Microsoft Dynamics NAV module Human Resource functionality ensures a flexible way for collecting, storing and processing the in-formation about employees pursuant to the regulation enactments of the Republic of Latvia. This solution is intended for a creation of human resource accounting in the company and included all the necessary fields to store data on employees. Human Resource mod-ule ensures the following data input and maintenance:

Creation and maintenance of employee’s card by entering all the re-quired information on an individual (first name, last name, ID number, address, contact information)

Hiring/lay off date and its reason, employment contract term, period of probation, passport data, information on the family status, citizen-ship, etc.

Creation of the position card with a name of the title, profession code and other information as well as saving of the history on all positions held by the employee and salary conditions

Information on a salary roll tax booklet

Register of material values and object allocated to the employee

Registers on trainings, education, diplomas, health checks, skills, abili-ties, etc.

Information on relatives, children and their birthdays, etc.

Employee’s card reflects the general information on an employee and as the result this data may be used for analysis, acquiring of various reports on the employees working in the company.

Employee’s card contains the confidential information on the employee’s salary, insurance amount, number of shares as well as passwords and access information for hardware, software and ne-tworks. System allows defining of access rights based on user’s status that ensures secure and convenient storing of the confidential infor-mation and the protection of the sensitive personal data.

Recruitment functionality allows controlling of available vacancies in the company and creating of recruitment for contests. System provi-des the possibility to create list of applicants, contest interviews with the defined questions, an automatic invitation for the applicant to an interview or the next stage as well as to send the automatic message – answer to the applicant on the contest results.

Staff orders are used to record any changes related to the staff – hi-ring, laying off, change of the employee’s position, load change, salary change, etc. It is possible to create MS Word template for each order and it allows the user to create a new document based on this tem-plate. By accounting staff orders, the system will make changes in the employee’s card automatically.

In the system it is possible to maintain the information on the man-datory health inspections of the employee as well as occupational instructions. This functionality allows defining of a frequency of man-datory health inspections for specific risk group or the frequency of instructions for a certain topic and as the result the system generates time for the next instruction or health inspection automatically.

This functionality allows making of an announcement and to inform employees on important events in the company and it is also possib-le to see the history to the messages sent.

Function for planning of the absence is created for the effective resour-ce planning. User enters all data in the system on employee’s planned absence as a reason (e.g., vacation, business trip, training, etc.), absence dates, number of days, persons who will replace this employee, an aim of the absence and a description. As the result, using the orders defined in the system it is possible to move the absence of the employee to the Work time change register automatically and this will impact any salary calculations without a need to make double data input, accordingly.

Microsoft Dynamics NAV Salary module ensures fast and precise pay calculation. System functionality ensures the user with wide possibilities to make salary accounting pursuant to the regulation enactments of the Republic of Latvia. It ensures generating of all reports related to salaries for the State Revenue Service and link to the electronic declaration system. Calculations are made based on the information included in the employee’s card, absence regis-ter, and work time accounting data.

Microsoft Dynamics NAV based Salary functionality provides a user with wide possibilities for salary calculations on the information included in the employee’s card. Solution ensures performing of the following calculations:

In the Salary accounting module it is possible to define unlimited number of salary components for every type of income pursuant to the needs of the company – various types of income (taxable, tax-exempt, only income tax applied, etc.), deductions and exempts, limits and reliefs. And also taxes, types of expenses, hourly rates or monthly wage calculation, and overtime, various bonuses and al-lowances, holiday pay and sick pay calculations.

Employee work time accounting is accomplished via forming of a work schedule and calculations and this is a foundation for detailed plan-ning and accounting of hours worked by the employee during day and night shifts, etc. Functionality envisages automatic overtime calcu-lations based on various criteria, as well as it also includes import and export of the work time accounting schedule data to/from MS Excel.

System provides the possibility to create various summaries and re-views pursuant to the requirements of the regulation enactments of the Republic of Latvia. Also automatic preparing of reports for the state authorities and the Central Statistics Bureau and their electronic submission and possibility to make individual payment orders for the third parties.

Calendar is used in salary calculations in order to calculate working days and hours of the month. System offers various types of calendars – work time calendar, holiday calendar, allocation of the calendar for the position of the employee.

In addition to the text menu, a user has a possibility to use graphic menu that allows increasing of the productivity by fast and conve-nient selection of options and this also can be used to deny/to limit information access for an employee.

Solution also ensures changes related to the effective legislation in relation to salary calculation and human resource accounting. Func-tionality envisages sending of reports to be submitted to the State Revenue Service via the electronic declaration system, print outs of report “2-darbs” for the Central Statistics Bureau and also developing of human resource reports.

It is possible to make electronic salary transactions to various banks, to fulfil individual payment orders for the third parties (alimony, leasing, etc.).
