1Overview and Setup Checklists

When a new employee starts at marchFIRST, there’s much to be done. For

example, the Human Resources Group gets the “rookie” oriented and

signed up for company benefits.

The Management Information Systems (MIS) Group also plays an important

part in getting new employees settled in. The MIS Group, working with the

Facilities Group, is responsible for setting up the new employee’s computer,

network accounts, data line, and voice mail.

Who Should Read This Guide?This guide is for MIS Group members assigned to set upcomputers, network accounts, data and voice lines, and voicemail for new employees. The guide includes detailed steps andmany illustrations, and is intended for readers without deeptechnical background or experience.

From the MIS Group’s perspective, setting up a new employeecan be broken into four major tasks. Each task is covered in aseparate chapter of this guide, specifically:

Using the Setup ChecklistsTwo checklists are provided in this guide: the New EmployeeInformation Checklist and the Setup Task CompletionChecklist.

The New Employee Information Checklist is partially filled inby the MIS Group manager when a new employee must be setup. The manager will give the checklist to you. It providesinformation you will need to complete the setup tasks.

The Setup Task Completion Checklist helps you keep track ofwhich setup task you have completed.

x To use the checklists:1 Make sure you have received a partially filled in New

Employee Information Checklist from the MIS Group man-ager. You need a separate checklist for each employee.

2 Make a copy of the Setup Task Completion Checklist, onefor each employee.

3 Begin the setup tasks.

4 Make sure all items in the New Employee InformationChecklist are filled in. You must supply some of theinformation, such as the employee’s telephone extension,yourself.

5 On the Setup Task Completion Checklist, check off thesetup tasks as you complete them.

6 When you have completed the setup, sign both checklistsand give them to the MIS Group manager.

2Setting Up Windows Accounts

This chapter provides instructions to help you set up Windows accounts for

new employees. The account setup process is broken into four tasks:

creating the employee’s user account, adding the employee to a group,

giving the employee access to the VPN (optional), and creating a folder for

the employee.

What You Need Before StartingBefore you begin setting up a Windows account for a newemployee, you must know the employee’s full name and theorganizational unit he or she belongs to. Some examples oforganizational units in the Integrated Application ServicesGroup are Business Operations, Architecture and Development(A&D), and Technical Operations.

Refer to your New Employee Information Checklist for theemployee’s name and organizational unit.

Creating the Employee’s User AccountYou can create accounts for new users without going to theirworkstations. Use your own computer to perform the followingsteps.

x To create the user’s Windows account:1 Click Start, point to Programs > Administrative Tools >

Users and Computers, and then click Users and Computers.The Console Root\Active Directory Users and Computerswindow appears.

2 Click the plus sign ( ) next to the organizational unit towhich the new user belongs—for example, A&D or BusinessOperations. The subfolders appear.

5 Type the new employee’s (new user’s) first name, middleinitial, and last name in the appropriate text boxes.

6 In the User logon name text box, type the initial of the user’sfirst name followed by his or her full last name. Forexample, for a user named Roy Riley, you would type rriley.

7 Click Next. The New Object - User dialog box with passwordtext boxes appears.

If a message appears telling you that theuser name is not unique (see illustration below), click OKand continue with Step 8.

9 Make sure the first checkbox (User must change passwordat next logon) is selected, and then click Next.

10 Click Finish. The Console Root\Active Directory Users andComputers window appears with the new user displayed.

Adding the User to a GroupNow that you have created a Windows account for the new user,you must add him or her to the proper organizational group.Adding the user to a group provides security because it limitsthe user’s ability to access files belonging to other groups.

x To add the user to a group:1 In the Console Root\Active Directory Users and Computers

dialog box, right-click the user’s name. The Properties dialogbox appears.

2 Click the Member Of tab. Any groups the user alreadybelongs to are displayed.

3 Click Add. The Select Groups dialog box appears.

4 Scroll through the list of groups until you find the group orgroups to which the user must be assigned.

Refer to your New Employee InformationChecklist for the employee’s organizational unit and anyadditional group to which he must be assigned. Every newuser must be assigned to at least one group. The mandatorygroup is the user’s organizational unit—for example, A&Dor Business Operations. In addition, new users who want toaccess the Herndon office network from home or from anyother remote location must be assigned to the group Dial-in.

5 With the user’s group(s) highlighted, click Add and thenclick OK. The Properties dialog box reappears with thenewly added group displayed.

6 Click OK. The Console Root\Active Directory Users andComputers window appears.

Giving the User Access to the VPN (optional)Having access to the virtual private network (VPN) allows theuser to access the Herndon internal network via the Internet—in other words, to work from home. This access is optional, butmost employees want it.

x To give the user access to the VPN:1 In the Console Root\Active Directory Users and Computers

window, right-click the user’s name. The Properties dialogbox appears.

