Application Process1. On or prior to March 24. Select booth size and submit the

completed and signed contract, including a minimum of 50% deposit to ASPS.

2. After March 24. All space for applications received will be assigned on a first-come, first-served basis and full payment is due upon receipt.

3. Booth Assignments. For contracts submitted by the March 24 deadline, booth confirmations will be emailed to all exhibitors in early May. After this time, confirmations will be sent as assigned.

4. On or after May 1. You may select booth size and preferred booth locations per the online floor plan. Submit a completed and signed contract including payment in full to ASPS.

First-Time ExhibitorsAny company that has not exhibited with the American Society of Plastic Surgeons in the past must provide an Application/Contract for exhibit space along with their company bio/mission statement and/or product literature and brochure(s).

HOW TO RESERVE BOOTH SPACE

Online Space AssignmentApplications/Contracts received on or prior to March 24, 2016 accompanied with the required deposit are eligible to be included in the Online Space Assignment. Booth locations are not necessary on the application. A link to the floor plan with additional details will be available prior to the online space assignment.

ASPS will conduct an online space assignment in which exhibiting companies are provided the opportunity to interact in the space selection process. Each company is assigned a call-in date and time, based on their current priority points and the Priority Point System, to finalize their booth selection. If needed, booth preferences can be adjusted based on current availability during the assignment process. The floor plan is online and updated in real-time. Special accommodations can be made for any company without internet access during their call-in time. A wait list will begin once all available space is assigned. All companies on this list will be contacted, based on the date of application and payment submission, as space becomes available.

Applications submitted on or after March 24, should include up to four (4) preferred booth locations and will be assigned on a first-come, first-served basis.

• All exhibit crates must be removed from the exhibit floor by 3:00 p.m. on Friday, September 23. No exceptions will be allowed.

• Any exhibit booth not set to booth guidelines by 3:00 p.m. on Friday, September 23, will be penalized by ASPS – See ‘Rules and Regulations’.

• Exhibitors are expected to make travel arrangements in accordance with the official exhibit schedule.

Booth Dismantling Schedule

• Sanctions will be applied to exhibitors tearing down and/or moving out prior to 3:00 p.m. on Monday, September 26. This rule applies to all exhibitors, including non-profit organizations.

• Any exhibit materials remaining unboxed on the exhibit floor may be mistaken for disposables.

• Exhibit material or damaged exhibits remaining in the convention center after the contracted move-out time has expired will be removed by GES at the expense of the exhibitor.

Corporate Support Points• One (1) point for every $2,500 in contributions toward 2015 ASPS programs

• Two (2) points for every $2,500 in contributions toward the 2015 ASPS Breast Reconstruction Awareness Campaign

In addition, Plastic Surgery The Meeting ‘Premier Supporters’ will have priority selection to choose their exhibit space in order of support level and by date of signed LOA submission prior to other exhibiting companies.

Multiple DivisionsCompanies with several divisions may choose to average points in order to be grouped together in the space assignment process. The process will allow each division to contract separately while maintaining their own identities (i.e. exhibit listing, badges, hotel rooms, etc.)

Co-MarketingIf two or more companies wish to be assigned exhibit space adjacent to one another, each company must attach a cover letter to their Application/Contract for exhibit space, explain the request and copy the other company. The space assignment will then be made by averaging the companies’ points.

Sharing/Subletting SpaceNo part of any exhibit space assigned to an exhibitor may be reassigned, sublet or shared with another party. Exhibitors may display only those products or services that they manufacture or regularly distribute. This information must be included on the Application/Contract for exhibit space. Sharing of exhibit space is permitted only for divisions of the same company.

Mergers and AcquisitionsCompanies that have merged with, been purchased by, or have purchased another company, may use the exhibit points from either company alone, whichever is more favorable, but not the combined points of both companies. ASPS should be notified in writing that the acquisition or merger between companies has been completed and list the date of completion. Companies will have to select one company name to be used for all printed materials (badges, final program, etc.). Companies requesting a transfer of points must be “directly related” to an exhibiting company in order to inherit those points. A “directly related” company shall be defined as a company that is wholly owned by a subsidiary or one which has merged with another company. Points will be awarded only if similar product lines are displayed. The sale of a product, product line, certain technology, or certain assets to another company will be considered to transfer priority points only if and to the extent determined by the Society in its sole discretion. All requests for points transaction must be submitted in writing to the ASPS Exhibits Department and confirmed in writing by the parent or subsidiary company.

For companies that submit an Application/Contract on or prior to March 24, 2016, a priority point system is used to determine the order in which the exhibiting company will select their exhibit space.

Priority points are calculated based on support of ASPS/PSF programs over a range of three years (January 1, 2013 through December 31, 2015), ending with the most recent year. Additionally, companies will retain and accumulate (1) one point per year of exhibits participation accumulated over their entire exhibit history.

• One (1) point per 10’ x 10’ (100 sq. ft.) booth

• One-half (1/2) point per tabletop exhibit at any ASPS Clinical Symposium

Housing Program PointsReserve hotel rooms through ASPS Official Housing (onPeak/GES) and earn points.

• One (1) point for 1-5 hotel rooms

• Two (2) points for 6-10 hotel rooms

• Three (3) points for 11-20 hotel rooms

• Four (4) points 20+ or more hotel rooms

Advertising PointsAdvertising in ASPS publications: Plastic and Reconstructive Surgery® Journal, Plastic Surgery News®, Plastic Surgery Resident, Plastic Surgery The Meeting Registration Brochure or Official Program.

2016 CORPORATE LEADERSHIP COUNCIL

The Corporate Leadership Council (CLC) was organized in 1997 as a forum to provide an opportunity for increased cooperation, understanding and communication between the leadership of the American Society of Plastic Surgeons (ASPS), The Plastic Surgery Foundation and industry members.
