Questions and Answers - Knowledge Management Continuity Application
Based on questions received, Strategic Knowledge Solutions, Inc. (SKS), is providing the
following answers and clarifications to elements of the Knowledge Management Continuity
Application RFP.
See the end of this document for date changes associated with this RFP.
General Information
1. The Evaluation Criteria mentions references. Do you want contact information for prior or
current customers as references, or letters from our references provided?
From references provided.
2. Do you have a timeline in mind? If so, when would you like the project completed?
The project is based on funding from a client. Potential start is summer 2014.
3. Is there any possibility of supporting Windows smart phones in the future?
Yes.
4. Assuming that the “embedded helpful hints and examples” are to help provide the right kind
of information for the continuity book, will these hints and examples be authored and provided
by SKS?
Yes.
5. In reference to adding text, links, documents, and other content to the continuity book, is it
expected that these files will be embedded in the book (saved within in the data file) or linked to
the local file location (and packaged with the data file upon export)?
Either approach is ok, though the latter is what we originally envisioned.
6. Are all iOS versions supported on “current” iPads required to be supported? For example,
the second generation iPads can run older iOS versions, back to iOS 4.3, but can be upgraded
to iOS version 7. Do we need to support iOS versions from 4.3 and up, or is it OK to require a
user upgrade their device to a newer iOS in order to use the app?
Current version support is expected. iOS 7+
7. Will there be a standard sample set of questions for everyone (ie the 10 questions
Attachment 2 of the RFP)
Yes. The 10 questions are a standard part of the SKS Continuity methodology.
8. Are those questions the same for everyone, or can someone modify them?

The 10 questions are a standard part of the SKS Continuity methodology. Customizing
the questions per enterprise level client may be considered in future versions.
9. If they can be modified, who can modify them and where do they modify them?
TBD. This is not a current design feature.
10. Do we need to provide a a back-end database that connects to the app to manage user
accounts?
The original goal of the app was to be standalone, requiring no backend support. If the
user would like to link their app to Dropbox/Box/etc to store data off their device (or
access it from more than one device at a time), then the user should provide the
appropriate cloud service. The app would use an API to interface with the service. The
initial app should be coded to support common cloud backends (Dropbox, Google, Box)
and enterprise backends (SharePoint).
11. If so, is there a preference on the back-end that is used?
See above.
12. If a back-end is required, are there any other rolls that it would play? For example, is this
where the 10 questions live and are stored, or are they stored on the device?
See above.
13. If an administrator is able to make changes to the questions and were editable, they would
need to live in the cloud. They could be downloaded and cached so users wouldn't need to be
online.
Editable questions are not a current design feature.
14. Can you provide an example of a common search inside continuity books residing on
device that SKS envisions the user needing? Are all data entry fields searchable?
Users may wish to search for a specific person or topic or word. Full text search of
information entered in data entry fields should be searchable. Video/audio files and
attached documents need not be searchable.
15. Will SKS provide us with all examples of all continuity book data entries?
This is essentially impossible. Users may enter any type or amount of information into
the data entry fields. The purpose of continuity is to be personalized. The app is
designed to get users thinking about the right type of information to record based on the
10 common continuity questions in the SKS methodology.
16. Will SKS provide the editorial guidance displayed by the Wizard for guiding users through
each entry?
Yes. During development.