2 Click the Dial-in tab.

3 Under Remote Access Permission (Dial-in or VPN), makesure the Control access through Remote Access Policy optionis selected.

2 In the Home folder part of the window, make sure theConnect option is selected, and then select drive I from thedrop-down list.

3 In the To text box, type the path to the user’s homedirectory.

The path consists of three elements: theserver name, the shared folder, and the generic user name.Refer to the following table and to your New EmployeeInformation Checklist to determine the employee’s path.

4 Click OK. A folder with the user’s name (for example, rriley)is created.

You now have completed setup of the user’s windows account.The next chapter explains how to set up the user’s mailbox.

3Setting Up Mailbox Accounts

This chapter provides instructions to help you set up Exchange mailbox

accounts for new employees.

What You Need Before StartingBefore you attempt to set up an Exchange account for a newemployee, you must have set up a Windows account according tothe instructions in Chapter 2.

In addition, you must have Microsoft Exchange Server runningon your desktop.

Using Exchange to Set Up a Mailbox AccountThe following procedure walks you through the process ofsetting up an Exchange mailbox account for a new user.

x To set up a mailbox account:1 On the desktop, double-click the Microsoft Exchange icon.

11 In the E-mail address text box, type the employee’s Internetaddress using the following format:

<first name>.<lastname>@marchFIRST.com

12 Click OK. The Mailbox Properties dialog box reappears.

13 Repeat steps 9 through 11, but this time, in the E-mailaddress text box, type the employee’s alias using the follow-ing format:

<initial of first name><last name>@msd.usweb.com

For example, type in [email protected] for Roy Riley.

14 Click OK.

You now have completed setup of the new user’s mailbox. Go tothe next chapter for instructions on setting up data lines, voicelines, and voice mail.

4Setting Up Data Lines, Voice

Lines, and Voice Mail

This chapter provides instructions to help you set up a new employee’s data

line, voice line, and voice mail. You set up the employee’s data line and

voice line at the employee’s desk. You set up the employee’s voice mail

using one of the telephones in the MIS Group area. The task of connecting,

or patching, the lines in the switch room is the responsibility of senior

members of the MIS Group.

What You Need Before StartingMake sure the MIS Group manager has given you a partiallyfilled in New Employee Information Checklist for the employee.

Setting Up the Voice and Data LinesIn each employee’s cubicle or office, there are four color-codedjacks. In cubicles, the jacks usually are under the desk. Inoffices, the jacks usually are in the wall.

x To set up the voice and data lines:1 Plug the telephone (voice) line into the white jack. If the

white jack is not available, use the black jack.

2 Plug the data line from the employee’s central processingunit (CPU) into the blue jack. If the blue jack is notavailable, use the red jack.

Depending on their mission, someemployees want both the blue and red jacks activated asdata lines. If this is the case, notify the MIS Group Manager.

Getting the Employee’s ExtensionOnce the voice line is plugged into the voice jack, you can getthe extension by pressing the following buttons on thetelephone: [FEATURE] [*] [0] [INTERCOM]. The three-digitextension appears in the phone’s LCD display panel.

Give the extension number to the MIS Group manager. (Youalso should write down the extension number on the NewEmployee Information Checklist.) The manager will use theextension number to connect (patch) the new employee in theswitch room.

You cannot set up the new employee’s voicemail until the MIS Group manager has patched the newemployee in the switch room.

Setting Up Voice MailTo set up a new employee’s voice mail, you use the buttons andthe liquid crystal display (LCD) on one of the MIS Group’sNorstar telephones. The following illustration will help you usethe Norstar telephone to set up an employee’s voice mail.

The process of setting up voice mail involves two tasks: enteringthe employee’s name into the voice mail system and enteringthe employee’s name and extension into the company directory.

x To enter the employee’s name in voice mail:1 Press [FEATURE] [9] [8] [3]. The LCD panel displays "Log."

2 Using the keypad, enter the default password, and then usethe selection buttons to press [OK]. The LCD panel displays"Admin."

The MIS Group manager should havewritten the default voice mail password on the NewEmployee Information Checklist.

3 Using the selection buttons, press MBOX. The LCD paneldisplays "Mailbox Admin."

4 Take one of the following steps:

• If you are entering a new name, press [ADD].• If you are "recycling" the name of a former or transferred

employee, press [CHNG].The LCD panel displays "Mbox."

