The Exhibit Hall Committee for the 65th annual PRPS conference welcomes you to Seven Springs Mountain Resort. Our theme for this year’s conference is “Recreation Powers Unite!”

We are looking forward to another successful and well-attended conference at the ever-popular Seven Springs Mountain Resort. The Exhibit Hall staff at Seven Springs is very helpful and provides support and assistance to all of our vendors.

Please consider offering a “conference special discount or sale”. Conference specials could be, but not limited to, discounted prices, buy one get one - etc. Many attendees come prepared to purchase items from the vendors at the conference – so you may want to take advantage of this opportunity – it has proven very lucrative for many vendors in the past. We will be happy to provide signs advertising your “Special Conference Offer” - just let us know when you complete your Exhibit Contract.

The Exhibit Hall Game this year is one that proved very successful at last year’s conference! It’s simple, the attendees raved about it, and it’s sure to attract people to your booth! Please read more about it on page three of this brochure.

Regular Booth Fees

The cost of each booth is $777. There is a $100 deposit required with the application and the balance

is due by January 13, 2012. Payment in full must accompany all contracts received after January 13, 2012. A confirmation, booth assignment, and other information will be emailed to the exhibitor contact

listed on the contract by the end of January to those companies who are paid in full.

New Certificate of Insurance Required!

All exhibitors are required to provide PRPS with a Certificate of Insurance (COI). The limit of liability must be $1,000,000. This COI should include the Pennsylvania Recreation & Park Society (2131 Sandy Drive, State College, PA 16803) as the certificate holder and also include PRPS as an additional insured. Please reference the exhibit dates of March 18, 19, and 20.

Exhibit Layout and Booth Information

Each exhibit booth includes:

♦ 8’ high x 10’ wide back drapes.

♦ 3’ high side drapes.

♦ Two chairs and one 6’ draped table.

♦ 9” x 44” booth sign containing company name, city, state and booth number.

♦ Janitorial service.

♦ One lunch ticket for Monday per booth. Any other tickets may be ordered using the exhibit contract or purchased at the conference.

♦ One registration packet with name badges for up to three booth representatives.

♦ Admission to conference education sessions and socials for up to three registered booth representatives.

♦ Special recognition for PRPS supporting members.

♦ List of conference registrants available at the conference.

♦ Company listing in the Conference Program Guide.The booth does not include:

♦ Electrical service. This must be ordered directly from the hotel using the form provided in the decorator packet. This packet is e-mailed to you with your confirmation letter at the end of January.

Special EventsThere will be many special events that vendors can particpate in at the conference. In some cases, the purchase of an additional ticket is required. You may purchase tickets using the Exhibit Contract or purchase them closer to the conference when the registration guide is available. We will have a full listing of special events sent with your confirmation. If you would like to see something sooner, please contact the office.

Booth ThemeTo coordinate with the theme, feel free to decorate your booth(s) according to the annual conference theme---Recreation Powers Unite.

Decorator/DrayageThe decorator and drayage company is General Exposition Services, 205

Windsor Road, Pottstown, PA 19464, (610) 495-8866, fax: (610) 495-8870.

Each exhibitor will receive an information packet containing forms to order electrical service, additional furnishings, shipping and labor.

Conference LocationPennsylvania’s largest ski and year-round resort, Seven Springs, is located near Somerset, Pennsylvania in the heart of the scenic Laurel Highlands. Seven Springs is about a one hour drive from Pittsburgh and a five hour drive from Philadelphia. It can also be accessed via air utilizing the Pittsburgh In-ternational Airport approximately 90 minutes from Seven Springs. Contact Seven Springs directly (1-800-452-2223) about the cost and scheduling for an airport shuttle.

