Preparing for LibGuides MigrationLibGuides Working Group Fall 2015WVU LibrariesWEST VIRGINIA UNIVERSITY LIBRARIESWelcomeIntro TeamOverviewFeatures of the new platformChanges to make in our existing guides to smooth the migrationhow to get ready to go public Post-migration1Whats new in v.2?WEST VIRGINIA UNIVERSITY LIBRARIESv.2 is an entirely new platform, not an incremental update so when we move, the guides will look different and our editor interface will look different.Covering major bells & whistles but youll discover there are other features as you go through Springshares educational materials2Responsive

WEST VIRGINIA UNIVERSITY LIBRARIESMore user friendly & will flow better from main library site to LibGuides3Left-Navigation BarPage & sub-page navigation moves to the left side of the guideSub-pages visible in table of contentsWEST VIRGINIA UNIVERSITY LIBRARIESBig change is the new left-column navigation format, which multiple usability studies have said is easier for readers to navigate. Since we now know that the tab & sub-tab system thats our only option in the current version of LibGuides is basically invisible to users, were going to be moving all guides toward the L-nav format after migration.4

Blue LibApps button allows easy switching between LibGuides, LibApps, & other Springshare v.2 products if availableOrange Command Bar remains the same across all LibGuide Screens. This is where to locate LibGuides settings that arent linked to a particular guide.Page/Box Options: menus for managing page & box-level content such as page layouts, box order, box visibility, etc.Guide Settings: adjust overall guide features including look & feel, ownership, publication status, etc.Streamlined Editing FeaturesWEST VIRGINIA UNIVERSITY LIBRARIESv.2 also drags most of those guide editing features out of the yellow top bar and embeds them into the editing layout, where they are closer to the functions they actually control.5Flexible box Content

Mixing & matching of content now encouraged! Add narrative text to linksAttach a downloadable instruction sheetEmbed a YouTube interview by the book author - all in a single box!WEST VIRGINIA UNIVERSITY LIBRARIESWill have fewer box types but more functions within each box. Currently ~20 box types. Will be 4 box types in v.2Can re-order sections within a box at any time6Image GalleryNew Gallery box typeAdd image carousels or slideshows to guidesWEST VIRGINIA UNIVERSITY LIBRARIESCan hotlink images in gallery to other location showing book covers, locations, etc.7HidE Individual boxesAble to hide individual content boxes until theyre ready for publicationWEST VIRGINIA UNIVERSITY LIBRARIESRight now, if were working on a guide page and its not completely ready for public viewing, we have to hide the entire page. That will not be the case in v.2. We will be able to suppress individual boxes until theyre ready for consumption.8Better BreadcrumbsCan add previous and next navigation links to guide pages WEST VIRGINIA UNIVERSITY LIBRARIESLike the L-nav, the forward & back buttons links will make navigating through the guide easier for our patrons9Personal & Shared Image FOldersImage folders let you organize and share images across guides or with other usersOrganize by guides, themes, type, etc.Images in shared folders available to all usersWEST VIRGINIA UNIVERSITY LIBRARIESImage folders are meant to help you keep track of the images you use in your guides & make them easily reusable. The shared folders will be set up by LibGuides Admins and populated with images that all authors will have access to such as vendor logos, pictures of the libraries, etc.10More guide categoriesGeneralCourseSubjectTopicInternalTemplateWEST VIRGINIA UNIVERSITY LIBRARIESWe will also have new options for describing the purpose of our Guides. 11the switchWEST VIRGINIA UNIVERSITY LIBRARIESThats what we have to look forward to. Heres the plan to get us to that point.12Migration TimelineOct 12 Nov 27LibGuides v.1 cleanup by guide ownersNov 28Freeze LibGuides v.1Nov 30 Springshare migrates to LibGuides v.2Nov 30 Dec 4Working Group assesses content transferDec 7 Jan 4LibGuides v.2 cleanup by guide ownersJan 5LibGuides v.2 goes live to publicWEST VIRGINIA UNIVERSITY LIBRARIESThis is our migration timeline. As you can see, when Spring semester starts, the students will come back to this new interface. Before then, were planning on almost a month pre & post-migration for all of us to make changes and play with guide features. There will be walk-in workshops at all three of the libraries using LibGuides during the pre & post-migration. Welcome to attend any/all of them. 13Pre-migrationWEST VIRGINIA UNIVERSITY LIBRARIESStarting today, were in this period. Until November 28th, the goal is to clean up existing guides and get rid of out-dated or low use content, which will make the migration cleaner & faster.14TipsLimit guide creation to whats necessary until after migrationRead through documentation on LibGuides v.2 Migration GuideUse checklists & tracking sheets to optimize guidesWEST VIRGINIA UNIVERSITY LIBRARIESIn general, this is what we suggest doing during this period. You can continue to create guides up until November 28th; however, after migration, those are going to be even more places to check for bugs. Plus it may be more fun to make the guides from scratch in v.2Weve created a migration guide that you can all access. Springshare has created a huge amount of support documentation for the migration process and youll find a lot of it linked here.15Explore LibAppshttp://wvu.libapps.comAccess LibGuides v.2 beta site & migration instructional materials

Guides made in the beta site will not migrate!!!WEST VIRGINIA UNIVERSITY LIBRARIESLibApps is the new central login service for all v2 Springshare products. For us, that just means LibGuides. There is instruction video on the WVU migration guide if you want to learn more about LibApps. Libapps is also where youll access the migration help documentation. We have a beta site so you can play with the new features; however, dont put a lot of work into this because when we migrate, everything in the Beta site will disappear. You cannot publish it.

Now that you know what LibApps is & does, you wont be confused when you receive an email today or tomorrow telling you that you have a new account with it.16Recommended TasksConvert Rich Text boxes to Links & Lists boxesStop using non-migrating box typesReorganize or delete little-used contentAssign friendly URLs to guidesWEST VIRGINIA UNIVERSITY LIBRARIESAs you will see as you go through the help documentation, there are some parts of our current guides that wont transfer into the new system. Big one is any links you have embedded in text will break during migration. You can re-connect them after migration or move to Links & Lists boxes, which will migrate correctly

There are also several box types that will not be migrating including Delicious tags, Feedback, and surveys. We will have Survey functionality in v.2 but it will be a new system.

Another point of cleanup is that we transfer as little extraneous data into the new system as possible. When you came in, Jessica gave you a packet of charts and lists. Those lists are generated by LibGuides and highlight stale content, guides with low traffic, and boxes that wont migrate. Were leaving it up to you to decide how much of this information to address pre-migration17Recommended Tasks ContdAssign guide categories & subjectsCorrect broken or outdated links and mediaMountainLynx & Summon links will break during WMS migration next Spring so dont spend a lot of time updating thoseCreate linked copies of frequently used tabs or boxesWEST VIRGINIA UNIVERSITY LIBRARIESThese are other cleanup topics to look at. All of this will be covered in more detail on the migration guide and in the workshops.18Post-MigrationWEST VIRGINIA UNIVERSITY LIBRARIESAfter Nov 30th, our group is going to take a few days to assess the migration, talk with the Web Team about branding and any customizations necessary, and tackle any unexpected glitches19Review your guidesRebuild SurveysOptimize content for new box typesAdjust guide layouts for L-nav formatLook for wonky stuff SpringshareAdjust Guide CategoriesWEST VIRGINIA UNIVERSITY LIBRARIESOnce were done, you will be free to dig into the new system and tweak your guides into shape for publication. 20Questions?WEST VIRGINIA UNIVERSITY LIBRARIES
