Events Manager: Ashleigh Gow
As Events Manager, Ashleigh will oversee the running of the event. She will liaise with the client and all department heads ensuring that all overall tasks are being completed and that everyone and all departments are on time with schedules. She will chair regular meetings to ensure that all this is happening. She will have overall budget control and will allocate additional department budgets. She will also liaise with any external companies or persons. For example the venue and other contacts related to the budget.
Assistant Events Managers: Paul Pope & Jordan Potsig-Simpson
Myself and Jordan will assist Ashleigh in her role in anyway we can. I will take minutes in each meeting and upload them and Jordan will produce Action Points for each department head to follow and delegate necessary tasks. Jordan will also be in charge of producing relevant risk assessments for both the college and Arley Hall and I will research any relevant legal documentation we will need and produce this. This will include any form of licence and/or consent forms for other students. We will also aid Ashleigh when in liaison with Shelagh at Arley Hall and members of the choir to ensure that al are kept satisfied throughout the running of the event. I will also be in charge of organising transport for the team and any additional staff.
Technical Manager: Jordi Williams
Jordi is responsible for all technical aspects of the event from the sourcing stage up until the event itself. If equipment is being bought or hired, he will oversee this aspect of the Event, ensuring the most suitable equipment is being used adhering the constraints of the budget and health and safety. He will organise transport for the equipment to and from the venue and will perform any necessary maintenance throughout the Event’s run. Jordi must also the Operators of any equipment. They will designate specific roles to the operators and ensure they are performing their roles efficiently and effectively. Jordi will also lead the set and lighting designers ensuring they are on task and producing relevant concept ideas. He will also aid them with regards to the equipment available to them and if their concepts are plausible.
Front of House Manager: Gemma Johnstone
Gemma must lead the Front of House team to ensure that the audience have a pleasant experience in all aspects outside of the ‘performance’. As a Raffle has been decided, she will be in chare of sourcing these prizes, and running it effectively on the night. She will also be in charge of catering. She will oversee all sourcing of any necessary equipment and products used. She must also hire additional staff as both the car park and the inside of the venue must be appropriately manned. She must hire this staff and give relevant training, and keep in regular contact with them to ensure that they can attend the event and perform their roles effectively and efficiently. She must complete all this by delegating tasks to her team and liaising with the Events Management Team should there be any isues.
Marketing Manager: Jordan Simpson
Jordan is responsible for ensuring that the event has an audience. He will organise a ‘marketing/advertising’ campaign to ensure that the public has an awareness of the event and/or organisation. He will produce and distribute any advertisements and liaise with external persons or companies to further ticket sales. They will develop promotional events and do so in a cost-effective way. He will also liaise with the Front of House team in the creating of the programmes and must manage his team to ensure all tasks are completed on time.
Lighting Designer: Joel Murray
Joel will follow the brief and liaise with other departments to design how the space will be lit. He must work with Matt, the set designer, to discover what set is actually being lit. He will work with the marketing team and Events Management team to produce a plan that ties in with other creative decisions that have been made. For example, the marketing campaign colour scheme. He will work closely with Jordi to ensure he is creating a plausible plan with the equipment available to us.
Set Designer: Matthew Elliot
Matthew will follow the brief and liaise with departments to design where the choir will perform. He must work with Joel, the lighting designer, to discuss how his set will complement the lights. He will work with the marketing team and Events Management team to produce a plan that ties in with other creative decisions that have been made. For example, the marketing campaign colour scheme. He will work closely with Jordi to ensure he is creating a plausible plan with the equipment available to us.
Assistant Technical Managers: Andrew Turner & Sophie Brown
Andrew and Sophie will work closely with Jordi to source all sound/ lighting equipment for the event. They will also act as a DSM and operator on the night working closely with the performer/client to ensure that the performance is rehearsed and looks professional.
Assistant FoH Managers: John McDermott & Lucy Andrew
John and Lucy will assist Gemma in the running of all aspects of FoH. They will also liaise with all additional staff that Gemma has decided upon. They will deputise Gemma in any event that she cannot be available. For example attending Arley Hall and discussing with Shelagh the car parking space.
Assistant Marketing Manager: Anna Brown
Anna Will assist Jordan in the marketing of this event. She will liaise with both Jordan and the Events Managing team to ensure that deadlines are met and we gain an audience for the gig.
