growing at a phenomenal rate and will continue togrow into the uture. Outsourcing may not have thebest image and some people even scowl when they
hear the words outsourcingoroshoring.
When most people hear these 2 words they immedi-

Time, Time and Time! Thats right. As a busi-ness owner time is the most valuable asset youhave. You should stop wasting time doing boring
mundane tasks that take all your time and dont
excite you in any way . Instead spend your time ontasks/activities that grow your business and add

I am here living in The Philippines thus I would never everuse one. However these companies can oer a lot to theend user i you are willing to pay or it. Such as acilitieslike an of ce, high speed Internet, management supervi-sion, replacement o sta, project management, comput-ers with better specs, and best o all, western manage-
ment o the entire company to make sure VAs are alwaysperorming and coming to work.
They also give you a dedicated sta member so otenthe work will be o higher quality than someone who is areelancer working or 3 dierent people. I would suggestgoing this way i you are going to be starting a large team
o 4+.
This could get tricky managing them all but you couldalso create this team yoursel i you want.

Hiring a Freelancer...Home BasedFirst o they do not have to be a reelancer. This is amyth. They can be your actual employee who works oryou ull time (o course they can have another job butwhat they do outside o work hours is not your concern) so
all you really need to do is hire your VA ull time and thenthey should be ocused on your project alone, rather thanbeing spread over various tasks.
Hiring your VA per project is a bad idea. They like stabilityand the security o a steady pay cheque. The disadvan-tage o hiring a VA rom home would be the act they can
sometimes be lazy and unreliable.

Salary / WagesSo now you have your very own VA congratulations! Thecost o every VA will vary rom the skill set, experience andthe amount o load you want him/her to do. Web design-ers or example, are paid $4 to $5 per hour, data entry VAs
on the other hand cost $2-3. Candidates rom Manilaand Cebu two o The Philippines biggest cities will usu-ally be o higher quality but cost you more.
Their costs also usually vary rom their experience and thesize o the project. The bigger the project, the moreit needs expertise, the higher you will need to
pay. But as you can see, it is still a lot cheaper and reason-able to hire a VA, as you need not to worry about his/herbenets, insurance, vacations leaves and sick leave pays,helping you cut your operating cost up to 60%. We willtalk about benets later on.
You do not need to ollow this procedure to a tee. Itsjust an example o what we do. Most importantly
make sure you do the ollowing. Narrow down yoursearch results to the best 3 or so candidates andthen interview them all.

40,000Peso is HUGE money here in The Philippines as costo living is so cheap.
Paying them the right amountwill more than likelyencourage them to work harder to gain a promotion
and pay rise. Tell them that a pay rise will come ater 2-3months i you see results. Results are most important herenothing else....not hours worked.

1. Inadequate Compensation and Ben-ets Your Virtual Assistants know how much they
are helping you with reducing your operations orproduction cost, and they know that what may behuge compensation or them may still be very aord-
able or you. With this, some VAs are easily discour-aged when they are compensated lesser than theyexpect. They can always nd clients who are more
than willing to pay them more than enough.
Note: Benits- In the Philippines there are a ew
types o benets you must pay your employees. I willnot go into great details as you will not have to paythem i you do not wish. However paying them may
help keep your employee happier and in turn keepthem with you longer.
However this may get complicated paying all ben-ets which include 13th month, Pagibig, andPhil-Health. What i can suggest you do is pay your sta
13th month. This is a payment o an extra month tobe paid in December to all employees. Its calculationis simple-
wage divided by 12 months x by the number o
your V.A has worked or you.
or example your employee worked 6 months or youat 10,000 Peso a month then their 13th month paywould be 10,000PhP/12= 833.33PhP per month.... x
6 months = 4999.98PhP 13th month pay. You wouldpay this in December to your virtual assistant.
2. Lack o Recognition a simple compliment
will go a long way, and this is something that youshould always give your VAs each time they deserve
it. They need to know that their work has a contribu-tion to your business in general. Recognizing theireorts will give them asense o purpose or being
your employee.
3. Tasks are beyond their specialization it is
natural or any employee to aim orproessionalgrowth. Although it may be benecial or the stato learn new things, priority would always be to en-
hance the skills that they readily have. It is also evendiscouraging when you are giving them too simpletasks or their crat, because it will apparently to en-
courage growth and learning.

