Introduction

• Reminders can be sent from one facility to another

• Area Offices can create a central repository for each service unit’s locally created reminders with/without dialogs

• National Reminders are installed in the exchange. Service Units pick and choose National Reminders they would like to implement

How Does it Work?

• Can be sent via a host file• Can also be sent in Reminders Patches• Puts the reminder into a Reminder Exchange

File• Site can review the reminder and install it• Have the option to skip any pieces that already

exist at a site

Problems

• Taxonomies– Indian Health sites do not have standardized files for

some files such as ICD9 and CPT codes– If there are problems with a term, it will not install

• Quick Orders– Quick orders cannot be sent through Exchange

• Objects– Will not install an object in a dialog if it does not exist

at the site.

Receiving a Reminder• Actions are listed at

the bottom of the screen

• Load Host File –Searches (by default the default folder for files with extension .PRD)

• When Loading a Host File, enter the whole file name, no partial searches

Receiving – Part 2

• Choose the file you wish to import from the list

• You should then see it in the list on the screen

• Choose IFE – Install Exchange File Entry

• Choose the entry you wish to install

Receiving – Part 3

• You can scroll through the definition

• Check the upper left to review what you are looking at

• Choose IA to Install all components

Components – Already there

• For each component, there is a choice list

• If a site already has the component, the default is Skip, do not install again.

• This can be overwritten if desired

Components – New

• Install is the default for all new components

Review

• Look it over after installation

• Each component should have an X in the exists column

• If not, try installing that component using IS – Install Selected Components

• Fix any errors that occur on installation

Installing a Dialog

• If a dialog came with the reminder, you will next see this screen to install the dialog

• Check carefully. This looks a lot like the other screen

• Chose IA Install All

Install Dialog• All dialog components for INSULIN

HGBA1C>8 are new.• Install reminder dialog and all

components with no further changes:Y// ES

• FINDING entry Q.ORZ INSULIN does

not exist.

Select one of the following:

D Delete (from the reminder/dialog) P Replace (in the reminder/dialog)

with an existing entry Q Quit the install Enter response:

• This is an example of a quick order in a dialog

• Its important to review the dialog first and make any quick orders that will be needed

• Second choice, is to put a “placeholder” order dialog here and fix it later

Dialogs - Linking

• If the reminder and dialog have the same name, they will be automatically linked

• If not, you will be asked to link them together

• Select Reminder to be Linked

Review Components• Review the components

before leaving • Make sure that there is

an X in the exists column for each one

• Hit return to go back to the reminder components

• Hit return again to return to the list of items in exchange

Dialogs - Activate

• Dialogs are always disabled when they come in reminder exchange

• When you review the dialog, it must be activated before it can be used in a progress note

Sending a Reminder

• Choose CFE to Create an Exchange File Entry

• Enter the name of the reminder to pack DIABETES SCREEN

Sending a Reminder

• Next enter a description. If you put one in when you made the reminder, it will appear

• Next enter Keywords. These can be used to search for a reminder. They are not required

• You will get a message that the reminder is being packed

• It should now appear on the list

• Choose CHF (Create a host file)

Create Host File

• Enter a path: C:\TEMP\//– The default will be whatever path is in the Default

Directory for HFS field in the Kernel Systems Parameters Domain Name file

– This can be overwritten

• Enter a file name: SCREEN• Will save selected entries to host file C:\TEMP\

SCREEN.PRD?: Y//– The extension is ALWAYS PRD

• Send in Exchange
