INTRODUCTION This document provides an overview of the resolved issues and changes to the Medtech

Evolution application in Medtech Evolution Version 10.4.6 Build 6369.

Please ensure that this document is read and circulated amongst the practice staff.

NOTE: Please ONLY run the upgrade at a time when your site is not required to be up and

running in a short amount of time. It is recommended that you run the upgrade after hours or

on the weekend when you would have adequate time to complete the upgrade.

The amount of time required to run the upgrade is dependent on the specification of your

server and the size of ALL databases.

WARNING: It is HIGHLY recommended to employ ONLY qualified system engineers when

performing ANY installation and upgrade. The consequences of ruining a database during

upgrade could possibly lead to data corruptions and, as a result, data loss and systems

downtime.

ENHANCEMENTS

Reports Enhancements

Clinical notes section in Medication Script Space has now been provided to add the additional notes in the ‘Patient Medication’ script

as shown below.

Income reconciliation report performance changes The group by 'location' and 'provider' conditions have been removed from the Income

Reconciliation Report to optimize the pace of report generation.

Aged Balance Summary Report changes The aged balanced summary report now has an option to include the credit amount along

with the outstanding amount.

Print Aged Balance Summary screen changes

A new checkbox ‘Display Credit Amount’ has been added to the ‘Print Aged Balance

Summary’ screen. By default, the ‘Display Credit Amount’ checkbox is ticked.

Aged Balance Summary report

If the ‘Display Credit Amount’ checkbox is ticked, the report will show the credit amount

under the appropriate number of days (+90, 60 or 30).

Transaction report time validation changes Transaction Report will now provide accurate report for staffs who work on shifts spanning two

days.

Patient Medical History Report changes The label of the ‘Patient Medical History’ in ‘Report Manager’ will now display the internal

name of the patient in addition to the report name. With this change, it is easier to identify

which patient the report is for.

The internal name will be displayed along with the report name when report is generated as

PDF.

Provider Earnings A new menu ‘Provider Earnings’ has been introduced using which a Provider can track their

own earnings.

Clicking ‘Provider Earnings’ will open ‘Print Provider Earnings Report’.

User can select the required filter criteria and Click ‘OK’ to generate the desired report.

The report will be generated for the logged-In provider only. The ‘Print Provider Earnings Report’

displays same details such as the ‘Transaction Report’. Only difference being, user cannot view

earnings of other providers.

Below is a sample of the Summary Page.

Folder selection for Incoming Documents. A provision to select a folder for incoming documents has been introduced in the Message

Transfer Utility. Using this, user can configure the folder for storing incoming documents. If user

doesn’t configure a path in the ‘Incoming Documents Folder ‘, then the received ‘PIT’ files will

be placed in ‘Laboratory’ folder and ‘HL7’ files will be placed in the ‘Referral’ folder.

Patient Register Enhancements

Provider number in Find Address Book screen The address book search results now display a 'Prov. No' column to uniquely identify a

provider where provider names are similar.

Alerts for patients under or equal to age 14 When a new patient is registered in Medtech Evolution, an information message 'The Patient is

14 Years of age or younger, and has been setup as an Account Holder' will be displayed if the

patient is allocated as an account holder.

Financial Enhancements

New Service Type DVA Psych (K) in Repat Invoice When creating a Repat invoice, the ‘Service Type’ dropdown will show an additional option

‘DVA Psych (K)’ for user to claim DVA Psych (including Psych, Clinical Counsellors). When

selecting this option, it becomes mandatory to select a referral. There is no override option

available.

The ‘Second Device Indicator’ checkbox in the ‘Allied’ tab is not mandatory when the

Service Type is ‘DVA Psych (K)’.

Quick Bill changes The delete option has been removed from the View Quick Bill screen and has been replaced

with an Inactive option.

The ‘Filter Quick Bill’ screen has a new checkbox ‘Include Inactive’ for the user to view inactive

quick bills. This is unticked by default.

When the ‘Include Inactive’ checkbox is ticked, inactivated records will be displayed with a

strikethrough, as shown below.

New Annotation in Bulk Bill Users can now record details of any manual adjustments or overpayments in a new ‘Batch

Annotation’ tab.