4. Socio-cultural Dierences while it isimportant or both o you to adjust to each others
culture, there are just instances when the Virtual As-sistant ail to break some o the barriers. From there,miscommunications will happen, and eventually,
the work will just become too toxic or the employee,thus urging them to leave. This actor though is to-tally inevitable.
5. Failure to Establish Personal Relation-ship this is one o the reasons that keeps employ-
ees attached to their jobs, both in the virtual andoce-based context. Thereore, not having personalrelationships with your Virtual Assistants will simply
make them leave their job easily.

ready have their xed working schedule, but it shouldalso be clear or them at what time o the day theycan reach you, or how oten you will check on their
output.
This will not only comprise the consistency and ac-
curacy o your employees output, but will also cre-ate clutter in yourE-mail, Skype, Gtalk, and evenPhone. Moreover, because o this clutter, there is also

This is a big one!You must always always set proce-dures or your V.A. Make sure the procedures are easy
to. You have hired you V.A to save you time but thereis no point i you are always ollowing up on themand spending too much time delegating their tasks.

personally bombarding you with those.
3. Calendar more importantly, you can organize a
planner or your VAs by using collaborative or onlinecalendars (ex. Google Calendar). These calendars willremind your VAs on your behal, about the tasks that
need to be accomplished within a certain day.
4. Procedures- Basically the procedures concept is
to make simple written documents that can be readby anyone (o the street) to explain to them what todo and how to do it so your business runs smoothly.
Its about making sure every task in your business isdone in the most ecient way to save time and tosave money. I your sel employed trying to do every-
thing in your business it can be hard to set up thesetype systems but you should stop and take the timeto set them up because once they are set up you will
save yoursel so much time, eort and money

Use this document so you know exactly how docu-ments should be shared in google docs. It is very
simple but i it is ollowed correctly it will save alot otime and headaches looking or documents all overthe place. The key to using Google Docs is organisa-
tion. So please ollow these steps every time youcreate and save a document.
1. Open and sign into yourGmailaccountand click on Documents.
2. FIRST click on the older you want tosave your document in..... then and only then clickcreate new document(i you ail to do this do step
4-6).
3. Make sure the older you are saving the
le to is shared with the person you wish to sharethat particular le with. In NO circumstances should
you just share a document with someone. They will
not be able to locate it ever again once they deletethe email that google sends them. This is why alldocuments must be shared into a older.
4. I you have ailed to do step 1 and 2 andwish to organise your document do the ollowing-
tick the box o the le you wish to share
Tick the box you would like to share or save your doc-
ument in. Note this can be more than 1.7. Please make sure you consider the name o

or your VA to ollow other than an idea.
I you do this they will be stuck the will not be crea-
tive and will most likelyget nothing done. You willbe wasting your time and money and will most likelyget little to no results. We have tried this in the past
and got absolutely no results.
While this might sound very generalised id say it
mostly true and i you ever came across a VA that didotherwise you would be very lucky. I ever you comeacross a VA who can be let to work on a project with
no instructions and the come back to you with newideas and methods you are very lucky and shouldkeep them as long as possible. Like I have mentioned
beore you need to give veryclear instructions andexpectations. Always make procedures andollow
up on your VA to make sure the work is getting done

use and you can set up business accounts to controlyour sta. Skype is also good or making calls bothree online and paid ofine. Ofine calls are airly
cheap and can be recoded with Pamela plug in
2. Gmail- Best email out there. You Can in-
tegrate your own domain name and once again setup business account that you control
3. Google Docs- For creating documents.Easy to create share and store with your VA. GoogleDocs is all online so you can access rom anywhere
there is Internet

4. Time Doctor/Hivedesk- For monitoringyour VA. Fairly cheap and both include time tracking
sotware so you know exactly how long your VA hasworked. Also they have screen shots so you can seeexactly what your VA is doing simply tell your VA that
i they are not logged into time doctor no pay
5. Basecamp- Project management sot-
ware. Great or keeping track o your project. you caneasily set tasks or your VA and to-do lists and easilyollow up on them
6. Teamwork- Project management sot-ware. This is a little more complex than basecamp
and has more eatures.
7. Dropbox- File sharing sotware. So easy
to share any les or documents with your VA ratherthen sending by email every time.
8. Wordpress- For creating websites/blogs.Make sure all your VAs are amiliar with Wordpress.
