DOS AND DON’T’S OF INFORM

LETTER

An Inform Letter may be addressed to one particular individual or may

be generally addressed depending upon what is being informed about

It may be a personal or an official letter in nature

It must carry a date on the top left corner of the letter to indicate when

the letter was initiated

An Inform Letter should be crisp and short

If the Inform Letter is being written as a result of some incidents, then

details of those incidents should support the letter

The letter should always be signed by the person who is has the key

responsibility to ensure that the information is being followed

An Inform Letter should always have a phone number or email address

An Interview Letter is a formal letter so it should always be handed over

on the company letterhead

Since it is purely an official communication of selection, it should be

crisp and brief

The Interview Letter should inform the individual details of the interview

such as date, time and venue

The Interview Letter should also specify for the individual if s/he is

expected to get any documents with her/him for the interview

It should be addressed to the individual concerned with her/his full name

and address to avoid an confusion

Points to remember while drafting an

Appointment Letter:

The Appointment Letter should clearly give the designation for which the

individual is being hired

The Terms and Conditions under which the hiring has been done should

also be clearly mentioned.

The letter should be addressed to that one particular individual whose

name, address, etc should be clearly mentioned to avoid misuse of the

Refusal Letter (Do’s and Don'ts) A Refusal Letter should be written as soon as the decision to refuse a

request has been taken

The tone of the Refusal Letter should not sound sarcastic

Even though a refusal has an unpleasant connotation attached to it, the
