Viewing the Lockbox Setup Reports

Overview This document covers the report format and contents of the printed Lockbox Setup Report, in addition to the Lockbox Setup Output File and Payee/Special Instructions Output File. The Lockbox Setup Report includes the configuration settings and information about a specific lockbox. A separate Lockbox Setup Report is generated for each lockbox selected at report generation time.

Two types of text-based output files can be generated for the Lockbox Setup Report. The Lockbox Setup Output File can contain data from all or selected sections of Lockbox Setup, for one or more lockboxes, based on the options selected at report generation. The Payee and Special Instructions text file contains only a list of special instructions and/or payees for the selected lockbox(es).

NOTE: The Lockbox Setup Output File and Payee/Special Instructions text file can be viewed on-screen using the Report Viewer on the RemitTrac Application Tools ribbon bar.

Page Header

The Page Header consists of three lines located at the upper right corner of every page. The header includes the page number, and the date and time when the report was generated.

Contents of the Printed Report

Table 1 provides a brief description of the contents of each section of the Lockbox Setup Report. For additional details on the data that is included in each section of the report, refer to the individual Lockbox Setup documents.

Deadline Information

Configuration settings and information related to deposit deadlines, such as cutoff times, nil deposit option and phone notification.

NOTE: For Wholesale and Copy Print lockboxes, “Uses Bank Deadlines” appears in the report if no deposit cutoffs are present in Lockbox Setup.

Options Configuration settings and information related to additional workflow processes (i.e., CAR, Image Print, MICR Repair, Float, Credit Card), archive directory, check 21 processing, ARC processing and duplication detection used for processing work

Contact Information

Configuration settings and information about persons authorized as contacts to receive information about processing activities. Includes information such as contact name, title, email, phone number, security code and alternate contacts.

Transport Information

Configuration settings and information related to transports used for processing work such as capture and encode pass settings and form settings

Payee Information Information related to approved payees used for processing payments including payee names and effective and deletion dates

Special Instruction Information

Information related to instructions used for processing work including instructions and effective and deletion dates

Deposit Information

Configuration settings, deposit accounts, encode line and endorsements used for processing deposits

Forms Information Configuration settings and information related to Data Entry forms, Retail forms, Item Processing forms and External forms used for processing work

Verification Signature block and return address for the person designated to verify, approve and receive the Lockbox Setup Report. The Verification section contains no information or configuration settings for the lockbox.

Understanding the Lockbox Setup Output File

The Lockbox Setup Output File is a comma-delimited, plain text file that contains data for the configuration settings and information from all sections of Lockbox Setup. The output file can contain information related a single lockbox, all or specific lockboxes for a specific bank, all lockboxes for multiple banks or a set of lockboxes belonging to one or more groups. The file contents can be exported to, or read by, other computer programs or systems for internal processing or reporting purposes.

File Location

The Lockbox Setup Output File is stored in the Product_Daily\ Product_PD YYYYMMDD\Report\Lockbox_Setup\ directory, where “YYYYMMDD” represents the year, month and day on which the report was generated. For example, if you generate the Lockbox Setup Output transmission file on April 15, 2010, the transmission file will be stored in the Product_Daily\Product_PD20100415\Report\Lockbox_Set up\ directory.

File Name

The Lockbox Setup Output File name can take various forms, depending on the contents of the file. In the name of the Lockbox Setup Output File:

• # – represents the Bank ID or Lockbox ID

• .NNN – file extension that represents the number of times during the process day that an output file was generated for the same lockboxes, banks or group(s) of lockboxes or banks. The numbering series starts from .001 to indicate the first output file generated on the same process date for the same lockbox(es), bank(s) or group(s) of lockboxes or banks.


Table 2 lists the names for the Lockbox Setup Output File based on its contents.

