We are seeking an experienced, top-notch Technology Training & Help Desk Specialist to join our IT team.

Position Description

JOB TITLE: Technology Training & Help Desk Specialist

DATE: April 2018

DEPARTMENT: Information Technology FLSA STATUS: Non-Exempt

OFFICE: San Francisco JOB STATUS: Regular Full-Time

Reporting/Supervisory Relationships: The Technology Training & Help Desk Specialist reports to the Director of Technology.

Basic Function:

The Technology Training & Help Desk Specialist is responsible for:

• Technology Applications Training: Designs and delivers personalized and group training of firm personnel in the use of all firm technology systems and software. Proactively develops and delivers programs and associated materials for instructor-led training and coaching, e-learning, skills assessment, etc.

• Help Desk Specialist: Backs-up the Help Desk Specialists with user support and trouble-shooting.

Essential Functions: Essential Functions include the following. Regular and predictable attendance is an essential function of the job.

1. Responsible for identifying technology education needs within the firm and initiating training programs accordingly. Designs and maintains programs including, but not limited to, new-hire and temporary employee orientation and continuing education for existing personnel, tailored to specific job functions (i.e., attorney, secretary, administrative staff, etc.).

2. Assesses end-users’ computer skills and their participation in and growth through training, as part of the firm’s overall personnel education program. Reviews Help Desk database records to identify training needs. Promotes “best practices” in application of firm’s technology to end-user job responsibilities.

3. Proactively develops training curricula and associated materials (e.g., handouts, exercises, etc.) for instructor-led training and e-learning. Develops and maintains reference guides and participates in design and development of other software documentation, both online and printed, for use by firm personnel. Tracks participation.

4. Participates in the process of assessing need for new or upgraded software applications; evaluates and tests software applications; and assists with the configuration and deployment of software applications.

5. Maintains regular contact with end-users and solicits suggestions and comments on applications software. Makes recommendations regarding new software and/or changes to existing software.

6. Coordinates with the IT Department team to achieve department goals. Works with department managers as necessary to provide technology training and support for their departments.

7. Assists other members of the IT Department in troubleshooting and resolving user desktop technical problems. Provides technical support to users to ensure excellent customer service results.

8. Assists the IT Department in planning and carrying out technical projects, including planning, implementing, and preparing for any rollout-related training, and assisting in the configuration of software products.

9. Responds to department and firm requests for specialized training.

10. Other duties as assigned.

Qualifications: To be successful, an individual must be able to perform each essential duty satisfactorily. • Education: BA/BS preferred. Certificate or coursework in technology, education, communication or related field desirable.

• Experience: Three or more years recent experience in a law firm environment training non-technical users on computer applications.

• Expertise: Advanced level knowledge and experience with Microsoft Office suite 2010 through 2016. Thorough knowledge of standard law firm applications including document management system (iManage10 preferred), macro package, CRM, redline software, metadata removal software, remote access system, litigation/practice support software, e-filing, legal time and billing/accounting software, law firm portal products, skills assessment software and e-learning production software. Ability to become familiar with and knowledgeable about all other technology applications used or implemented by the firm. Excellent communication and presentation skills. Must be able to adapt training to adult learner’s varying styles, needs, and skill levels. Must be able to communicate with end-users in a non-technical fashion. Must communicate effectively, both orally and in writing, with all levels of staff, legal professionals, and vendors. Must be able to quickly and thoroughly learn new software applications as necessary to provide end-user training. Must be able to read and understand technical manuals, journals, specifications, and procedures. Must be able to write clear and accurate software documentation. Must be able to manage a large number of projects concurrently and prioritize quickly without losing track of details.

• Level: Works under minimal supervision and at times needs to exercise a moderate degree of discretion and independent judgment.

• Travel: Able to travel to the Wine Country branch office several times over the course of the year, as needed.

• Working Conditions: Normal office environment.

• Physical Requirements: Extended periods of keyboard and mouse use required. Must be able, with reasonable accommodation, to use a computer, telephone, and other equipment commonly found in a professional office environment, and lift materials commonly associated with the duties of the position.
