Packing and Packaging Guidelines for IT Equipment

1. Packing

a. Desktop Base Units, Tower Units & Server Racks

Stack units on a pallet using bubble wrap or cardboard between each unit, between each layer and on the pallet base, to preserve and protect the equipment. The units must not overhang the pallet. Tower units can be stacked up to 6 high. Desktop units can be stacked up to 10 high or stack to a maximum height of 150 cm. Ensure that the packed pallet does not weigh more than 600-700kg.

Always place the front panels inwards.

a. Desktop Base Units, Tower Units & Server Racks

Completed pallets should be securely shrink wrapped. Before sending, reinforce the outside of the pallet by planning cardboard around it and using cardboard corners. Secure with ties.

Seal the pallet with black seal and use tape to secure.

Servers should be stacked onto pallets with larger units on the first layer and smaller units on top.

c. Laptops

Laptops can be packed in laptop boxes. The end sections should be left empty for extra protection. Adaptors should be placed in the space above the laptops, secured by a tie wrap or band.

Alternatively, laptops can be wrapped in bubble wrap or placed in a bubble envelope and then placed in a cardboard box.

Completed boxes should then be stacked onto a pallet. Boxes should be stacked no more than 2 high. Seal the pallet with black seal and use tape to seal in place.

Flat screen monitors can be packed in bubble wrap and slotted into specialist segregated boxes. Stands should face upwards. TFT boxes can have 2 layers of monitors.

Alternatively, TFTs can be placed in a row into the pallet box. Usually there will be 6 in one row, however this depends on the size of the TFT. Make sure that the screen does not touch the stand of the TFT in front of it.

Place a piece of cardboard between each unit and fill up the empty gaps with bubble wrap or air packing.

HDDs are to be stored in appropriately sized boxes. Each drive should be placed in a dust free bag and separated from the other drives.

Tote boxes can be used for smaller items and can be securely sealed. All items must be protected using bubble wrap.

Printers should be stacked in a safe and secure way. Larger printers should be stacked at the bottom and units should not overhang the pallet. The completed pallet should be securely shrink wrapped.

h. Mixed Pallets

In circumstances where mixed equipment needs to be consolidated onto one pallet, all mixed equipment must be palletised following the general guidelines with the heaviest products at the bottom. Sufficient packaging should be used to prevent damage.

i. Cables, Mice and Keyboards

Cables, mice and keyboards need to have their cables wrapped neatly and secured with a tie wrap or band. Items should be placed in boxes and stacked as shown in the picture to the right.

j. CRT Monitors

CRT Monitors should be stacked as shown in the picture above. The maximum size should be 9 per layer, 3 layers high, with a sheet of cardboard between each row, securely wrapped to the pallet. It is also preferable to band or strap these monitors to the pallet and then shrink wrap.

2. Inappropriate Packaging

Pallet boxes and stillage boxes are only suitable for equipment that is due to be recycled. Equipment for Asset Recovery should not be packed in this way to avoid damage.

Pallets should be clearly and accurately labelled with the following;

• Order Reference• Client Name• Collection Date• Number of Pallets• Pallet Identifier