Filter Account screen changes Two drop-downs ‘Service Provider’ and ‘Income Provider’ have been introduced to filter the

records based on the ‘Service Provider’ and ‘Income Provider’. The default value in the

‘Service Provider’ and ‘Income Provider’ drop down will be ‘All’.

Administrative Changes

Appointment book changes The appointment book report will show a new entry 'Dob' along with the existing phone

number and notes in the given order - ‘Dob’, ‘Phone’ and ‘Note’.

When a patient has both home phone and Cell/Mobile phone, the phone numbers are

displayed one after the other as ‘Hm’ and ‘cell’.

doctor, users will be prompted with an alert.

New checkbox in appointment tab under location settings

The ‘Prompt user for non-selection of usual doctor’ checkbox needs to be ticked to enable

the new alert prompt.

Appointment Book screen changes

While booking an appointment for a patient with a doctor who is not the patient’s usual

doctor, the alert “You are booking an appointment for a doctor other than the patient’s ‘Usual

Doctor’. Do you want to continue?” will be prompted. Clicking ‘Yes’ will book the appointment

in the selected slot. Clicking ‘No’ will close the confirmation screen without booking any

appointment.

Go to next week and next month

An option to navigate the appointment book date by one or more weeks or months is

available in ‘Appointment Book’, ‘Appointment Overview’, and ‘Appointment Pad’ screens.

The user can navigate to the next week(s) or month(s) by clicking the respective icons. The

number of weeks or months navigated will depend on the number of times the relevant icon

is clicked.

Note to Staff on appointment book report The appointment book report has been modified to display ‘Note to Staff’.

The ‘Note to Staff’ can be configured under Setup Appointment Template

Reset Attendance screen confirmation changes When the user clicks the reset icon in the Status screen, Appointment Book or Appointment

Pad, a confirmation message is displayed. Clicking ‘Yes’ will reset the attendance. Clicking

‘No’ will close the confirmation screen without resetting the attendance.

Tracking Login and Logoff time changes A new feature to track the login and log-off time of a staff member has been introduced.

New Menu under Report

The login and log-off time for staff members can now be tracked in a 'Log monitor' report.

Report Audit Log Monitor

Log Monitor screen

Selecting the ‘Log Monitor’ report from the Report menu will open the ‘Log Monitor Report’

screen.

Print To – Displays the printer information where the report will be printed to.

From Date – Displays the date from which the report logs are considered. By default, today’s

date is displayed.

To Date – Displays the date till which the report logs are considered. By default, today’s date

is displayed.

From Time – Display the time from when the report is printed.

To Time – Displays the time until when the report is printed.

Staff – Displays the name of the staff member for whom the report will be printed.

OK – Clicking ‘OK’ will print the report and close the screen.

Cancel – Clicking ‘Cancel’ will close the screen without printing the report.

Log Monitor Report

A sample report is shown below:

Audit log for changing staff password

An audit log is now available to track when a user with system administrator rights changes the

password for another user.

A new button ‘Audit Log’ is enabled for users with system administrator rights that change a

password for another user.

This screen contains Audit information for Password change.

Note: The password for the user is not displayed within the Audit Log, only a record of the

change to the Password.

Recurring Appointment changes The user will now be able to change the static time duration in the ‘Recurring Appointment’

screen by editing the ‘Duration column.

If user edits the duration, system will adjust the time slots in the ‘Appointment Book’ and

‘Appointment Pad’ screen accordingly.

SMS column in Appointment Pad A new SMS column in ‘Appointment Pad’ screen has been introduced. In order to enable this

feature, the user must configure ‘Display SMS column in Appointment Pad’ in Location Setup.

When the user selects the check box in Location Setup, the SMS column will be displayed in

the Appointment Pad. The SMS feature will reflect the same functionality as in the

Appointment Book.

Appointment Pad changes In ‘Appointment Pad’ template, when there is a day off for a provider, the name of the

provider will not be displayed in the Appointment Pad. All the functionalities of Appointment

Pad continue to work as previously.

Book as well as in Appointment Pad screen.