5 Enter the employee’s three-digit extension number.

6 Press [RESET], and then press [NEXT]. The LCD paneldisplays the employee’s extension number.

7 Press [NEXT]. The LCD displays "Service class: 1."

8 Press [NEXT], and then use the telephone’s keypad to enterthe new employee’s name.

You may have to press some keys more than once to get theletter you want. For example, to enter the letter F, you haveto press number 3 on the keypad three times (first time = D,second time = E, third time = F). Use the pound key (#) forspaces.

Enter the employee’s name using the following format:

LASTNAME[#]FIRSTNAME (example: SMITH[#]DAN)

If you are "recycling" the name of a former ortransferred employee, that name will appear in the LCD panel.Simply press [CHNG], and then enter the employee’s name inthe format prescribed above.

9 Press [OK], and then press [NEXT] repeatedly until "MailboxAdmin" appears in the LCD panel.

10 Press [RLS] (release).

You now have completed entering the new employee’s name invoice mail.

x To put the employee in the company directory:1 Press [FEATURE] [*] [*] and then, using the telephone key-

pad, type CONFIG. The LCD panel displays "Password."

2 Using the keypad, type ADMIN and then use the selectionbuttons to press [OK]. The LCD panel displays "Terminals& Sets," which is a menu.

3 Press the right arrow button [ ] until the LCD paneldisplays the submenu "Show set."

4 Using the keypad, enter the employee’s extension number.

5 Press the right arrow button [ ] until the LCD paneldisplays the menu "Capabilities."

6 Press [CHNG], and then use the keypad to enter theemployee’s name. Use the <FIRSTINITIAL><space><LASTNAME> format (for example,D SMITH).

7 Press the right arrow button [ ] to verify that the name iscorrect.

8 Press [RLS] (release).

9 Send the standard e-mail notification to the new employee,informing her that she’s set up in voice mail.

At this point, the new employee is responsible for fine tuningthe voice mail—that is, replacing the default password with apersonal one, recording a personal greeting, etc.

5Installing the Operating System

This chapter provides instructions to help you download the operating

system to the new employee’s computer. The downloading process is

broken into three tasks: ghosting (copying) the machine, customizing the

machine, and creating the new employee’s profile.

What You Need Before StartingYou must have the following items before you begin installingthe operating system:

• Disk labeled Current BIOS disk• Disk labeled 3 Com Network Bootdisk

In addition, you must know the new user’s name and theoperating system or systems he will use. The New EmployeeInformation Checklist has this information.

Ghosting the MachineYou must go to the new employee’s computer to ghost it. Youdon’t have the option of using your own computer.

Steps 2 through 5 are mandatory for laptopcomputers and optional for desktop computers.

x To ghost the machine:1 Make sure the computer’s power is off, and then take one of

the following actions:

• If you are setting up a laptop, you must upgrade thesystem BIOS. Proceed to Step 2.

• If you are setting up a desktop computer, you canproceed to Step 2 or skip the BIOS upgrade and proceedto Step 7.

2 Insert the disk labeled Current BIOS disk.

3 Turn on the computer. After a few moments, the messageWould you like to view README.TXT now appears.

4 Press N (No). The message Would you like to upgrade yoursystem BIOS at this time appears.

5 Press Y (Yes). After a moment, the message BIOS upgradeis done appears.

6 Remove the BIOS disk.

7 Insert the disk labeled 3 Com Network Bootdisk and, ifnecessary, turn on the computer.

8 Press CTRL+ALT+DEL. Several minutes pass while thenetwork commands execute. When the network commands

are complete, the message Type your user name or pressENTER if it is JCUDBY appears.

9 Type in your network login name, and then press ENTER.

10 Type in your network password, and then press ENTER. Themessage There is no password - list file appears.

11 Press N (No). The network bootdisk starts mapping a driveto the network installation point. After a moment, theprompt A:\NET> appears.

12 Type Z: and press ENTER. The prompt Z:\ appears.

13 At the Z:\ prompt, type cd norton~1\ghost and then pressENTER.

14 Type ghost and press ENTER. The Norton Ghost windowappears.

15 Press ENTER, and then choose Local > Disk > From Image.

16 Press ENTER. The File name to load image from windowappears with the root directory (..) highlighted.

17 Press ENTER twice, scroll to the IMAGES directory, andthen press ENTER. A list of ghost images (for example,2000PBAS.GHO) appears.

18 Take one of the following actions:

• If you’re setting up a desktop computer, model GX1,highlight OPTIPLEX.GHO

• If you’re setting up a desktop computer, model GX110,highlight GX110PRO.GHO

• If you’re setting up a laptop, highlight LATPRO1.GHO

19 Press ENTER. The Destination Drive Details windowappears.

If a warning appears regardinginsufficient space, click OK to get to the Destination DriveDetails window.

