Dear Parents,

We have decided to permanently relocate the Lauriston VCE/IB Examinations offsite. This change will commence this year and your daughter will sit her practice and final exams at the Hotel Como in South Yarra.

This decision was made so the school can control the conditions of the exam room to ensure privacy and quiet. There is ongoing construction work along Huntingtower Road as well as the school’s own preparatory work due to start later in the year.

The added traffic and noise in the area around the Armadale campus as a result of this construction work has the potential to disrupt students in an exam setting.

We want to allow all of our students the best environment possible to complete their examinations and sitting examinations in Armadale with construction works in progress would not allow them that opportunity.

The School has produced a handbook for parents and students to provide information around the relocation to the Como Hotel; this contains information on how to get to Hotel Como, key landmarks in the area, floorplans of the Hotel and the Official VCE, IB examination timetable.

IN THE EVENT OF STUDENT ABSENCE Should a student not be able to attend their exam, please in the first instance contact the relevant Coordinator listed above, and if they are not available, the Educational Data Administrator.

STUDY AND TEACHER SUPPORTAlthough there is a designated study area at the venue, students are encouraged (on days they do not have exams) to fully utilise the facilities at Lauriston Girls’ School.

Coordinators will be at the exam venue for the duration of all the examinations.

UNIFORMStudents are not required to wear uniforms to their examinations.

STORAGEBags and other valuables will be able to be securely stored at Hotel Como and students can collect these items after their exam. Students are encouraged to only bring what they require to the examination venue.

FIRST AID & OHSLauriston staff trained in first aid will be at the venue. The school nurse will be fully contactable during this period.

HOW TO GET THERETrain South Yarra Train Station is located on Toorak Road, approximately 400 metres from Hotel Como. South Yarra Station services the Frankston, Pakenham, Cranbourne and Sandringham lines.

Students travelling from other train lines should catch a train to Richmond Station and then change to one of the above services to get to South Yarra.

TramThe route 58 (Toorak to West Coburg) and 78 (Balaclava via Prahran to North Richmond) trams stop at the intersection of Toorak Road and Chapel Street, the closest stops to Hotel Como. The route 58 tram runs along Toorak Road and the route 78 tram runs along Chapel Street. Students are reminded to have a valid Myki card whilst travelling on trams or trains.

Parking for carsThe nearest secure car parking is available at the Como Centre Car Park. Entry to this facility is via Chapel Street or River Street. There is more secure parking located on Chapel Street near the Jam Factory Shopping Centre.

Drop off and pick upParents are welcome to drop off or collect students at Hotel Como at the Chapel Street entrance or in River Street. However, given the very limited space, students are encouraged to take public transport where possible.

No buses availablePlease note that Lauriston will not be running buses to Hotel Como from Armadale. Students must find their own way to and from exams and are encouraged to arrive at least 30 minutes prior to a scheduled exam start time.

AMENITIESSupermarket Woolworths supermarket is a short walk up Chapel Street from Hotel Como and is the closest supermarket should students require food or drinks. Please note, however, that food is not allowed into exams and water bottles must be see-through with no labels. No other drinks are permitted in the examination room.

PharmacyA pharmacy is located at the corner of Toorak Road and Claremont Street, between Hotel Como and South Yarra Train Station.

ATM FacilitiesSouth Yarra Woolworths and Big W provide cash out facilities if needed, along with the 7-Eleven located next to South Yarra Train Station.

Cafes and EateriesThere are a number of cafes and eateries located near Hotel Como should students wish to buy coffee or food items.

StationeryBig W is located near Woolworths, should students require any last-minute stationery such as pens or pencils.

HOTEL COMO FLOORPLANGround Level

Study AreaThe Tivoli Suite (highlighted red) on the Ground Level of the Hotel will act as a Study Room for VCE and IB students wishing to do last-minute revision. However there may be times where this space is needed as an overflow room for exams. This room is located in the Lower Lobby area, accessed via the stairs next to Reception.

The Yarra Suite (highlighted green) will act as a special provisions room.

ToiletsToilets on the Ground Level (highlighted blue) are located in the Hotel Lobby near Reception, and also in the Lower Lobby area next to the Tivoli Suite.

Level One

Exam LocationsExams will be held in suites on Level One (highlighted purple). Students can enter via the Chapel Street entrance (highlighted orange) and walk up the stairs to Level One as shown by the floorplan.

