Scheduling Appointments• All appointments to see the Counselor’s, Job

Placement or Coordinator will be a made through the CalWORKs Secretary at (760) 245-4271 extension 2592.

• If the Secretary is not contacted the appointment will not be made.

• New Students: Once we have received the referral from the County Worker an appointment will be made. Then an email is sent to your county worker, who will notify the you of the date and time of your appointment. Please stay in touch with you county worker.

• Make sure your assessment had been completed and that you bring any transcripts from other colleges to your appointment.

Report) If the class schedule is printed out of your web advisor we will sign the attendance at the time. If your class schedule is not attached you will need to drop it into the drop box and pick it up the next day.

Effective Fall 2016, California community college students receiving the BOGFW must meet minimum academic and progress standards to remain eligible for the BOGFW.Students must: -Maintain a cumulative GPA of 2.0-Successfully complete at least 50% of all units attempted and 67% for Financial Aid

Enrollment Priorities and Regulation Changes

Reminder: Enrollment priorities regulations placed into effect during the Fall 2014 term state that if a student falls below 2.0 GPA, you will lose priority registration until it goes back up.Also, if you have accumulated 100+ units, you will not:

-- be granted priority registration-- be eligible for the Pell Grant --be eligible to work on campus using FWSIf you have a reasonable excuse

Most students are eligible for the following items:Parking Pass VoucherBook Voucher

•Pay attention to emails from CalWORKs office as to when your book voucher are ready for pick up.

•Voucher request forms will be available at Orientation.

•Complete the form and bring current semester verification to receive your voucher.

•You are eligible for a book/education related voucher when you are enrolled (not waitlisted) for a course.

•The County will only pay for required, not recommended, items.

What is a Monthly Attendance ReportsThis form verifies activities in the classroom.

SB County students, we have this form for you to complete in our office. We do our best to maintain your confidentiality therefore you do not need to have your instructors sign it if it would make you uncomfortable.

You must complete the Community College Enrollment Hours Report in order for the CalWORKs staff to sign off on the form.

Attendance Reports need to be completed or they will be returned and have to be placed back in the drop box.

Attendance reports must be dropped in the drop box and picked up the next day based on amount to be signed.

Students, you may bring your forms into our office at the end of the month to be signed by CalWORKs staff.

Your GAIN/ES worker expects it by the 10th of each month.If you are exempt, you do not have this monthly obligation

Textbooks the County Can and Can’t Pay for! The county will only pay for “REQUIRED TEXTBOOKS”.

Our office can occasionally pay for a portion of required and/or recommended textbooks (case by case).

On a case by case, we will pay for Exempt student books (if in good standing) and have a current copy of your exemption form.

Students should communicate with our office as soon as possible if there is a need.

If there is a delay in receiving your vouchers from the county for books, you may be able to use the textbooks on reserve in the library if available to ensure you do not fall behind on your studies.

The county nor College CalWORKs office can pay for repeat/failed classes required books if it was already covered by the county.

If you are on sanction status with the county, let us know so we can reflect that in our records.

If you are working on rectifying a sanction, keep us informed.If you move and change your address, update that information in

WebAdvisor for the college and come in to our office to update that information with us.

If you change your phone number or have new contact information, provide that to our office.

Student Educational PlanUpdate your SEP once per year. Ensure that our office has a current copy.

If you’re not sure when you last updated yours, visit the Tracey in the office to find out.

During walk-in periods (non-appointment times), Tracey can help you schedule an appointment with the CalWORKs Counselor-Manika Record or Laura Nankeveris

Remember to enroll into classes that are on your SEP only.

Note that the county will/should only ask you for a current SEP once per year, not each semester.

Dropping Classes/Sanction/Timing Out… Communicate with us!

• You have the privilege of priority registration through this program. With that comes the responsibility to communicate any intended changes to your case and term schedule.

• Talk to the Counselors before dropping classes and inform our office and the GAIN/County office for any other changes that may impact your case.

Course Enrollment/FeesTake Advantage of PRIORITY REGISTRATION! Don’t miss it. Having to waitlist courses will delay required textbooks/fee vouchers.

