Viewing the Transport Block Reports

Overview This section covers the report format and contents of the Transport Block Reports. These reports include the Transport Block Summary Report, the Transport Block Ticket Report and the Daily Transport Block Total Report. Each of these reports is generated and printed automatically after a block is processed at the transport.

NOTE: Block Reports can be reprinted using the Block Ticket option under the Transport section of the Manual Reports Interface. The reports can also be viewed on the screen using the Report Viewer option on the RemitTrac Application Tools ribbon bar. See the document “Report Viewer” in the RemitTrac Workflow Manual for information about viewing reports on screen.

The contents of each Block Report show details about all block activity occurring on one or more transports used for processing items during a specific time. Each Block Report includes block activity that occurs up to the time when the report is generated.

Understanding the Transport Block Summary Report The Transport Block Summary Report shows a summary of the counts and amount totals for payments (and remittances, for a Retail lockbox) in a block processed at the transport.

Table 1 provides a list of the types of information that appears in the Transport Block Summary Report.

Understanding the Transport Block Ticket Report

The Transport Block Ticket Report includes detailed information about encoded batches and items by type in those batches that were processed in each block on a specific transport during the current process date. At the end of the Transport Block Ticket Report, a transport summary shows the number and amounts for the encoded batches and items processed in those batches on the current process date. Figure 2 shows the payment section of a Transport Block Ticket Report.

Column Header

The Transport Block Ticket Report includes a Column Header that displays the information included in the report about items from the encoded batches. The Column Header contains identical sets of column headings on each side of the page. The header that appears on the Transport Block Ticket Report page depends on the type of items processed in the encoded batches for the block. Figure 2 on page 4 shows the column header for the payments section. For the remittance section of the report, the R/T column would be replaced with the Remittance Account No column. Table 2 contains information about the Column Header.

Routing and Transit Number (1) captured from the MICR line of the payment or (2) stored in the RemitTrac database if MICR Repair process was completed for the encoded payments. Remittance Account Number captured from the scanline of the remittance document.

ENCODED AMOUNT

Applied amount from the RemitTrac database that was encoded on the payment or remittance document

TOTAL Total encoded deposit amount of all payments or total applied amount of all remittance documents processed in the batch on the specified transport during the current process date.

NOTE: The value for Remittance Account No. appears in the report when the Account Number field type is defined on the Retail form used for processing the remittance documents. If an Account Number field type is not defined on the Retail form, the Remittance Account No. value will be omitted from the report for all remittance documents in the encoded batch.

NOTE: The number of copies of the Payments and Remittance sections to be printed for the report is defined in the Track Configuration File.

Daily Transport Summary

The Daily Transport Summary represents the report summary for the Transport Block Ticket Report. This section appears after the information about the last encoded batch in the block for payments or remittance documents.

Table 3 describes the information that appears in the Daily Transport Summary section of the Transport Block Ticket Report.

TOTAL PAYMENTS or TOTAL REMITTANCES

Total number of payments or remittance documents in all blocks processed that on the specified transport during the current date

BLOCK TOTAL Total encoded deposit amount of all payments or the total applied amount of all remittance documents in all blocks that processed on the specified transport during the current date

Batches in Block Marked as Deleted

Includes the deleted batch number, number of transactions and items in the batch, the dollar amount of the batch and the total dollar amounts of all deleted batches in the block

Viewing Information Related to Invalid Block Totals

The Transport Block Ticket Report will show an invalid (out-of-balance) Block Total when the Block Total for payments and/or remittances does not equal the Transport Amount. In this case, the message “Block Total from Transport Invalid!” appears in the Daily Transport Summary section of the report.

One or more of the following conditions may cause an invalid Block Total:

• One or more items that was registered and captured for the batch was missing from that batch during the Encode process (“missing items”)

• One or more items present in the batch during the Encode process was not registered and captured for that batch (“free items”)

• Deleted batches (batches marked for deletion after the Encode process)

• Item edits (item amount was changed after the Encode process)

• Block Ticket was not processed for the block (“Open block”)

NOTE: An invalid Block Total is not triggered for a “Payment Only” or “Remittance Only” batch.

Invalid Block Total Resulting from Free and/or Miss ing Items

When free and/or missing item(s) are detected in an encoded batch, a warning message appears in the report that the batch is out of balance. Figure 3 displays a view of the Payment Section of a Transport Block Ticket Report that shows information about a missing payment in a batch. Missing items are indicated by the notation M* to the right of the item amount.

In the Remittance Section, since the amount of the missing payment amount has not been applied to the remittance, an out of balance amount occurs for the batch. Figure 4 shows a view of the Remittance section of a Transport Block Ticket Report that shows that the batch containing the missing payment item is out of balance.

Understanding the Daily Transport Block Total Repor t

The Daily Transport Block Total Report includes summary activity for all blocks processed on all transports during the current process date. For Daily Transport Block Total Reports, the Transport ID assigned to the transport appears first, followed by a summary of the block activity for the transport. This information is repeated for each transport used during the day. The Daily Block Summary at the end of the Daily Transport Block Total Report lists a grand total of all block activity for all transports used during the current process date. Figure 5 shows an example of a Daily Transport Block Total Report.

Block Summary

The Block Summary section is included in the report for each block processed on each transport during the current process date. Table 4 describes the information included in each Block Summary for a particular transport.

The Transport Blocks Summary section shows the total counts and encoded and/or applied amounts for all blocks processed at the transport, along with summary information for all batches and all items by type processed in the batches.

Daily Block Summary

The Daily Block Summary section represents the report summary for the Daily Transport Block Total Report. This section includes information about all activity from all transports used for processing blocks during the current process date.

Table 6 describes the information included in the Daily Block Summary section of the report.

In some cases, special notations might appear on the Block Reports to provide additional information about the block or about encoded batches processed in that block. The notations appear next to the Batch Header Number on the report. Figure 6 shows an example of a report with a free and missing items notation.
