade Book grading.

Student Pulse Report • Added support for Equidistant Grade Book grading.

Attendance Mass Attendance

• On Parent Reported Absences Tab: o Added ‘Include Previously Processed’ checkbox in top right corner. When checked, a log of processed parent reported absence

records appears showing processing information. o Changed tooltip on ‘New Attendance Code’ cells to clarify which is the existing attendance code and which is the new code.

• For tracks that do not have a bell schedule, parent attendance submissions will default to all day. • On Rapid Entry Tab:

o Modified to set the note for all cells when the note field is changed and the ‘Set All Periods’ checkbox is on. o On the Schedule Grid:

A small note graphic will appear for each cell in the schedule if the note is set to be changed. The attendance code will be bold if the code is being changed. [Clicking in the cell will display the current attendance

code, before the change is made.] Legend text appears below the schedule grid to explain these clues.

• Added a new permission item ‘Mass Attendance: Post Across Schools’. For users with this permission:

o In Rapid Entry, the mini-schedule grid periods scheduled in other schools in the date range will appear, as shown. o In Mass Entry, a checkbox is added to the screen ‘Post All Day code to other schools where students are enrolled’ and will be

enabled only when all track period ranges are set to ‘All Day’. If it is checked, tracks from other schools where the selected students are scheduled will be included in the Review Students screen and attendance may be posted to the classes in those schools.

o For Parent Reported Absences, the ‘Post Across Schools’ functionality behaves the same way as for Rapid Entry. • Added “(TA)” to the end of course descriptions when the student is scheduled in the course as a TA.

Truancy Tracking • Added a preference for either District, School or Track level for ‘Default from Email Address’ to be used when sending truancy letters via

email so that the logged in user’s email account does not have to be the address to receive responses. • Added support formatting for 9-digit zip code fields for student, school, and contact.

Attendance Reports CA Monthly Accumulative Attendance Report

• Added an option to filter on School Type when run from the District.

Chronic Absences Report • Added an option to use primary contacts phone number instead of student’s home phone.

Daily Call Report • Changed date option from a single date to a date range. The report will print each date separately.

Daily Class Attendance Listing Report • Changed date option from a single date to a date range. • Period sort now sorts on period, rather than period code.

Master Absence List Report • Changed date option from a single date to a date range. Each date will be printed starting on a separate page and the Excel output has a

separate sheet for each date.

Phone Log Report • Changed date validation to allow call date range from 14 days before the start of school to 14 days after the end of school. • Changed label in report from ‘Remarks’ to ‘Notes’ for consistency.

Student Attendance History Report • Added option for saving report to Student Documents.

Student Attendance with Notes Report • A new report to print all student

attendance with attendance notes.

Enrollment Contact Editor

• Added Student ID to the display of associated students.

Student Activities & Awards • Increased the displayed length of the activity descriptions.

Student Documents • Users with Administrator permission will have access to all documents regardless of the ‘View As Of’ date setting. Administrator

permission determined by: System Administrator or DB Administrator settings, or Student Document Administrator application permission.

Student Editor • Added grade level context filter capability to Demographic extensions browse and edit areas.

Student Lockers • Added Current Occupancy column (Crnt Occ) to the main locker grid when adding a locker to the selected student.

Student Profile

• Added new permission item [TestElecScoreRpts] for Electronic Score Reports. The new permission item will add the Test area with only Electronic Score Report information displayed. The original Student Profile [Test Tab] permission item adds the Test area and shows other test records.

FS Process Applications • In the Food Service Process Applications, Print Archive Applications, include the date/time the online food service meal benefit

application was submitted on the print copy.

Food Service POS FS Food Service Setup

• Implemented annual Food Service reimbursement rates for school year 2020. Script also updates three NSLP Program codes to accommodate updated federal rate structure.

FS Payments • Launching apps directly from the Payments app frequently errored while the Payments app attempted to access the database to close

the open cash drawer. As a result, users must now exit the Payments app using the newly added "Close Drawer & Quit" button.