FAFSA-BOGW will cover your tuition costs! ($46 per unit)

If eligible and you have been approved by GAIN/SB County offices will provide you with vouchers to cover costs of your books, parking and childcare.

You will be dropped from First Aid/CPR for non payment of material/certification fees

Financial Aid• Tuition is $46 per unit.• Ensure you have applied for the FAFSA/BOGW and that you

check WebAdvisor on your award status. • If incomplete, it will delay your first pell disbursement (2nd

week of fall term)• Your BOGW should cover tuition, and your parking fee. • You will request a voucher from the county to cover those

fees. • Remember if you are going to attend 2017-2018 to start completing your Financial Aid/BOGG for the new year October 2016 in order to receive your financial aid in time to start Spring classes.

• Starting Fall 16 if you go below a 2.0 GPA for two consecutive semesters you will lose your BOGG and Priority Registration. You must sit out two semesters before you will be eligible for Financial Aid

Parking Grace PeriodYou will not receive a parking citation first week of classes if parked in a student marked space only!

Parking will be strictly enforced starting September 6th. Avoid a citation, have your permit displayed.

College Police will be citing aggressively for speeding.

Program Email CommunicationsAll or most of our communications with

students occur through email. Please check it regularly.

We will send emails to the email address you give us during intake.

It’s your responsibility to make sure your email address is current with our office.

If you don’t have internet, there many available labs on campus to check your email.

College/County CollaborationOur office has a great working relationship with the local county offices.

If you encounter a problem with your case, have questions or need support, let us know. We can potentially help resolve most issues fairly quickly by working together.

Student Benefits of Work Study• Gas Cards - $25 per week. Posted against student’s financial unmet need.• Work up to 20 hours per week.

32 hours per week possibility in Winter Term and Spring Break with approval from Coordinator.

32 hours per week on an as needed case-by-case student basis during primary terms.

• Money earned does not count against student’s cash aide and helps meet their hours for their Welfare to Work Contract.

• Students build work experience. Many of our work study students have limited work history.

• Government: City Hall (Various Departments).

• Many of our employers hire multiple students

Student Employment• Promotes student learning by assisting with on/off campus job placement

• CalWORKs placement is 20 hrs per week unless otherwise authorized.

• On campus student positions are through Federal Work Study. (See Veronica in the FA office)

• Please provide Jason with the current month timesheet in a timely manner.

• Must maintain 2.0 GPA to and no minimum units with CalWORKs Work Study.• Any funds earned are exempt for your cash aid

Pre-Screening for Work Study Positions• Job Placement Specialist explains to student how the CalWORKs Work

Study process works.• Review completed job application with student.• Review student resume, cover letter, and references. Critique and

provide feedback to student and student revises these items and submits again to Job Placement Specialist.

• Skills Assessment. • Mock Interview (Student must be on time and dressed professionally for

meeting with Job Placement Specialist). If they are late, appointment is cancelled and rescheduled.

• Determine if student is a match for open positions based on education, experience, and skills.

• Try to match student’s major/career interest to the positions available.• If so, job referral card given to student with instructions for applying for

job and contacting supervisor for interview.

Can Students Receive Financial Aid and Still be Eligible for CalWORKs Services???YES! A student is entitled to receive an educational grant, loan or

work study. The money is considered exempt (excluded) income.

Financial Aid Pell-Grant may be used for services that the county CalWORKs office cannot cover such as educational expenses, transportation, food, rent, etc.

Recap Important Steps….Pick up monthly attendance reports on time (end of month-beginning of following month-

due to GAIN/ES by 5th).

We have many monthly attendance reports sitting in our office from previous months that students never picked up.

Ensure we have a current SEP on file (update annually).

Make your appt. with GAIN/ES to submit your County Voucher requests early (don’t wait till the term starts pick it up or to turn it in to GAIN/ES.

Remember to provide us with current verifications each term.

If you are currently working, remember that we need a your timesheet each month.Note: Dropping classes affects ability to continue working..