Suites being used for VCE and IB exams are Claremont, Toorak and Darling, accessed via the Foyer. The Chapel Suite will also be used for internal school exams during the last week of October. Staff will direct students to the relevant rooms for each exam.

Both the VCE and IB Coordinators and Educational Data Administrator will be based in the Foyer (highlighted yellow)

VCAA RULES FOR THE CONDUCT OF VCE EXTERNAL ASSESSMENTS VCE external assessments include the GAT, written, aural, electronic/digital, oral and performance examinations and the Extended Investigation oral presentation.

Students are required to observe the following rules for the conduct of VCE external assessments conducted by or on behalf of the VCAA, as well as the day-to-day rules of their school and of the venue.

VCAA rules shall apply with appropriate and reasonable modifications to students who have disabilities or other impairments.

All supervisors are issued with directions for the administration of the VCE external assessments and are required to report all alleged breaches of these rules to the VCAA.

Supervisors have the right to check any authorised materials that are taken into a VCE external assessment.

1. Students must not cheat or assist other students to cheat including taking any action that gives or attempts to give them or another student an unfair advantage in a VCE external assessment.

2. Students must not allow, induce or assist any other person to present for a VCE external assessment in their place.

3. Students must not present for a VCE external assessment in another student’s place.

4. Students must not present for a VCE external assessment under the influence of alcohol or drugs.

5. Students must obey and observe all proper instructions or directions given by their supervisor.

6. Students must provide reasonable assistance to any investigation by VCAA in relation to a suspected breach of the VCAA rules.

7. Students attending a VCE external assessment may bring only materials and equipment approved for that external assessment into the examination room.

8. Students must not possess mobile phones and electronic devices that are capable of storing, receiving or transmitting information or electronic signals, such as recorded music and video players, organisers, dictionaries and computerised watches, during a VCE external assessment.

9. Students detected with any device defined in rule 8 must, upon the direction of a supervisor, surrender that device for inspection. Any confiscated device may be retained, pending any investigation into an alleged breach of VCAA rules. Students must provide reasonable assistance to VCAA or its agents to enable the interrogation of the device.

10. Students must not bring into or possess in the examination room any drinks or food except under special circumstances as approved and directed by the VCAA. Bottled water is permitted in the examination room under approved conditions.

11. Students must not communicate with any other student while the VCE external assessment is being conducted.

12. Students must not cause any nuisance, annoyance or interference to any other student during a VCE external assessment.

13. Students must not remove or tear out any part of a bound reference, question/task book, question and answer book or answer book, except where permitted, for example formula sheets.

14. Students must not remove any response material, used or unused, from the examination room.

15. Students must not begin to write or mark their paper or response material in any way, or use a calculator, until advised by a supervisor that writing may commence.

16. Students must raise their hand if they wish to communicate with a supervisor.

17. Students must not leave their place until permitted by a supervisor.

18. Students will not be permitted to leave the VCE external assessment before 30 minutes have elapsed from the start of writing time.

19. Students will not be permitted to leave in the last five minutes of the VCE external assessment.

20. Students must cease writing when instructed to do so by a supervisor.

21. Students must remain silent and seated in their place at the end of the VCE external assessment until response materials have been collected and checked, and an announcement is made permitting students to leave the examination room.

22. Students must not communicate with an assessor, before, during or after a VCE external assessment, except when communication is necessary for the conduct of the assessment.

Materials not permitted in examination roomStudents are not permitted to bring into the examination room:

• Mobile phones

• Any electronic devices*

• Correction fluid or correction tape

• Text books (unless these are listed as approved materials for a specific examination)

• Notes (unless these are listed as approved materials for a specific examination)

• Blank paper or loose sheets of paper.

All watches must be removed and placed at the top of the student’s table where they can be seen clearly and easily by a supervisor.

Electronic devices include, but are not limited to the following:

• Any electronic device capable of storing, retrieving or displaying digital information

• Calculator models that can ‘communicate’ with other calculators

• Cameras

• Computerised pens

• Computers

• Electronic storage media, such as USB flash drives, SD, XD, CF or other proprietary memory cards

• Electronic translators and dictionaries

• iPhones

• iPods

• Laptops

• Mini-computers

• MP3 players

• Music and video players

• Notebooks

• Palmtops

• Personal digital assistants and organisers

• Pocket organisers

• Radio transmitters and/or receivers.