• Added the ability for a school site to apply payments to students at multiple sites in the same transaction without having to be logged into the district track. Added permission to Food Service POS: Payments named "District-wide Payments".

o When using the ‘Multiple Account Payments’ tab with the ‘Food Service POS: Payments [District-wide Payments]’ permission for a given track, a user can select ‘District Wide’ searches. A transaction must include at least one Student, Staff, or Patron enrolled or associated with the logged in school.

o When using the 'Single Account Payments' tab, only students with payments entered that day for the logged in cash drawer can be accessed. To turn off district-wide searches on the ‘Single Account Payments’ tab uncheck the “Edit” box for the ‘Food Service POS: Payments [District-wide Payments]’ permission in Role Restrictions.

FS POS Reporting Food Service - FS Monthly Summary Reports

• Added option ‘Count Part-time Enrollment as Eligible’ for Monthly Point-of-Sale Summary and Monthly Meal Count Worksheet reports.

Food Service - FS Point of Sale Analysis Report • Added 'Account Type', 'Amount', and 'Worker' flag as output columns to facilitate general reconciliation.

Food Service - FS Point of Sale Letters & Labels Report • Modified the format of the ID Maker Advantage Cards with Photos as requested.

Health Office Visit Log

• Changed application so that when logged into the district a dropdown of schools will appear for the user to enter the location the visit took place. Then, when logging into the school, the appropriate office visits will be in the list.

Marks Grade Book

• Modified the Standard Spreadsheet to not show the roster until the user selects a standard for performance purposes.

• In Options, if ‘Standards Only’ is selected, the user may now set a default Mark Type.

• In Grading Scales, if multiple Equidistant Grading Scales exist for the same Mark Type, the user can select the one they want to use.

Marks Processing • Added ‘Calculate Pathway Status’ option to interface to optionally calculate the

CTE Pathway Status. This option, like the other calculate options, is based on permission (Mark Processing [CalcPathwayStatus]).

Requirements • Added the ability to indicate if the results of a rule evaluation should be shown for students in

Student Profile and in the Parent and Student Portals.

Student Academic History Graduation Requirements

• Changed to show all calculated requirement rule results for a student on the Grad Requirements tab.

• Enhanced to allow any rule to be calculated or re-calculated without having to change the student’s Graduation Requirement.

• Requirement rule results may also now be deleted.

All existing Graduation Requirements and Pathway Status are recalculated when a transcript record is added, edited or deleted. See also related Process Manager, Q Toolbox procedure.

Mark Reports Class Marks Listing Report

• Added option to print Teacher Signature line with certification message. • Added database preference [SNPREF preference named MarkRptCertMsg] to hold the certification

message.

Multi-Track Report Cards • May now implement custom section and custom legend using QLIPS associated with Mark Setup

application. The hook names are ‘Report Card Custom Section’ and ‘Report Card Custom Legend.’ When the hooks are configured, corresponding optional custom prompts will appear under ‘Include Options’ in the Multi-Track Report Card.

• When saving to Student Documents: o Save document in non-default language only if translations exist for that language. o Append language to description if the language is not the default language.

Programs Program Reports ST Student Eligibility by Practitioner Report

• The ‘Active Enrolled…’ filter was misnamed. The filter excludes students without a placement with an assigned faculty. It has been renamed: ‘Exclude Manually Added Students.’

Reporting • Changed sort order and display text for ‘Track’ report filter list to sort alpha by

school name, then track code. • In email Mail Merge (used by Truancy Tracking, etc.) added validation on

student and contact emails and removed the ability to select those students or contacts who have invalid email addresses to receive emails.

Schedule A new Default Priority Request field has been added to the Course and carried through in related scheduling applications enabling districts to set a default priority for requests which may be used when running the Loader. This new functionality may be used, as example, to set core courses higher in priority than electives. By using the Loader option to ‘Consider Requests by Priority Only’ students would be scheduled first into core classes, then electives. See specific application details below. Career Plan Setup

• Modified to default the request priority for courses added to a career plan from the new Course Default Priority Request field.

