Organize Your Information• Each tool has a search

mechanism• Understand how these

mechanisms work together and how they can work best for your organization

• Use your internal corporate numbering system, OSHA CFR numbering or ISO numbering methods

• Pick a system that won’t need to be changed later; redoing this is costly and time-consuming

Get Digital Files In Order• Make sure your digital

files are in organized and easy to find• Scan and sort any crucial

paper files• Use the BasicSafe tools to

upload existing files to the database• Maintain a checklist of

documents and mark them off as you upload them

Train System Administrators• Identify those who will have

expanded access and editing privileges

• Train them to use the software and manage data

• Invite them to create key settings to track historical data and search for important information

Check Your Admins’ Work• Make sure administrators have

adequately set up the site and loaded information before allowing access to all employees

• If you provide access to employees and information isn’t available, they aren’t likely to come back

• Allow time to go back and make changes as needed

Train Employees• Make sure employees understand how to

log in, how to search for and access training and how to find information

• Have supervisors train work groups and tailor training to the job they’ll be doing

• BasicSafe software is so intuitive that training can be completed quickly

Make Training Ongoing• After six months of using the software,

revisit your training needs• Update staff of any new tools or procedures• Have a plan in place for training new

employees; make this part of the onboarding process