Hotel AccommodationsSeven Springs offers a wide-range of accommodations in its high-rise hotel, cabins, chalets, condos, and townhouses. The accommodations for conference attendees will be in the modern Alpine-style Main Lodge featuring comfort-able guestrooms plus 12 suites. Exhibit representatives will have the option of selecting either the Modified-American Plan (dinner and breakfast included) or the European Plan (no meals included), and you should contact the hotel early to make your reservations.The Modified American Plan (MAP) rates which include dinner, breakfast, lodging, taxes, and gratuities:Single: $194 per person per night, Double: $157 per person per night, Triple/Quad: $146 per person per nightThe European Plan rates (plus 6% PA State Occupancy Tax and 3% local tax) including lodging only:Single: $130 per person per night, Double: $90 per person per night,Triple/Quad: $80 per person per night

PRPS Supporting Membership for Commercial Firms

PRPS Supporting Members and sponsors will receive recognition in the Conference Program Guide. Please make sure we have all current names. Supporting Membership is $190.00 for one year.

Conference DemosThe exhibit hall and education committees are looking for demo’s! Demos should be of an educational nature and be a total of 1.25 hours. We will be doing these during session times and would like to offer ceus for them to those who need that option. Demos could also be hands-on oriented, but those may not be eligible for ceu’s. A completed proposal form will need to be submitted and they will be selected on the criteria above. A limited number of slots are available so please contact Jeanne Ashley (contact info on p.2) to discuss if your demo would work.

Booth AssignmentA layout of the exhibit hall is included with this information,

and the contract provides an opportunity for companies to indicate their booth location preference.

The assignment process gives preference to those commercial firms who are conference sponsors and who support

PRPS year-round through contributions, advertising, and membership. This applies to exhibit contracts received by

November 4, 2011. After November 4, 2011, all booth assignments will be on a first-come, first-served basis. The

Society will do its best to assign competitors so that they are not adjacent to one another.

Talk for $20 All vendors will participate in the conference game by collecting business cards from attendees that they speak to in the exhibit hall. After the exhibit hall closes for the evening on Monday the exhibit hall committee will ask each participating vendor to randomly chose 1 business card and bring it up the committee. The Conference Committee will then give each of those winners $20.00. Those winners will also be entered into a drawing for a $100.00 grand prize. Why this Works:• No goofy game words, no stamps, no stickers, no drop and run• You the vendor do not have to bring a gift/giveaway• Only conference attendees that have had face time with you can win• Attendees will have the chance to win over $1,000.00 in prize money• This is included with your exhibitor fee

Rules and Regulations Governing All Exhibits

Restrictions - The Society reserves the right to restrict exhibits which, because of noise, method of operation, or for any other reason become objectionable.Contract for Space - The signed contract and full payment constitutes the completed agreement for the right to use the space. In the event of fire, strike, or other circumstances beyond the control of the Society, the contract shall not be binding. The Society reserves the right to cancel any contract with any exhibitor at any time prior to or during the conference.Liability - The Pennsylvania Recreation and Park Society, Inc., its employees or conference committee will not be responsible for any injury, loss or damage that may occur to the exhibitor, nor to the exhibitor’s employees or property from any cause whatsoever, prior, during or subsequent to the period covered by the exhibit contract. This includes the period of storage prior to and following the conference. The exhibitor, on signing the contract, expressly releases the above-mentioned Society, individuals and committee from any and all claims for such loss, damage, or injury. To prevent loss, small or portable articles of value should be properly secured or removed after exposition hours and placed in safekeeping. Exhibitors will be required to complete a hold harmless form prior to the start of the conference.Use of Space - All demonstrations must be confined to the limits of the exhibit space. No exhibitors shall assign, sublet, or share the whole or any part of the space allotted without the knowledge and consent of the Society. Aisles must be clear. Advertising material of any description may be distributed only within the space assigned to the exhibitor presenting such material. Cancellations - Cancellations of an exhibit space contract agreement by the exhibitor must be received in writing thirty (30) days prior to the first day of the conference by the Society. Written notification must be sent to: PRPS, 2131 Sandy Drive, State College, PA 16803. A $50.00 handling fee will be deducted from the refund. Mail and personal delivery of the cancellation notice shall be deemed delivered on the day such notice is received at the PRPS Office.