District Courses • Added new Default Request Priority field.

Loader • Added a two-level sort for Requests:

o If the user selects ‘Consider Requests By Priority Only’, the requests for each student will be ordered by Priority ascending, then Number of Sections ascending.

o If the user does not select the Priority option, the requests will be ordered by Number of Sections ascending, then by assigned priority ascending.

Master Schedule Manager

• On the class Add/Edit views, widened the dropdowns that contain course code, course description combinations and added tooltips on mouse over any of the dropdown options.

Pathway Setup

• New application to define CTE Pathways and assign courses, with their levels (e.g. Introduction, Concentrator or Capstone) for each Pathway.

Student Pathways • New application to assign a student to one or more Pathways and set Pathway-specific courses by grade to fulfill requirements for the

pathway. A view of the student’s progress in the Pathway includes their academic standing from transcript records for the courses assigned in the Pathway. Pathway Status is calculated as part of Marks Processing or when recalculating GPAs after a transcript record is added, edited or deleted in Student Academic History.

Follow Up contact may be tracked for prior year graduates.

Student Schedules • When a schedule record’s entry code is changed to ‘Pre-Scheduled’ and it is tied to a request record which is identified as an alternate to

another request, the alternate link will now be cleared. • Modified the Add Request by Career Plan screen to separate Pathway courses from the rest of the Student Plan courses and allow the

user to choose whether to add them or not.

• Modified Add/Edit Requests to use the new Default Request Priority field from the Course and Track Course Setup (TRKCRS) records. In Individual mode, the Priority textbox value is defaulted when course is selected. In Rapid Entry mode, the user is given a checkbox choice to use the course default priority for each course or use a single user-entered value for all courses. In Career Plan mode, it already used the priority from the Career Plan Item record, but that value, if NULL, is now defaulted to the Track Course Setup default value.

Track Course Setup • Added Default Request Priority to the Track Course table (TRKCRS) and the Courses Selection panel in the Course Selection tab. This will

be the defaulted student course request priority.

Schedule Reports Add Drop Report

• Changed the default Enrollment filter to be ‘All Students This Year’ rather than ‘Active Students’.

Checklist Roster Report • Added option to print a signature line and a database preference for signature line text. The preference is in SNPREF and preference

name is ‘SchedRptCertMsg’.

Class News Listing Report • Added standard Excel Export for report.

Class Roster Report • Added Entry and Exit codes to report export. • Added State ID as an option to print.

Course Request List Report • Added a filter on Course Status that contains three choices: Active, Inactive or Both. • Added option to print the status of a course if it is NOT active. It puts status on second line below course ID. If the second line is not

included, then status does not print. • Added Course Status to report export.

Grid Master Schedule Report • Added prompt to allow selected by Team.

Pathway Listing Report • New report to provide listing of pathways defined.

Student Career Plan Report • Added support for Pathways in report.

Student Pathways Report • New report of Student Pathways. User may opt to include course

information when printing the report.

Student Schedules Report • Report now prints School name, rather than school code since that was

confusing to students. • Changed locker label to print Locker ID rather than just ID. • Added option to print Alternate Faculty, selecting Alternate Faculty Types

from a list.

School Extra Curricular

• Added ‘Change Responsible Person’ functionality to enable changing the account holder without changing the account number. When clicked, the Search for Account/Contact dialog opens.

• On Student Schedules Tab, added ‘Show All Years’ checkbox.

• Added School Name, when logged into the district, to: o Student Schedule list o Account Charges/Payments list.

• When adding a new Student Schedule, after clicking Submit, the Calendar is presented with the schedule set to match the Program Schedule entered. A new ‘Write Billing Records’ checkbox appears, set ON, and Submit is enabled. The user may make any adjustments to the calendar. When submit is clicked, recurring fees are generated when the ‘Write Billing Records’ is checked on.

Track Editor • On the Calendar tab, added display tables for Cycle Days and Bell Schedules areas to display the number

of student days broken down by each area item.