Layout of the Lockbox Setup Output File

The Lockbox Setup Output File layout includes a File Header, one or more Bank Records and Lockbox Records. Each Lockbox Record includes a series of Section Headers that represent each section of Lockbox Setup and Field Records that contain information and settings from each section of Lockbox Setup. Each section that includes data from Lockbox Setup is listed on a separate line.

NOTE: If a value within a field contains a comma, the comma is converted to an underscore character (“_”). This helps to separate the comma as a character within a field value from the comma that acts as a field delimiter.

The Section Header is included at the beginning of each Field Record containing values from a specific section of Lockbox Setup. Table 6 lists the fields that appear in each Section Header.

Field Records

The Field Record consists of values that identify information for the sections of Lockbox Setup. Depending on the lockbox type, information about the lockbox includes configuration settings that affect how work is processed for the lockbox (such as CAR, batch and transaction limits) and information that is specific to a lockbox (such as deposit account and endorsement information).

NOTE: The values and information that are included in the Lockbox Setup Output File also appear in the printed version of the Lockbox Setup Report. See “Understanding the Printed Lockbox Setup Report” beginning on page 2 for a detailed description of the contents for the Lockbox Setup Report.

Table 7 contains a list of values that may appear a Field Record in the Lockbox Setup Output File to indicate if a feature or workflow function is enabled or disabled for a lockbox.

The General (GE) section of the Lockbox Record contains the Basic Information Field Record, which describes the lockbox and the location of lockbox files in the system, and the Additional Information Groups Field Record, which lists the group(s) in which the lockbox is a member.

Contacts Information Section

The Contacts Information section of the Lockbox Record contains the Basic Information field record, which defines information about the primary contact for the lockbox, Address Information Field Record, which defines address information for a specific primary contact, and the Override Method Field Record, which displays the override delivery method used for mailing or transmitting documents to a specific address for a lockbox contact.

NOTE: The Contact Information section is omitted from the Lockbox Record if Lockbox Setup does not contain any contact entries.


Basic Information

If contact entries are defined for the lockbox on the Contacts tab in Lockbox Setup, Basic Information (IF ) Field Records are included in the Contact Information section. A separate Basic Information Field Record is included for each lockbox contact. Table 14 defines the values in the Basic Information Field Record of the Contacts section.

The Basic Information Record for a transport from the lockbox level appears on the first line of the Transport Options section.


NOTE: Every Lockbox has a Lockbox level Transport Information (TR,IF) record with the Form Number and Form Name being zeros. For every form defined in the Lockbox, a (TR,IF) record is output to report the Transport options within that form.

Understanding the Payees and Special Instructions List

The Payees and Special Instructions list is a text-based output file that contains a list of approved payees and processing instructions for one or more lockboxes. This file can be generated separately from, or in addition to, the printed Lockbox Setup Report and/or Lockbox Setup Report Output File.

File Location

The Payees and Special Instructions list is stored in the Product_Daily\ Product_PD YYYYMMDD\Report\ directory, where “YYYYMMDD” represents the year, month and day on which the Payees and Special Instructions list was generated from the system report. For example, if you generate the Payees and Special Instructions list on April 15, 2010, the file will be stored in the Product_Daily\Product_PD20100415\Report\ directory.

File Name Format

The name of the output file for the Payee and Special Instructions list is paySpinI.out . The file name of the text file containing the Payees and Special Instructions list remains the same, regardless of whether the file contains data for a single lockbox or multiple lockboxes.

CAUTION: The contents of the Payees and Special Instructions output file are overwritten with new data each time you generate the file. Therefore, to preserve the contents of the Payees and Special Instructions output file, you must copy and rename the output file to a name other than paySpinI.out.

Layout of the Payees and Special Instructions List

The Payees and Special Instructions list is formatted as a plain text file containing the name of each payee and/or special instruction for the lockbox and the date on which the payee and/or special instruction becomes effective for use by the lockbox. If applicable, this file includes the deletion date, which represents date on which the payee name and/or special instruction was or will be marked for deletion.
