The Cuyahoga County Board of Mental Retardation and Developmental Disabilities (CCBMRDD) offers hope to more than 8,000 boys, girls, men and women in Cuyahoga County, Ohio. Their full range of services includes everything from in-home early intervention programs for very young children and their families to leisure programs for seniors. Much of what they do goes beyond the walls of their own centers and homes and takes place in the community, where they encourage individuals with developmental disabilities to live, learn, work and play.

The local community knows them best for the work they do at early childhood centers, schools, adult activities centers, group homes, and more recently, for their HeARTworks program. This program offers those receiving assistance from the CCBMRDD an opportunity to create and sell their art at events throughout the county and worldwide through online sales channels. The art transcends limitations or disabilities and offers the artists opportunities for endless creativity as well as a way to make money and increase self-esteem.

Special Needs The HeARTworks program began one March during mental retardation and developmental disabilities awareness month. The CCBMRDD approached a downtown mall and asked about being able to use an empty store space during the month for some awareness activities.

“We filled the store with artwork that had been created by people with MRDD,” said Lula Holt-Robertson, GM of Public Information and Communication for the CCBMRDD. “It was very successful and was adopted as an enterprise and a way for those with MRDD to earn money.” The store had been in place for two years but

their point of sale and inventory systems consisted of Excel spreadsheets.

Because 100% of the revenue generated by the store goes directly to the artists, the ability to track inventory and to tie sales to that inventory is a critical part of their ongoing efforts. “We have to be able to associate inventory with the artist, track sales and then ensure proper artist compensation,” said Omar Nagi, Manager, Parma Adult Activities Center and HeARTworks . “It’s likely that dozens of artists are represented at any one time. Spreadsheets and carbon paper receipts just weren’t working,” added Omar.

Setting Up Shop In search of a solution, the team at HeARTworks looked to several local solutions providers. Harold Westover from Warrior Consultant Group, Inc. met with a small team of stakeholders from HeARTworks and listened to their concerns. “He listened to our needs and made recommendations for a system,” said Omar. “He also was very honest about comparing the features and functions of other systems to the one he was recommending. He provided us with support throughout the decision-making process.”

“We’re all big fans of the system,” said Omar. “We now have more complete sales tracking tools and we have much better control over operations. We can run many different reports, analyze the information from different perspectives and we have a better understanding of our sales and promotions.”

With the introduction of bar-coding, HeARTworks is able to better track inventory from arrival through sale. The new system has streamlined artist compensation and saved HeARTworks countless hours and unnecessary errors.

“We are currently in the process of looking at how the system might support our website,” added Omar. “We also expect to use the system to manage a database of our customers and regular communications with them. We’re delighted with the results.”