Scanning Enhancement A new feature for scanning the documents through the Scanner device has been introduced

under Module Inbox Scanning to instantly assign the scanned document to the patients.

When the user successfully performs a scan through a scan device using ‘Single Page

Documents’ or ‘Multi Page Documents’ or ‘Double Sided Documents’ or ‘Single Page (No-

ADF)’ or ‘Multi Page (No-ADF)’, they will see the ‘View Patient Inbox’ screen. The user will be

able to map the document to the patient using the ‘Find’ button. Clicking ‘OK’ button will

assign the document to the selected ‘Patient’ and attention provider. Clicking ‘Cancel’

button will place the document back to the unassigned folder from where the user will be able

to assign the document again as they were doing before.

By default, the scanned document displayed in ‘View Patient Inbox’ screen will be in the folder

which the user has selected. Once the user maps the document to a patient, the document

will then be moved to the patient inbox of the assigned patient.

Bulk Scan for single page document When the user selects Single Page Documents, the ‘TWAIN Scanning’ screen will open

indicating that the single page document is being loaded and the ‘View Patient Inbox’ screen

will be displayed once the scanning is done through the device.

Bulk Scan for multi-page document When the user selects Multi Page Documents, the ‘TWAIN Scanning’ screen will get open

indicating that the ‘Multi Page Document’ is being loaded.

When scanning a multi-page document, all the scanned pages are displayed in the View

Patient Inbox screen. A scrollbar is provided to access all the pages.

An indicator is available to tell the user which page they are currently looking at.

Patient Inbox screen. A scrollbar is provided to access all the pages.

Bulk Scan for multi-page document with No ADF When the user selects Multi Page (No ADF), the ‘TWAIN Scanning’ screen will be opened

indicating that the Multi Page Document is being loaded.

When no Automatic Feeder is available, after scanning every page, the following message is

shown.

The ‘View Patient Inbox’ screen will be displayed once the scanning is done. A scrollbar is

provided to access all the pages.

An indicator is available to tell the user which page they are currently looking at.

Note:

This feature is not applicable for ‘Load from File’ and ‘Load from Folder’.

For enabling this feature, please contact Medtech support to configure.

Care Plan Changes

Care Plan final details section changes The ‘Final Details’ section on the ‘Care Plan’ screen has a new textbox ‘Notes’.

The ‘Notes’ field supports Alphanumeric and Special Characters and allows up to 256

characters.

When the user completes a care plan, a ‘Care Plan’ report is generated, displaying the notes

that were added.

Care Plan completion provider changes

Nurses can now add a provider name under a new 'Created for' drop-down field, while

creating a care plan.

Patient Consent section changes

The 'Patient consent' section now has a new mandatory field called 'Created for' where the

name of the provider for whom the care plan is being created should be selected. The user

will get a warning if the 'Created for' field is left blank.

Print Care Plan section changes

The provider column will display the name of the provider who completed the care plan.

Once the care plan is completed, the generated report will show the name of the provider

who completed the care plan.

Health Assessment Age Validation User will be able to create Health Assessment for all ages now. A new checkbox ‘Enable Health

Assessment for all Ages’ has been introduced to implement this feature. By default, the

checkbox ‘Enable Health Assessment for all Ages’ will be unticked.

System will allow to create the Health Assessment for patient of any age when the user has

ticked the checkbox ‘Enable Health Assessment for all Ages’.

Recommendation Box in Health Assessment changes The display size of the ‘Recommendations’ box in the ‘Recommendations’ tab has been

Antenatal Visit changes The entire Antenatal visits for a patient can be exported as a .CSV file now. An icon to print all

the antenatal visit details has been introduced in the ‘Patient Obstetrics Records’ screen.

When a user clicks the ‘Print All Antenatal Visit Details’ icon, system displays ‘Select Directory’

window where user can select the required path to save the .CSV file.

Other Enhancements

WorkCover NSW Medical Certificate fields auto population The ‘Date of Injury’, ‘Employer name’, ‘Address’ and ‘Claim No’ fields are auto-populated on

the ‘Workcover NSW Medical Certificate’ screen. The ‘Employer name’ and ‘Address’ fields

are auto-populated with account holder details from the third party claim screen. The ‘Date

of injury’ and ‘Claim No’ are auto-populated from the third-party claim screen.