EC Sign In/Out Roster Report • New Report that provides a Sign In/Out roster by Program, Class, Month, Week and enables user to exclude students with a delayed

start.

System Federal Reporting

• New application to facilitate Office of Civil Rights (OCR) Reporting. Similar to the State Reporting and Process Manager applications, this initial release contains procedures for Course Group listings and Setup Auditing. The OCR extracts will be released once SY 19-20 CRDC specifications are published.

Grade Book Manager • On Options tab, added Default Mark Type and Display / Do Not Display

Mark Percentage. • Enhanced Equidistant Scales so multiple scales may be defined for the

same Mark Set code. An example would be 5 point and 4 point scales for letter marks with +/-.

Mass Parchment Upload • Modified to Send Legal Name if one is specified for the student. The

upload now behaves just like the Transcript report with respect to sending Legal Name using the code association for an AKA Name Type to override the student’s name with their legal name.

Note: When districts first upload students to Parchment, the student name is set. Parchment will not allow upload of transcript data if the name does not match. Districts will need to update student names in Parchment whenever there is a change, whether due to spelling or the addition of a Legal Name.

Parent Connect Manager • Added ‘Course Plan’ as an available area.

Process Manager Q Toolbox:

• ‘Mark Setup – Copy’ procedure now includes Standards Edit To/From fields. • Added a new item: ‘Grad Req - Manager’ that may be used to remove calculated results of Graduation Requirements for specified

students.

• Modify to send genderc field instead of GenderToReport now that CALPADS supports NonBinary.

SPRG: • Remove 144 from the list of programs to be sent. Special Ed programs are now sent in a separate extract. • Replace 3.21, 3.22 with filler per CFS v11. Add 300, 301, 302, 303, 304, 305, 306 to list of program codes to be sent. For Language

Instructional Programs, v11.

CRSE/CRSC: • Removed field 9.10 and added fields 9.28 - 9.36 per CFS v11. • Change state course code used for generated TA records from 6021 to 9216 per Code Set v11. • Change to always send 'NOT' for field 9.29, '3' for 9.30, and '' for 9.28, 9.32, 9.34, 9.35, and 9.36 in generated TA records.

PSTS: • Added new extract to submit Postsecondary survey status for students which were in CPA or CTE programs last year.

SINC/SIRS/SOFF: • Added new CALPADS extracts for reorganized Incident Reporting: CALPADS_SINC Incidents; CALPADS_SIRS Results; and

CALPADS_SOFF Offenses.

Student Connect Manager • Added ability to edit HTML in TinyMCE text editor on Page Content and User Agreement tabs. • Added ‘Course Plan’ as an available area.

Year End • Added support for CTE Pathways: When a student is in a Pathway and has no future enrollment at Year End, their pathway record will be

updated with an end date as of the end of their track.

Testing Test Definition

• Lengthened the Test Score Type field (TSCRTYP) from 1 character to 3.

Q Parent Connect Application • After submitting a Parent Reported Absence, the application will not scroll to the top until after confirmation message has been

displayed and faded out. • Modified to show all calculated Requirement Rule results that are checked ‘Show in Portal’ indicating which is the student’s Graduation

Requirement. The calculation date is also displayed for each rule result set. Adjusted the embedded report to match. • Added indication to primary phone number when it is either unlisted or able to receive text messages. This also impacts the Profile

Report. • Implemented new Code Association value ‘NicknameHideinPortal’ to not display student nickname fields in either Demographics or Re-

Enrollment areas. • Added maximum password length to password requirement message when changing or resetting user password. • Added support for Equidistant Grading to Pulse tab and the Pulse area of the Profile report. • Added a new mechanism to create a custom exception to the Information Update Steps that show for a particular student or contact in

the Update Information, Re-enrollment areas. An example of a custom exception would be ‘not showing a Language Survey step if it has previously been completed’. Making use of this mechanism involves a district DBA adding code to a procedure to define the conditions when a step would not be shown for a student or contact. See Release Notes for details.
