On-The-Spot (OTS) Award Guide for Managers Effective 10/20/2014 Revised 06/01/2017 On-the-Spot Recognition Program To recognize employees for their day-to-day efforts that contribute to the success of our business goals and/or employees who demonstrate our core values and culture traits contributing to the achievement of business goals and a positive team environment. Under this program, supervisors may give immediate recognition to recognize and reward employee excellence. An On-the-Spot (OTS) award is granted by supervisors to recognize accomplishments that represent steps toward achievement of organizational goals or purposes, but for which formal recognition awards are not appropriate. An OTS should not be used in place of paying overtime or compensatory time, and is not meant to replace other traditional methods of recognition, but rather to increase supervisors' options in rewarding and reinforcing employee excellence. Rather than recognizing overall performance, the OTS acknowledges one or more specific instances of exemplary performance. In addition, employees can recognize each other’s achievements with an electronic appreciation card (e-Card). TYPES OF CONTRIBUTIONS ELIGIBLE FOR RECOGNITION The following are some examples of the types of contributions best suited for an On-The-Spot Award: Completion of an assignment/project in less time than expected or where there were unusual difficulties to overcome. Taking extra steps to resolve a troublesome situation. Displaying initiative to develop and follow through on a difficult task. Planning a special event which is particularly successful because of the employee’s personal efforts. Handling an unusually heavy workload, such as when co-workers are absent or when vacant positions are not filled immediately. Development of new or revised procedures or other contributions toward production or process improvements. Completion of a significant special assignment that is outside of normal job responsibilities. Contributions that enable us to make more effective use of our resources. Helping a co-worker who has an unusually heavy workload or a significant project. Volunteering for and working on special projects. Making creative suggestions that improve efficiencies. OXY AWARDS

The On-the-Spot Award is a SuperCertificate® fulfilled by GC Incentives. A SuperCertificate can be in digital

format sent via email or in physical format sent via U.S. Mail. The recipient of a SuperCertificate will redeem it

for their choice of any merchant gift card(s) from the Oxy Redemption Site.

An E-Card is an electronic card sent via email to the recipient. It can be printed out for display.

ACCESS LEVELS People managers have access to:

o Digital SuperCertificate - one-off order option (not bulk option)

o “Award My Direct/Indirect Reports” – For awards given to people that either directly or

indirectly report to them.

o “Award Outside My Direct/Indirect Reports” – For awards given to people that do not report

to them in any way.

o E-Cards

Individual contributors have access to:

o E-Cards

APPROVALS Approvals are not required for awards given to a manager’s own direct or indirect reports. Monetary awards given

outside a manager’s hierarchy will require approval by the recipient’s manager. E-Cards do not require approval.

Note: As a User is placing an award order, the screen will indicate if an order requires approval before it can be

submitted through fulfillment. It will show the name of the Designated Approver.

If an order requires approvals, the following emails will be sent to the Giver and Approver from

[email protected].

“Your Order is Awaiting Approval” – goes to the Giver informing that the request for approval has been

sent to the approver

“Order Submitted for Your Approval” – goes to the person required to approve the award order

“Your Order Has Been Approved” – goes to the Giver after the order has been approved

“Your Order Has Been Declined” – goes to the Giver after the order has been declined. This email will

include the comments provided by the approver.

STEPS TO APPROVE/DECLINE AN ORDER *Approval emails will be received from [email protected]

1. Click on the “My Orders” top-navigation link on the Award Site Home page.

2. Click on the “Requires Approval” link in the list on the left.

3. Click on an order link in the results displayed at the bottom of the page.

4. Click the Approve or Decline button.

**If the order is declined, you must first enter a reason into the Approval Comments text box
