Overview

Papers will be reviewed for publication, SAE Transactions, and certain awards at the same time

Scoring by reviewers will be conducted online

Organizers can check review status online at any time

Process

SAE sends organizer instructions on process Organizer selects 3-5 reviewers for each

manuscript Organizer receives manuscripts from authors

Reviewers submit evaluation electronically Organizers will check reviewer activity online If an organizer is also an author/co-author,

the reviewer scores for that paper will be available only to the co-organizer in order to maintain reviewer anonymity

Ratings

Approved– Organizer notifies author of approval and submits Organizer

Approval Form (when 3 reviews complete; at least 2 approvals) Approved if modified

– Organizer sends author comments/required modifications and requests revised manuscript (reviewer identities not revealed to authors)

– When organizer receives revised manuscript, it is re-sent to reviewer(s) who approved it if modified for a second online evaluation; for minor modifications, organizer may review and approve

Disapproved– Organizer notifies author of disapproval

Online Evaluation Instructions

Your organizer will provide via email:– Draft manuscript– Instructions for accessing review system– Meeting-specific password– Schedule for completing online evaluations

Accessing Online Evaluation

From the meeting home page, under “Registration & Resources,” click on “Technical Paper Review System.”

Logging On

Enter your SAE user id and password. (Note: This is not the meeting-specific password.)

Click on “Submit.”

Enter the meeting-specific password and paper number in exactly the format provided by your organizer.

Click on “Proceed.”

Evaluation Page

You will see:– Link to detailed

instructions– Name/address

confirmation– Name of conference for

which papers are being reviewed

You will be asked to qualify yourself as a reviewer.

Evaluation – Scoring

Score the paper in each category:

– Quality of data; validity of analytical techniques

– Long-term reference value– Technically new, innovative

or a constructive review– Professional integrity– Clear presentation– Soundness of conclusions

Evaluation – Rating/Comments

Is the paper of sufficient quality to be published by SAE?

– If not, why not? What changes are required?

Evaluation – Comments

Optional for papers rated “Approved” Required for papers rated “Approved if

modified” or “Disapproved” May be entered on evaluation screen for up

to 4000 characters If preferred or if more than 4000 characters,

email to organizer as a separate document

Submittal

When evaluation is complete, click “Submit” Information submitted will be available online

to organizer immediately

Author Notification

Organizer will forward your comments and suggested/required changes to author

Your identity will not be revealed to author If an organizer is also an author/co-author, reviewer

scores for that paper will be available only to the co-organizer in order to maintain reviewer anonymity

Organizer will request second draft of papers rated “approved if modified”

Second Drafts

For papers rated “Approved if modified,” you should expect to see a second draft to make sure that your comments/concerns have been adequately addressed (Note: For minor modifications, organizer may review and approve)

You will evaluate and score the second draft online similarly to the first draft

Process is repeated until paper is either “Approved” or “Disapproved”