IB CONDUCT OF THE EXAMINATIONS NOTICE TO CANDIDATESGeneral• Morning examinations start at 8.30am and afternoon examinations start at 1.00pm with the exception of

Thursday 1 November, Wednesday 7 November and Monday 12 November. You must arrive in good time for the start of an examination and may not be allowed to sit the examination if you arrive late.

• Calculator checking will occur before all papers for which a calculator is permitted. Please make sure you arrive 15 minutes early for these papers as the process takes some time to complete.

• Five minutes’ reading time is provided at the start of all papers with the exception of multiple choice papers (Paper 1 Biology, Chemistry and Physics)

• All written work must be completed in blue or black pen. A 2B pencil should be used for multiple choice papers. Coloured pencils are permitted only for graphs, diagrams or charts. Liquid paper is not permitted.

• All written work must be completed in an IB writing booklet or in the spaces provided in a question and answer booklet. No rough work paper will be provided.

• No form of refreshment may be taken into the examination room. Drinking water only in a clear, unlabelled bottle is permitted.

• The coordinator/invigilator will decide where each candidate will sit during an examination. Candidates must comply with the decision of the coordinator/invigilator and remain seated until permission is given to leave the examination room.

• The instructions of the coordinator/invigilator must be obeyed. The coordinator/invigilator has the right to expel from the examination room any candidate whose behaviour is interfering with the proper conduct of the examination.

Candidates may take to their desk/table only the following items:

• General stationery (for example, pen, pencil, eraser, geometry instruments, ruler), but correcting fluid is not permitted

• A translating dictionary for non-language examinations (the dictionary must not contain notes of any kind and is only permitted if the response language of the examination is not the best language of the candidate; an electronic dictionary is not permitted)

• Other materials specified by the IB as required for a particular examination (for example, an electronic calculator). If required by the coordinator/invigilator, any item brought into an examination must be available for inspection. This includes electronic calculators.

The following rules apply to the use of electronic calculators.

• Candidates must not use or store data, programs or applications in their calculators that may assist them in an examination by removing the need to recall facts or formulae that are not provided in the examination materials.

• Examination questions must not be stored or recorded in the memory of a calculator.

• During an examination, no attempt must be made to conceal information or programs stored in a calculator.

• If required by the coordinator/invigilator after an examination, a candidate must provide a list of information and programs stored on the calculator.

Items not permittedIf you take any of the following items into an IB examination - even by mistake - you will be in breach of regulations

• Electronic equipment- an approved calculator or CD player is permitted in certain examinations.

• Smart technology including smart watches, smart glasses and wireless headphones.

• Books or guides.

• Rough work paper or notes.

ArrivalCandidates must arrive in time for the start of an examination. Late arrivals may not be permitted to enter.

Temporary absence• In cases of emergency, at the discretion of the coordinator/invigilator, a candidate may be allowed to

leave the examination room and return. The temporary absence of a candidate will be recorded by the coordinator/invigilator.

• A candidate will be supervised during a temporary absence from the examination room. There must be no communication with any person other than the person who is supervising the candidate.

• During a temporary absence the candidate must not take any material out of the examination room, have access to material during the absence, or return with any material.

Academic misconduct• During the examination, and at other times specified by the coordinator/ invigilator, a candidate must not

communicate with any other candidate.

• Failure to observe this regulation may constitute academic misconduct, resulting in appropriate action by the IB.

• All work completed during an examination and then submitted for assessment, must be the authentic work of the candidate. Any collusion, plagiarism,

• reference to unauthorized material, or communication between candidates may constitute academic misconduct, resulting in appropriate action by the IB. The impersonation of another candidate will be treated as a breach of regulations.

• If a candidate finds that he/she has accidentally taken unauthorized material into an examination (for example, a cell/mobile phone), this material must be given to the coordinator/invigilator immediately. Failure to do so may lead to an allegation of academic misconduct against the candidate.

• No candidate is permitted to borrow anything from another candidate during an examination.

Early departuresCandidates will not be allowed to leave the examination room before the time scheduled for the end of the examination.

End of the examination• It is the responsibility of the candidate to ensure that the front page of their coversheet is correctly

completed prior to departure from the examination room.

• Candidates must give all examination papers, answer booklets and multiple choice answer sheets to the coordinator/invigilator at the end of the examination.

• Candidates must leave the examination room in a quiet and orderly manner.

• Candidates must not disclose or discuss the content of any examination paper with any person outside their immediate school community within 24 hours of an examination ending. This includes any form of communication , whether verbal, written or electronic (be that through social media or direct contact).
