Summary

EnlightKS ET 2.16 January 2014

This document contains the release notes for ET2 version 2.16-3 scheduled for public availability

beginning in January 2014 and extending during Q1 and Q2 2014. The purpose of the release notes is

to outline major changes to the software that are likely to be noticeable or have impact to end users.

User interface changes

Please note! The switch will not take place automatically when the servers are upgraded! This release

includes several user interface updates and the functionality to introduce them. This new user interface

will gradually replace the classic, beginning in January 2014. In order to ensure that the transition for

existing customers is going to be painless and managed, the new user interface will be enabled on a

specified date that will be communicated separately.

Candidate

Updated Candidate User Interface

A new Light Weight user interface is available as an alternative to the classic Candidate for some tests.

The Light Weight Candidate has a slightly updated look-and-feel and is based on common browser

technologies. The appearance will be familiar to anyone who has been using the EnlightKS Candidate

interface.

Please note: All In-Application tests will continue to require Java to be installed on the computer!

The Light Weight candidate module is able to run certain tests, if they have been designed to be Java-

free, without requiring Java to be installed on the computer. This allows such tests to be used on a

broader set of platforms such as mobile devices and tablet computers. Existing tests that require Java

can still be run with the classic Candidate on the basis that Java is installed on the computer exactly as

before.

Catalogue

The new user interface for the candidate Catalogue part has been improved. The ET2 2.15 series that

was released in February 2013 provided a new catalogue interface to new customers initially. The ET2

2.16 adds improvements to this that have been made throughout the year. The new user interface is

provided in addition to the classic one.

The classic user interface will gradually be phased out and replaced with the new one. Please contact

your EnlightKS representative for a schedule of when the rollout and transition will take place.

Administration

New Administration User Interface

A new ET2 administration web is available. The functionality should be familiar to anyone that has used

the classic ET2 Administration interface (TestStation Manager) in the past. The new Administration

interface can be used from any computer without having Java installed. Works on tablets and

handheld devices too! The changes include:

Improved look and feel

The toolbar buttons have been replaced by a quick and intuitive top bar menu

Search now always available directly from the top bar

Improved management of resources, including tests, scorm objects, Measure Point Lists

(MPLs) and prerequisites

A new Cross Groups tab introduced. On the Cross Groups tab you can select which cross

groups the selected users or groups are in. Please see the section on Cross Groups for details

Cross Groups

Disclaimer: This section is provided for your attention only. You are not in any way required to use this

functionality.

This release introduces a new organisational member type called Cross Groups, . Cross Groups are

non-organisational groups – groups that are decoupled from the hierarchical structure. Clients that

have been using previous eLearning platforms will recognise the Cross Groups feature. They are very

similar in concept to learning groups and designed to serve the same purpose.

Cross Groups are reminiscent in many ways of usual groups, . For example, assignments made on a

Cross Group will be inherited by the group members. When selected, the members of a Cross Group

are listed on the Members tab. The difference is mainly that the members of a Cross Group may be

scattered over different parts of the Users and Groups tree.

Cross Groups overlap with the Assignment Template functionality already provided in ET2. Because

there is no need for both Assignment Templates and Cross Groups, Cross Groups will completely

replace Assignment templates when they are introduced. Cross Groups make it possible to group

assignments and permissions in ways that are independent of the organisation and at the same time

make it a lot easier by avoiding the need to individually manage each single user separately.

Cross Groups are managed from the new Cross Groups tab in the new Administration interface.

Examples:

You are a test centre administrator and would like to provide all learning modules for Office

2010 to a number of student groups. You can then create a Cross Group that you call “Office

2010 eLearning”, assign all content to it and then make this Cross Group available to various

groups of students regardless of organisational affiliation

You are providing training for your company and want managers in different departments to

gain access to a particular eLearning course. You can then create a Cross Group named

“Managers” with the appropriate roles and content and add all your managers to it, regardless

of departmental affiliation

Limitations

Cross Groups can only be managed from the new user interface

It is not possible to have Cross Groups within Cross Groups

Due to their non-organisational nature, the members of Cross Groups do not display in the

Users and Groups tree. Members are shown on the Members tab only

Email Templates

Disclaimer: This section is provided for your attention only. You are not in any way required to use this

functionality.

Some clients are already using earlier functions to make mailings based on events. The system can

now send confirmation or reminder emails for some additional events. In addition to existing email

templates, templates for email may now also be added to handle reminders or confirmations in

association with the following events:

Assignment of a test or course

If configured, this will cause an email to be sent to the candidate when new content is assigned

Un-assignment of a test or course

If configured, this will cause an email to be sent when an assignment is removed

Course Expiry

If configured, this email trigger is meant to remind the user that their old result(s) are about to

expire

Target Date

When configured, allows setting a deadline when the student should have completed

Course Completion

If configured, allows an email to be sent to the student or the student’s manager when a course

has been completed

Note: To allow emails to be sent to a manager, it is now possible to define the manager for a user or

group.

Advanced Customization of User Information and Mandatory Fields

User information fields can be customised. To set a field as Mandatory means that it must be

completed. Users will be prompted about missing mandatory details after logging in. For example,

setting the email address as a mandatory field will require an email address to be entered.

In this release of ET2, the functionality of Mandatory Fields has become even more fine-grained and

better organised:

Fields can be Mandatory which means that they must be provided with a value. Mandatory

fields can be mandatory for all (including Administrators) or just mandatory for end users

(Candidates). By default the Username and Password fields are mandatory

Administrators may optionally be prevented from changing some field values by setting a

field to be Write Once. By default administrators are always allowed to change field values

End users (Candidates) may optionally be prevented from changing some field’s values by

setting a field to be either Write Once or Read Only. Write Once allows a value to be entered

but not modified. Read Only does not allow it to be changed at all. By default candidates are

allowed to make changes to any field except their username

Please note: For users in the UK, some user details including BCS ID, First name and Last name are

downloaded from BCS and cannot be changed within ET2.

Validation of User Fields

Validation of User Fields has been improved. The ET2 2.15 series released in January 2013 introduced

validation of User fields. By default, User fields are not validated, but they can be validated by setting

up rules for validation. This can be used to enforce correctness of entered information such as dates,

skill card numbers and identities. This version of ET2 enhances validation in several ways:

Fields (optionally) can be validated on change rather than data entry. This allows field

validation to be introduced smoothly without impacting existing users

Modifiers can be applied to validation rules, such as making them effective after a certain date

Please note: A field does not have to be mandatory in order to be validated.

Example:

Applying the following validation rule would ensure that user names on accounts created after 1st

December 2013 must be on the form US123456:

Full support for Windows 8, Office 2013 and MS Project

Adaptive Learning

Basic functionality that supports Adaptive Learning becomes available following this release. This

means that eLearning can automatically be recommended, based on the online test results so that

learning is streamlined by allowing students to mainly focus on areas where the knowledge gaps are.

This reduces time required for learning without sacrificing quality. We call this Adaptive Learning.

EnlightKS will be introducing Adaptive Learning gradually, starting with the Diagnostic tests for ECDL.

Recommended training will be provided on the results page for Diagnostic Tests and in the Catalogue

based on sections with un-answered or incorrectly answered questions.

For clients who are developing their own content, or use custom content developed by EnlightKS, it

will be possible to take advantage of the Adaptive Learning features along with our content

production tools EnlightKS Tutor and EnlightKS Studio.