17. Will you consider SAAS/server-based/web apps using responsive design which a user
interacts with through a browser? This will open the app up to more users in the field, including
potential desktop applications, though offline use will not be possible.
Yes, as an alternative to an solo iDevice application, we would consider a server-based
solution which could be applied across multiple devices/browsers using responsive
design. However, an option for a user to store files in their own cloud storage (Dropbox,
Google, ShareFile, SharePoint, etc.) is required as well. This is a security and
intellectual property protection issue for many of our clients. In this case, the server-
based app should only manage login, continuity Q&A, recording, playback, search, etc.,
of data files stored in the users cloud.
Free Version
18. Introductory version/Individual version/Free version are used interchangeably is this
intentional and are they synonyms for the same initial version?
Yes.
19. With respect to the ability to save texts or links on the local device to continuity books, iIs
the native Copy and Paste functionality that's provided by the device sufficient?
Yes.
20. With respect to the Settings console for user management, what is the goal with this
feature? (ties in to potential need for a back-end)
The settings console is focused on gathering information about the client to use in the
data file (name, company, contact information, etc. and other information needed to
control the app, if any) and report. No back-end services are planned. A link from the
settings console may connect to SKS (via email) for additional help or support.
21. With respect to email pdf report and/or raw xml file containing continuity data using native
device capability, would an HTML file be acceptable as long as it accomplished the mission?
Yes. For data file transfer, raw XML (or any other data format which could be read by
another copy of the app) is acceptable. For the report, the key is professional
formatting. The "continuity report" should be able to be emailed around an organization,
or passed from one employee to the next as a training or familiarization document. In
this case, raw XML is not acceptable.
Professional Version
22. With respect to the ability to add docs or other content saved on the local device to
continuity books, what are the file types that would need to be supported?
Office documents, PDF, txt, etc.
Common photo formats (GIF, JPG, JPEG, etc.)
Audio or video files recorded on, or residing on the device.

The vision is that someone who has a PDF on his/her iPad can attach it to the continuity
report, and that it would be able to be transferred via the data file. This may require the
data file to be in some other kind of packaged format when saved outside of the app. We
envisioned zip files for data transfer originally during the writing of the RFP, but actual
approach is not specified.
23. Will other docs/content will be dependent on the capability of app that can natively display
the document?
Yes.
24. With respect to the ability to add/edit audio/video responses to continuity book questions
recorded using onboard camera or microphone, please provide examples of how this feature
should work. Is this simply deleting and replacing an audio or video? If non-linear video editing
is a requirement, can a 3rd party app such iMovie be leveraged.
Editing capabilities are not envisioned. The goal is to provide a simple way for users to
record continuity information in audio or video format instead of having to type it in.
Each question should support multiple files (e.g., more than 1 video or audio snippet),
and files can be deleted by the user as desired. Record and playback should use native
device capabilities.
25. The following requirement requests an audio/video editing capability: "Aility to add and edit
audio/video responses to continuity book questions recorded using onboard camera or
microphone (e.g., video or audio answer to questions), including multiple responses for each
question (if desired)." Will editing audio/video responses include a comprehensive editor with
functionality like iMovie, or the ability to edit existing audio/video by overwriting?
Editing capabilities are not envisioned. See above.
26. Which questions in the SKS Continuity Book Methodology can be recorded via audio or
video file? How does SKS envision these audio and video format files eventually becoming
displayable data for the App? Will this audio/video be exportable via enterprise CMS systems
and which methods of exporting will include audio/video?
Audio/video files should be displayable/playable in the app. A reference to the existence
of an audio/video file (or files) should be made in the PDF report (i.e., "See audio
recording 12/25/13 02:25am" or similar). Users would be responsible for accessing the
data file and playing the information themselves IF it not reviewing the data file via the
app.
27. With respect to additional wizard to support identifying important contacts (ie, scan on-
device email to identify the 10 people interacted with most...). This would require integration with
3rd party email solutions and authentication. Need to discuss options for this.
Yes. We acknowledge that this is a difficult feature to implement, and based on that
difficulty, it may be dropped from the final specification.

28. The following requirement requests an email importing capability: "Additional wizard to
support identifying important contacts (i.e., scan on-device email to identify the 10 people
interacted with most in the last 7, 30, and 90 days, and prompt to add to continuity book" and
"Ability to import continuity book data files from email." Will SKS entertain other import options
(i.e., scanning on device contacts and manually selecting the 10 people interacted with the
most?
Yes.
29. With respect to the ability to import continuity book data files from common file sharing
platforms using an intuitive interface that displays continuity books in the target data store. This
is only possible if the file sharing platforms have an accessible API that we can integrate with.

30. With respect to the ability to import and export continuity book data files from common files
sharing platforms, such as Sharefile and Sharepoint. This is only possible if the file sharing
platforms have an accessible API that we can integrate with.
Yes. See above.