Workcover NSW saving changes Any modifications that are made to the contents of an existing ‘Work Cover NSW Medical

Certificate’ are overwritten without creating a new document in the Patient outbox. The stage

Inbox result comment column focus change When viewing an Inbox document, the focus on the comment section will now be at the end

Attachment Manager changes Users can now attach multiple document links in the ‘Attachments Manager’ by selecting

multiple files in a single step.

Clicking on the ellipsis button to select an attachment file now allows users to select more than

one file at a time as opposed to just one.

If an incorrect document is attached, the user can remove it by clicking on the delete icon

View Attachments Manager Link screen changes

To view the contents of an attached file, the user can double-click on the file or go to Actions

Open attachment (Shortcut key: Ctrl + O). Users can also view the file properties by selecting

the file and clicking Actions View properties (Shortcut key: Ctrl + R).

Sending outbox document as PDF Currently, when the user creates an outbox document and sends it to the external party

through message utility, it is sent as RTF content.

Tools Message Transfer Message Transfer Utility

A user can now send an outbox document to the external party as a PDF attachment in HL7

format by ticking the checkbox 'PDF Outbound'. When the checkbox is unticked, the

documents are sent in the current RTF format.

Drug screen increase in column size On the 'Find Drug' screen, the drug name is properly visible along with the associated details -

Reassigning scanned document to a different patient A new feature to reassign the scanned/pdf document to a different patient has been

introduced in the Patient Inbox.

When a scanned or pdf document is assigned to a patient from Scanning Screen, it will reflect

in the ‘Patient Inbox’ screen. System captures the Audit history in the Audit tab of the Inbox

document as shown below.

User can reassign the document to a different patient in the ‘Patient Inbox’ screen by

clicking the newly introduced ‘Find’ button, System will prompt the user to enter the

‘Supervisor Password’.

Clicking ‘OK’ button, system will display ‘Search Patient/Company’ screen. User can select

required patient to reassign the document. On clicking ‘OK’ in the ‘Search Patient/Company’

screen, the document will be reassigned to the selected patient. The document will be

removed from the first patient and will be displayed in the Inbox document of the newly

assigned patient. User can view the Audit history in the Audit history tab of the Inbox as shown

below.

Description of Resolution

1. Fixes an issue where the health fund amount was not updating during IMC Claim when the ERA

report was generated.

2. Fixes an issue in the MHR document where screening, medication and classification were reflecting

in the Medication list in the shared health summary document when the user created the items at

the same time. Now the classification will list under Medical History, Medication will display under

the Medication list.

3. Fixes an issue where, while booking an appointment online was overwriting the existing

appointments in Evolution.

4. Fixes an issue where an error message was displayed while using the Contact Support Option.

5. Fixes an issue where the pdf file is not printing when the user was trying to print from patient and

provider inbox.

6. Fixes an issue in the status screen where an information message was not displayed if the ‘Arrival’

column was left empty and clicking on the ‘Ok’ button lead to booking of an appointment not

being displayed in the status screen when the patient had arrived.

7. Fixes an issue where an error message was displayed while creating a new ‘Health Speciality’

under Setup Staff Health Speciality.

25. Fixes an issue in the ‘Patient Account’ screen while clicking the ‘Allocate credits’ option from

‘Action’ menu. System was taking a long time to open.

26. Fixes an issue where the Print Medical History report was not printing the outbox document in word

format.

27. Fixes an issue in the WorkCover NSW Medical Certificate where the ‘Person was first seen at this

practice/hospital for this injury’ date field was displaying old date when printed in report manager.

28. Fixes an issue that the modified SMS content was not saving in the SMS compose screen when

captured from the Appointment Screen.

29. Fixes an issue in the Patient Account screen when an invoice with quantity-based service was

created, an amount was still showing in the Patient Outstanding column under Patient tab even

after the amount was paid completely.

30. Fixes an issue where the ‘Date of First Use’ field under the patient referral has been removed to

avoid confusion between the created referral date and first use of referral date.