20 Press TAB until the OK button is highlighted, and thenpress ENTER. The Proceed with Disk Load window appears.

21 Press TAB until the Yes button is highlighted, and thenpress ENTER. The Norton Ghost Progress Indicator windowappears. The ghost process takes 10 to 20 minutes tocomplete. Upon completion, the Clone Complete windowappears.

22 Remove the disk.

You now have completed the ghosting process. You are ready tocustomize the new employee’s computer.

Customizing the New Employee’s ComputerCustomizing the new employee’s computer involves twosubtasks: naming the machine and creating the new employee’sprofile.

Naming the MachineThe employee’s name must be introduced into the Herndonnetwork.

x To name the employee’s computer:1 Restart the computer. After a few moments, the Windows

2000 Professional Setup - Regional Settings windowappears.

2 Make no changes to the default regional settings. ClickNext. The Computer Name and Administrative Passworddialog box appears.

3 Using the format <first initial><last name>, type the newemployee’s name into the Computer name text box. (Forexample: jcudby). Don’t change the administrator password.

4 Click Next. The Network Settings window appears.

5 Make sure the Typical settings option is selected, and thenclick Next. The Workgroup or Computer Domain windowappears.

6 Make sure the Yes, make this computer a member of thefollowing domain option is selected and that MSD isdisplayed as the domain name.

7 Click Next. The Join Computer to MSD Domain windowappears.

8 Type the domain name and your user name in the Username text box (for example, msd\jcudby).

9 Type your password in the Password text box.

As a member of the MIS Group, you havethe authority to join new employees’ machines to thedomain.

10 Click OK. The Performing Final Tasks window appears for amoment, then is replaced by the Completing the Windows2000 Setup Wizard window.

11 Click Finish. The computer restarts.

You now have completed the naming process. You are ready tocreate the new employee’s profile.

Creating the New Employee ’s Profi leThe final task in this guide is to create the new employee’sprofile, including network settings.

x To create the new employee’s profile:1 Press CTRL+ALT+DEL. A logon dialog box appears.

2 Type your name (not the new employee’s name) in the Username text box and your password in the Password text box.

3 Click in the Log on to text box, and then press the up ordown arrow keys until MSD appears.

4 Click OK. The desktop appears.

5 Right-click My Computer. A pop-up menu appears.

6 Click Manage. The Computer Management windowappears.

7 In the tree view in the window’s left pane, double-click LocalUsers and Groups. The folder expands.

8 Double-click Groups. The folder expands.

9 Double-click Administrators. The Administrators Propertieswindow appears.

10 Click Add. The Select Users or Groups window appears.

11 In the Look in box, click the drop-down button ( ). A list ofdomains appears.

12 Click msd.usweb.net. A list of msd users appears.

13 In the column heading, click Name. The list arranges itselfin alphabetical order.

14 Type the first few letters of the new employee’s first nameuntil the new employee’s name is highlighted in the list.

15 Click Add. The new employee’s name appears in the lowerpane of the Select Users or Groups window.

16 Click OK. The Administrators Properties window reappears.

17 Click OK, and then close the window.

18 Click Start, and then click Log off.

19 Click Start, click Log on, and then log on using the newemployee’s name and the default password.

20 On the desktop, double-click the Outlook icon. The Outlook2000 Startup window appears.

21 Click Next. The E-mail Service Options window appears.

22 Make sure the Corporate or Workgroup option is selected,and then click Next. The User Name window appears.

23 Using the format <firstname><space><last name>, type thenew employee’s name in the Name text box. (For example,Joe Cudby.)

24 Type the new employee’s initials in the initials text box (forexample, Joe Cudby would be JLC), and then click OK. TheMicrosoft Outlook Setup Wizard appears.

25 Click the Microsoft Exchange Server checkbox, and thenclick Next. The Microsoft Exchange Server dialog boxappears.

26 Take one of the following actions:

• If you’re setting up a new employee in the Herndonoffice, type dctcexch1 in the Microsoft Exchange Servertext box.

• If you’re setting up a new employee at the IAS Center,type dctcgnoc2 in the Microsoft Exchange Server textbox.

27 Type the new employee’s mailbox name in the Mailbox textbox.The format is:

<initial of first name><lastname>

For example, Joe Cudby’s mailbox name is jcudby

28 Click Next. The Do You Travel window appears.

29 Take one of the following actions:

• If you’re setting up a laptop, select Yes.• If you’re setting up a desktop computer, select No.

30 Click Next. The Done window appears.

31 Click Finish.

Congratulations! You now have completed the new employeesetup process. Don’t forget to give your completed and signedchecklists to the MIS Group manager.
